Applying for a job in hotel or restaurant management requires a personable nature, attention to detail and the ability to project confidence. The letter you draft in conjunction with your job application should demonstrate that you're articulate, knowledgeable and have the ability to be engaging with customers and staff.

Introduce Yourself

The opening of your letter should both introduce you and demonstrate your enthusiasm for the potential of working with the hotel or restaurant. You want to sound knowledgeable and genuine in your approach. Example:

I'm delighted to submit my application for the role of manager of the Elegant Hotel Company. My family has been a patron of this wonderful establishment for more than 30 years, and I'm enamored at the prospect of building on the legacy and reputation of a business I have such fond personal memories of.

Outline Your Qualifications

While you should lead with and emphasize your specific experience in the hotel or restaurant management industries, other areas to focus on include customer service, employee and vendor relations and event planning. Example:

In addition to the eight years I spent managing The Fine Dining restaurant in New York City, I also have substantial experience in catering and event planning, having worked my way through college for a major convention planning company. I pride myself on providing exceptional degrees of customer service, and I place high value on creating the best possible working relationships with my staffers.

If you have specific education, experience or training related to the industry, make note of that as well. This is especially important if the job description asks for specific skill sets.

Showcase Your Personality

Hotel and restaurant hospitality is all about creating a memorable experience for customers, so make sure your application letter showcases your personality. Example:

I’m a big believer in creating enjoyable experiences for every guest. It’s my job to ensure every person not only has everything they want or need during their stay, I want them to feel catered to and appreciated. This attitude is something I try to weave through every element of my management role.

Conclude your letter by referencing any attachments, such as resume, letters of recommendation or even industry awards you won yourself or on behalf of previous employers. Finish with a call to action, such as requesting an interview or noting some other type of next step. Example:

Attached, please find my resume, a copy of the International Hotel Association Customer Service Excellence award I received in 2016 and three letters of recommendation from past employers. If you feel I'm a good fit for this position, I'd love the chance to meet in person and learn more about this exciting opportunity.

If you love to help people feel at home, a job in hospitality just might be for you. Before you interview, it's essential to draft a great cover letter that shows off your skills and what you'll bring to the job. We'll help you write one that'll catch any hotel employer's eye, from researching the hotel to opening and closing your letter.

How do you write an application letter for a hotel job?

  • Start your letter with your contact information. Then, introduce yourself and say why you want to work at the hotel.
  • Include any relevant skills or experience from your resume in your cover letter, emphasizing those found in the job description.
  • Close the letter by thanking the hiring staff for their time, and reiterating your enthusiasm for the position.

sample of application letter for a hotel

  • What the hotel will require will vary by position. For instance, if you're at the front desk, you'll need good people skills, as well as good organizations skills. If you're in housekeeping, you'll need good time management skills.

Step 4 Research the hotel.

  • Another way you can research the hotel is to walk around the hotel. Try to observe the employees in the department you'll be working and watch how they interact with each other. Pay attention to what the environment is like. Is it relaxed? Frantic? Take mental notes for later. [5] X Research source

Step 5 Synthesize what you've learned.

  • For example, maybe you've noted the hotel has a relaxed culture and that most employees enjoy having lunch together. That hotel is probably looking for someone who works well with others and can enjoy the company of coworkers.

Step 1 Begin with your header and contact information.

  • Your date should look like the following example: December 3, 2015

Step 3 Add the company's contact information.

  • As an example, you could write, "My name is Joe Jeffries, and I heard about this front desk position on Indeed.com. I'm excited to be applying for it, as I have read how much Rattle Hotels values customer service and I am a people-person who loves putting the customer first."
  • This paragraph, as well as the last paragraph, are good places to include bits of information connected to what you found out about the culture. For instance, if you noticed that the people working at the hotel are close-knit, you could write, "I can see your hotel values its employees, as well, and I look forward to working with this great group of people."

Step 2 Lay out your skills to show your relevancy.

  • For instance, maybe you've noted that one of the required skills is interpersonal skills. You could write, "In the past, I've worked with many different types of people at a variety of retail jobs, which helped to develop my interpersonal skills. I learned to stay calm when dealing with stressful situations by taking a deep breath and thinking about the best possible solution to the problem, which I think will be a huge asset when working the front desk at Rattle Hotel."

Step 3 Include the keywords.

  • As an example, you could write, "I have noticed that you encourage a professional culture, and my experience as a front desk clerk in Regalia Hotels has given me the needed experience to be the professional you need at the front desk. I would be a good fit for your hotel, and I request that you give me the chance to prove that in person at an interview."

Step 2 Thank the person for his or her time.

  • You can use other closings, such as "Thank you," or "Yours truly," to end your letter instead.

Step 4 Proofread your letter.

Example of an application letter for hotel & restaurant management.

careertrend article image

Don't be shy about tooting your own horn when you apply for a hotel and restaurant management position . Outgoing employees are a prize catch in this business, but because you're in management, remember to acknowledge the efforts and expertise of the people who report to you. Your application letter must illustrate your level of industry knowledge -- through descriptions of qualifications using the right terminology, but not too much jargon -- and excitement about your field.

Introduction

Your introduction should clearly state the job you're interested in, but it can't be so mundane that it reads like every other cover letter. Avoid being too gimmicky in your opening lines -- you don't want to turn off the reader before she has a chance to read about your qualifications. You could begin your letter with, "In my 15 years' experience in hotel and restaurant management, I've discovered the recipe for success: Delivering quality customer service, increasing market share quarter after quarter and inspiring enthusiasm among employees are key to my team achieving AAA five-diamond ratings for seven consecutive years."

Showcase Your Qualifications

Working in the hospitality or food and beverage industry takes charisma on top of job skills, industry expertise and on-the-ground work experience. You're either interacting directly with hotel guests and restaurant patrons or you're coaching employees on how to deliver quality service. Either way, these three types of qualifications will assist you in managing any hotel or restaurant property. Your second paragraph must tell the recruiter or hiring manager what you do, how you do it and why. Be creative, but not too long, and describe what you love about the field. Managers in the hotel and restaurant business are business-minded and passionate about customer service.

Focus on the Body

Use two paragraphs for your qualifications and achievements. The second paragraph of your letter gives a brief synopsis of your career and expertise. For example, "My 20-year career in the hotel and restaurant business began as a head waiter for a small, fine-dining establishment. After five years of increasing my skill set, knowledge of wines and growing the clientele, I welcomed the opportunity to manage the restaurant front-of-house operations. Leadership development and hospital industry training prepared me for relocation to manage a larger restaurant within the company's new property, which included a 150-room boutique hotel." The third paragraph of your letter should list your accomplishments, using three to five bullets. Any more than that and you'll lose the reader's attention, plus your letter will look more like a shopping list rather than an application letter. Use numerals and tangible measurements to show you understand that your management skills must improve the hotel and restaurant bottom line. For example, you could include, "Increased market share to over 45 percent, for 3 consecutive years; sustained J.D. Power rankings at 825 and above for 2 years in food and beverage, hotel facilities and guest room factors; and awarded 6 employees with employee-of-the-month awards for exceeding hotel sales revenue by 150 percent each quarter."

Getting Closure

Your final paragraph should restate your interest in the hotel and restaurant and comment on its success or presence in the industry, which you learned from researching the company. Also, offer the reader a way to contact you. If you're a take-charge kind of applicant, suggest a face-to-face meeting and indicate what day you'll follow up on your application. Always sign your letter with a respectful closing -- such as, "Very truly yours," or "Sincerely" -- and personal signature.

Summer jobs at hotels can be great money-making opportunities, especially for college students seeking to raise the tuition and cash they need for housing and the other expenses they incur during the school year.

While you may well lack experience in hotel work, being able to showcase relevant skills and experiences in your job letter will ensure that hotel managers give serious consideration to your application.

What to Include in Your Letter

When applying for a seasonal hotel position, make sure your cover letter calls out any previous experience you may have in the fields of hospitality and customer service. That's what employers will be looking for!

Also, because it's likely there will be times you will have to deal with guest concerns on your own, be sure to provide the hiring manager with two or three examples of your communication and problem-solving skills.

In addition, if you have non-hospitality experience (such as volunteer or team sports experience) that exemplifies your interpersonal skills, you should mention this in your cover letter as well. Don’t underestimate the importance of soft skills – those innate interpersonal talents that allow you to communicate and work well with other people. Managers are always interested in candidates who can demonstrate that they take personal initiative, are a good team player, have strong organizational and time management skills, and can assume leadership responsibilities when warranted.

Tips for Writing a Cover Letter

When hiring managers look at cover letters, they have certain expectations in mind for both the content and formatting of the letter. Here's what to keep in mind as you write your cover letter:

  • Formatting matters:  If you're sending an email, pay attention to the subject line and include an  email signature  below your name that provides your contact information. Follow best practices for formatting your cover letter.
  • Keep it short and focus on relevant skills:  Your cover letter should not be more than a page in length. Do not regurgitate your resume. Instead, call out your most noteworthy and relevant achievements and skills. As mentioned, any hospitality or customer service experience will be meaningful to hiring managers for summer hotel jobs.
  • Always  proofread :  Even small errors and typos can make a poor impression in any part of a job application. If you say you're going to attach your resume, make sure it's actually attached. Check for typos, particularly with the recipient's name and the company name.

Min Chen 123 Main Street Anytown, CA 12345 555-555-5555 min.chen@email.com

March 1, 2021

Neil Fowler Director, Human Resources Moose Lake Lodge 123 Business Rd. Business City, NY 54321

Dear Mr. Fowler,

Please accept my application for the position of front desk assistant at the Moose Lake Lodge. I believe that my hospitality and front-of-store experience as a cashier at the Bob's Discount Dollar store make me an excellent candidate for the desk assistant position. While working at Bob's I had the opportunity to greet and interact with people of all ages on a daily basis.

I also have experience handling a variety of customer payment systems. My cashier experience made me comfortable handling cash, checks, and debit and credit cards. Additionally, as a math major, I can assure you that all my customer transactions will be accurate.

Additionally, as an administrative assistant in my school's registrar's office, I was constantly interacting with young students as well as older staff and faculty. I found the work rewarding and was able to answer student questions and address their concerns with confidence and ease.

As a camp counselor, I gained valuable experience working with children and parents. I feel I have the ability to interact with people from different backgrounds and that my friendly and helpful demeanor would put Moose Lake Lodge guests at ease and feel welcome at your establishment.

I am confident that my hospitality skills and ability to handle a variety of payment types make me an ideal candidate for the front desk assistant position. I have enclosed my resume and will call within the next week to see if we can arrange a time to speak.

In the meantime, thank you for your time and consideration.

As a hotel receptionist, you’re the friendly face that greets dozens of weary travelers (or excited vacation goers!) as they bound through the front door ready to meet their soft beds. A great cover letter can help set you apart from dozens of other candidates who are looking for a hotel receptionist position. This guide, along with our hotel receptionist cover letter example, will show you how to:

For a visual reference, check out our hotel receptionist cover letter example which can be easily modified to suit your own needs and experience.

Dear Mrs. Althread, Working as a part-time hotel receptionist has taught me a lot during my university hospitality management course, and, as I approach my placement year abroad, I am keen to continue my education with a part-time role at Forest Hall Hotels. I am proficient in every aspect of the hotel front desk, from communicating with guests and meeting their needs to overseeing the hotel management software and troubleshooting any technical issues. I am proud to say that I type at 95 wpm and was the go-to person for editing and proofreading of any correspondence. I believe that a receptionist is an integral part of the wider team and should help wherever they can. As a part -time receptionist, I am used to working closely with a wider team, taking on the duties of others when required and always giving my best in any situation. I have filled in for the head of customer care during her extended period of maternity leave and I always make myself available to help both colleagues and guests alike. I helped to raise the customer services scores in both of my previous employers and have a wealth of positive references that I am able to share with a future employer. I am used to multitasking and typically answer and route 200+ calls a day, but if there is a guest standing in front of me, they have my absolute priority. Great service begins when you offer someone your unreserved attention. I would be looking for a permanent role in hospitality after the completion of my degree course, so would welcome the opportunity mentioned in the job ad of something more permanent down the line. I would be delighted to have the opportunity of visiting your hotel for an interview to discuss the possibilities. Sincerely, Paula Dickinson

Since the header occupies such prime real estate, it’s important that it contains the right information: your name, contact information and social media handles or LinkedIn if applicable. If a manager wants to get in touch with you, this is the first place they’ll check, so make sure they can easily find what they are looking for.

Appearance count.

Just like a hotel creates visual branding with its marketing materials and interior design, your cover letter will need to create a sense of style that defines you as a candidate. While this might sound intimidating, it can actually be as simple as an attractive accent color or lines that add structure to the page. If you don’t have graphic design experience, a free cover letter template can help you create a great format in just a few clicks.

The aim of the cover letter header: Create an attractive and visual cover letter template that conveys your contact information and catches a hiring manager’s attention.

The greeting of a cover letter sample is simply the way you choose to address the person who will read your application, most often the hiring manager or hotel manager. It’s important to address the recipient by name whenever possible as this is one of your best chances to make a great first impression and show genuine interest in the position.

However, for large hotel chains which may use a central hiring office, finding the name of an HR manager can be near impossible. In this situation, a general greeting like “Dear (Hotel Name) Hiring Team” or “Dear (Hotel Name) Company Family” can give the warm and friendly feeling you’re looking for while avoiding the possibility of addressing the wrong person.

For a hotel receptionist position, it’s best to address the letter recipient using their correct salutation followed by a last name, as shown in our cover letter sample.

The aim of letter greeting / salutation: Make a personal connection by addressing the cover letter recipient by name.

Dear Mrs. Althread,

A great introduction (or lack thereof) can truly make or break your entire cover letter. That’s because hiring managers can have as little as a few seconds to scan each application. If your introduction doesn’t pique their interest from the very start, they’re likely to move on to the next candidate.

Luckily there are many ways to ensure you create an interesting opening line. A short anecdote, personal statement, relevant fact or even a statistic can all work well. Just make sure to keep your introduction short (1-2 sentences) so that it flows right into the next section – the reader will have finished your letter before they even notice! See how it’s done in our hotel receptionist cover letter example.

The aim of the cover letter intro: Catch a hiring manager’s attention by offering a short anecdote, relevant fact or interesting statement. Move directly into the body section.

Working as a part-time hotel receptionist has taught me a lot during my university hospitality management course, and, as I approach my placement year abroad, I am keen to continue my education with a part-time role at Forest Hall Hotels.

The middle part of your cover letter, called the body, finally gives you the space you’ve been looking for to discuss all the relevant aspects of your skills and experience. If you’ve worked in hospitality before, then you may want to create short anecdotes that help to illustrate how you handle problems and take care of guests. Don’t forget to mention the personal qualities that may set you apart from other candidates including your sense of organization, commitment to customer service or attention to detail. Make sure to offer any real-world examples that can help back up your claims and paint a picture of what type of hotel receptionist you’d be if hired.

You may want to use the STAR method to help organize this section. First, describe a Situation, then the Task required of you. Finish with your Action and the positive Result you achieved. If you have plenty of receptionist experience to choose from, make sure to pick the examples that are most relevant to the hotel opening you’re applying to. Check out the body section from our hotel receptionist cover letter for more inspiration.

While a hotel receptionist’s basic duties might not change much between hotels, it’s still worth rereading the job description to make sure you’ve tailored your cover letter with the most relevant examples possible. It may take an extra minute to customize your cover letter for each application, but the extra effort can be instrumental in helping you land the interview.

The aim of the cover letter body: Offer concrete examples of your skills and abilities by creating short anecdotes. Show a hiring manager what it would be like to have you as their hotel receptionist.

At the end of your cover letter sample, you’ll want to create a Call to Action. This sentence expresses your interest in the position and invites the hiring manager to contact you for an interview without sounding entitled or demanding. See our hotel receptionist cover letter sample for an idea of how to find this balance.

Then, sign off your letter with a polite closing. “Warm regards” or “Sincerely” can work well.

Hotel receptionist cover letter with no experience

A hotel receptionist job is a dream entry-level position but one that’s fully within your reach. Since many of the duties can be learned on the job, you don’t need much experience to show before getting hired. However, it is imperative that your cover letter convey the right traits for the job, including a willingness to learn.

Here are some tips to write a hotel receptionist cover letter with no experience:

  • Focus on transferable skills: If you’ve ever worked as a receptionist or in another form of customer service, you’ve already proven you have what it takes to succeed as a hotel receptionist. Use your cover letter to give insight into how the skills obtained in these other roles will transfer to this new job opening.
  • Share your interest in the business: By conveying your passion for the hotel industry and an interest to advance in it, you can set yourself apart from candidates who are just looking for some easy cash. Describe what you hope to learn and what you believe makes you a good fit for the industry.
  • Discuss your personal qualities: Look for the qualities described in the job description and brainstorm your own strengths. Use your cover letter to show the hotel manager that while you may never have done the job before, your innate abilities would be hard to teach in another candidate.

Final checklist for a hotel receptionist cover letter sample.

Before submitting your cover letter, make sure you’ve ruled out these common errors:

  • Typos and grammar mistakes: Use spell check or even ask a friend to proofread!
  • Generic cover letter: Does your cover letter contain only the most relevant examples and details?
  • Formatting issues: Keep plenty of white space so that the page is easy to read.

Key takeaways

  • Your cover letter should expand on the key points of your resume without rehashing the same information
  • Make sure to include an attractive header that contains your contact information and catches a hiring manager’s attention
  • Use your body section to offer relevant examples that show what type of hotel receptionist you’d make
  • You can land a job as a hotel receptionist even with no experience by focusing on transferable skills and personality traits
  • Don’t let your formatting be an afterthought – use spell check and keep consistent design principles throughout.

Whether you’re applying for a job , internship , scholarship, or volunteer position, a well-crafted application letter can help you stand out. It's your chance to introduce yourself and make a strong first impression that sets you apart from the competition.

But how do you write an application letter that’s effective? Below, we’ll explain when to use this method of introduction and give you practical tips on writing one that gets results. Plus, we've included a sample application letter and a template to help you create the perfect document for any opportunity.

What is an application letter?

An application letter is a document sent with your resume to provide additional information on your skills and experience. It's a crucial part of an application for work as it introduces you to potential employers and highlights your qualifications.

While some companies request it at the beginning of the application process, others might ask for it later, or not at all—but it's always a valuable addition.

Unlike a resume, which outlines your work history, a written application allows you to elaborate on your achievements and how they relate to the job you are applying for. It is a much more specific way to introduce yourself and explain why you would be a good fit for the job.

How is an application letter different from a cover letter?

Some people use the terms “application letter” and “cover letter” interchangeably, but there are subtle differences between the two.

An application letter serves as your formal introduction to a potential employer. It highlights your interest in the role, your qualifications, and why you're a good fit for the position. It's a standalone document that provides a comprehensive overview of your skills and experiences.

On the other hand, a cover letter is usually more concise than an application letter and serves as a complementary document to your resume, providing additional context to your job application. It elaborates on specific points from your resume and explains how your background aligns with the job requirements.

Also, job application letters follow a more formal structure, often resembling a traditional business letter. They include your contact information, the date, and the employer’s contact information at the top. An application letter is usually addressed to a specific individual, such as the hiring manager or recruiter. While cover letters also have a professional tone, they can be less formal in structure.

Finally, the application letter is used primarily for job applications, internship applications, scholarship applications, and volunteer positions. In contrast, the cover letter is specifically used to accompany a resume during job applications.

When do you need to send an application letter?

Application letters are typically required when applying for jobs. However, there are other scenarios where you might need one:

  • Scholarship applications: When applying for scholarships, this kind of letter can help you stand out by showcasing your academic achievements and career goals .
  • Volunteer positions: Some volunteer organizations require an application letter to understand your motivations and skills relevant to the position.
  • Internship applications: Internships often require this document to understand your interest in the role and what you hope to gain from the experience.
  • Networking purposes: Sending one when reaching out to potential mentors or industry professionals can help you establish a connection and explain your career aspirations.

7 tips on how to write a job application letter

Writing an effective application letter involves more than just summarizing your resume. Here are seven tips to write yours:

1. Research the company—at least do a quick Google search!

Before you start writing, research the company to understand its culture, values, and needs. Tailor your letter to align with the company’s mission and the job description. There is nothing better for an HR professional than feeling that you don’t just want any job; you want to work with them for specific reasons, such as X and Y.

“Address the letter to the hiring manager by name if possible,” says Mike Chappell, CEO of FormsPal , who has more than a decade of experience reviewing application letters. “This shows that you’ve done your research and are genuinely interested in the company.”

2. Use a professional format and design

Your application letter should follow a formal letter of application format. Use a standard font like Times New Roman or Arial, and keep the font size between 10 and 12 points. Include your contact information, the date, and the employer’s contact information at the top of the letter.

There are many layouts online that you can use. Find one that represents your style and complements your resume.

3. Make it engaging from the start with a strong opening

Your opening paragraph should grab the reader’s attention. Mention the position you're applying for and where you found the job listing. If you were referred by someone, include their name. Briefly introduce yourself and explain why you’re interested in the role.

4. Highlight your qualifications—what you can’t fully convey in your resume

In the body of your applicant letter, highlight your relevant skills, experiences, and achievements. “Use specific examples to showcase your accomplishments and how they relate to the job you’re applying for,” Chappell says. “ Quantifiable results can make a strong impact.”

Avoid repeating information from your resume; instead, expand on your most relevant experiences.

5. Show enthusiasm and genuine interest

Employers want to hire candidates who are enthusiastic about the role and the company. Show your excitement for the opportunity. Explain why you are specifically interested in this job and how it aligns with your career goals.

6. Keep it concise

While it’s important to provide enough detail, your application letter should be concise. Aim for one page, with three to four paragraphs. Be clear and to the point, avoiding unnecessary fluff.

7. Proofread carefully

Typos and grammatical errors can leave a negative impression on employers. Carefully proofread your letter before sending it. Consider asking another person to review it as well.

Common mistakes to avoid

When writing a letter of application for employment, be aware of these common mistakes:

  • Being too generic: Focus your letter on the specific job and company, and mention detailed information about them. Don’t default to a one-size-fits-all approach or AI-written document. “It is generally best to avoid using generative AI to write your application letters for you,” says Edward Tian, CEO of AI detector GPTZero . “Only you can write about those specific aspects of your identity and experiences in such a personal way.”
  • Focusing too much on yourself: While it’s important to highlight your qualifications, make sure to explain how you can benefit the company. “You can talk about your career goals, college classes that piqued your interest in the type of job you're applying to—just make sure that they tie into why they make you uniquely qualified or well-positioned for the job,” Tian says.
  • Including irrelevant information: Avoid discussing unrelated jobs or hobbies, for example.
  • Using a casual tone: Maintain a professional tone throughout your letter. Avoid slang or overly casual language.

Leave Application for Office

Taking some days off work is undeniably important because everyone needs to take leaves at several uncontrollable times. In fact, research shows that employees who make use of their annual leave tend to be 40% more productive. This is because they’re less prone to irritability, depression, forgetfulness, and fatigue than those who don’t take any time off. It just goes to show you that sometimes it pays off in terms of productivity when you give yourself some rest. In this blog, we’ll help you get your well-deserved time off work by showing you how to write a leave application for an office that cannot be rejected.

Table of Contents

How to Write Leave Application for Office?

To ensure your leave application for office is written professionally and includes all the key information, follow these guides on how to write a leave application for office. Additionally, to learn how to communicate professionally in a corporate office, you can pursue a business communication skills course .

1. Understand Your Organization’s Policy on Leave

It is important to review your company’s leave policy and rules carefully before planning a vacation or any other activity that requires taking time off. Understand your entitlement to various types of leaves offered by the company, including earned and casual leaves. Also, understand their eligibility criteria.

2. Add the Subject (Purpose) of the Application

This is where you state why you are submitting an application for leave of office. You should specify what type of leave it is, such as a vacation or sick day request.

3. Include Salutation and Receiver’s Name

Here, include who the letter is addressed to, which could be your boss or a specific individual in the Human Resources team.

4. Mention the Reason for Taking Leave

Explain in detail why you require this time off from work including events like medical appointments/treatment that require absence from the workplace etc. This way, your superior understands fully without leaving any doubt the reasons you’re requesting this time off.

5. Specify the Number of Leaves Needed

Employees should indicate the dates that they will need to be away from work. This includes both the start and end date of their leave period.

6. Include a Work Plan During the Absence

Employees can create a plan for their absence, outlining tasks to be completed before they leave. They should also provide detailed instructions on how to execute daily duties in case of emergency when not present at work and offer training and knowledge transfer to any substitutes during the period away from duty.

7. Add Contact Information

Employees must supply their up-to-date contact details in order to be reachable by co-workers during any emergency situation. To ensure minimal disruption or loss of productivity due to said absences, employees should remain available via phone/email if needed.

8. Use Polite and Professional Language

Express your request for leave in a respectful and professional way. Be sure to keep an appropriate tone throughout the conversation, using phrases such as “Please,” “Thank you” and other polite words that demonstrate respectfulness.

Ask politely rather than demanding support, being mindful of how decisions might affect both parties involved. Show appreciation if granted permission by expressing gratitude with statements like “I am very grateful” or “I would be most obliged”.

9. Conclude Professionally

End your application letter for leave in the office with a polite closing phrase such as ‘Warm Regards’, or ‘Yours Sincerely’, followed by your name. If you are sending a hard copy of the leave request make sure to sign it at its end for added authenticity.

10. Proofread Your Leave Application

Review your leave letter for any mistakes. It might be helpful to read it aloud as this can help pick out typos, grammar issues, and anything else that doesn’t sound quite right. Additionally, check that the dates you have specified in the document are correct and make sure all of the information is accurate before submitting it. Make adjustments where needed so that there are no errors in your application.

What is a Letter of Recommendation for a PhD Program?

A Letter of Recommendation, or LOR, is a crucial component of your PhD application. It provides valuable insights into your academic brilliance, personal character, and research potential from a trusted source, such as a professor or employer.

Many universities in the United States, such as Harvard University and Stanford University , mandate the submission of two to three academic Letters of Recommendation for PhD applicants.

Crafting a compelling LOR can be challenging, which makes having a sample LOR an invaluable resource. By studying a well-structured sample, you can effectively highlight your strengths and experiences, impressing the admissions committee.

What is the Need for Letter of Recommendation for a PhD Student?

A letter of recommendation is crucial for PhD students because it offers a detailed look at your academic skills, research potential, and personal qualities from someone who knows you well.

Universities like Stanford require three letters of recommendation for their PhD programs. Admissions committees use these letters to understand your past achievements, work ethic, and fit for advanced study.

LOR’s often highlight your strengths, accomplishments, and specific contributions to research projects. This outside perspective helps set you apart in a competitive selection process, showing you have the skills, dedication, and curiosity needed for the program.

Whom Should You Ask for a Letter of Recommendation for a PhD?

Selecting the right recommender is critical in crafting a compelling letter of recommendation for a PhD. Your recommender should be a determined advocate capable of providing an unbiased assessment.

Given that 25% of the US’s one million foreign student population is Indian, competition is fierce. Unlike self-authored documents, an LOR offers an external perspective exclusively shaped by the recommender’s observations. This unique viewpoint is invaluable.

Your PhD recommender should be someone who:

  • Has a good rapport with you.
  • Understand your strengths, weaknesses, and potential.
  • Has witnessed your academic and professional growth.
  • Is familiar with your research interests.
  • Believes in your research goals.

2. Professional LOR

A professional LOR is typically authored by a supervisor or manager from your workplace. A letter of recommendation for a PhD from an employer should emphasise your research contributions, problem-solving abilities, and potential for independent scholarly work.

It should demonstrate how your practical experience has equipped you with the foundation to excel in doctoral studies.

A Professional LOR, on the other hand, is provided by an employer or supervisor who can discuss your skills and contributions in a workplace setting.

Q. How long should a Letter of Recommendation for a PhD be?

A. A typical LOR should be 400-500 words, spanning one to two pages. It should provide a comprehensive view of your qualifications, achievements, and potential without being overly verbose or too brief.

Q. How does a Letter of Recommendation for PhD admission impact my application?

A. A Letter of Recommendation for PhD admission is crucial because it provides an external perspective on your abilities, character, and potential as a researcher.  This letter helps the admissions committee understand your readiness for a doctoral program by highlighting your academic achievements and personal qualities, offering insights beyond what grades and test scores can convey.

Q. How can a sample LOR help me write my recommendation?

A. A sample LOR can provide a useful template or guide, showing how to structure the letter and what elements to include. It helps you understand how to effectively highlight your strengths and tailor the letter to the specific program you’re applying to.

Q. How should I format a Letter of Recommendation for a PhD?

A. Use Times New Roman font, size 10 to 12, with 1-inch margins. The letter should be single-spaced with double spaces between paragraphs, left-aligned, and include the recommender’s signature and contact information.

Q. What common mistakes should be avoided in a Letter of Recommendation for a PhD?

A. Avoid generic or vague language, unclear descriptions of your relationship with the recommender, and late submissions. Ensure the letter is honest and detailed and highlights your strengths and unique qualities.

Q. Can a Letter of Recommendation for a PhD impact my application?

A. Absolutely. A strong LOR can significantly influence the admissions committee by providing validation of your academic and research capabilities. It adds a personal dimension to your application that grades and test scores alone cannot convey.

Q. What should I include in a Letter of Recommendation for a PhD application?

A. When writing a Letter of Recommendation for a PhD application, include details about your relationship with the applicant, their academic and research achievements, and specific examples of their skills and contributions.  The letter should also discuss the applicant’s potential for success in a doctoral program, and why they are a strong candidate for the PhD program they are applying to.
