Good header design involves creative use of typography, spacing, layout and often a splash of color. Make the most of it, because everything below the header will be solid black chunks of text.

Physicians seeking a practice opportunity might think of the cover letter as an old-fashioned, generally unimportant component of their application for or expression of interest in a position, but that is not the case. In this digital age of clipped, often rapid-fire communications, the cover letter has become more important than ever because it offers a way to differentiate the physician from other candidates. It provides a vehicle for sharing personal and professional information that might be important to prospective employers but doesn’t quite fit in the CV. The cover letter should be brief, well written, professional and positive in tone, and absolutely error-free. It should also give the recipient the sense that the physician has researched the opportunity or organization before writing the letter.

When a physician encounters the seemingly perfect practice opportunity — with a mid-sized group in their hometown that is affiliated with a health system that has an excellent reputation — it’s tempting to quickly compose the requested cover letter to accompany her CV and send it off.

Yes, it is smart to express interest in a desirable position as soon as possible, but it’s not prudent to view the cover letter as a mere formality. Today, when so much communication between physicians and recruiters or prospective employers is electronic — in either brief email responses or via online forms — the cover letter has become increasingly important. Here’s why: The carefully crafted letter offers an opportunity to differentiate the resident or fellow from other physicians who respond, and a chance to demonstrate highly personalized interest in the position.

“The cover letter’s value is certainly not decreasing in the digital age. Because it is usually the second contact physicians have with an organization, it is very important,” said James Tysinger, PhD, vice chair for professional development in the University of Texas Health Science Center department of family and community medicine in San Antonio. “It is your opportunity to include something about who you are, and to provide information that won’t be in your CV about why the position and the geographic location interest you.” For the resident seeking a fellowship, the letter is the ideal vehicle to convey to the program director that the physician has researched the program’s focus and reputation, he added.

Longtime recruiter Regina Levison, president of the national firm Levison Search Associates, agrees that the geographic preference statement is a vital piece of information that should appear early in the letter. “The geographic ‘connection’ to the opportunity’s location is the most important message you can include — whether it’s because you grew up there, have relatives in the region, or simply have always dreamed of living or working there,” Ms. Levison said. “Health care organizations today are not just recruiting to fill a specific opportunity; they are recruiting for retention.” As the health care delivery system changes to incorporate accountable care organizations and quality focused reimbursement, organizations are seeking physicians who will “stay around” to help meet long-term organizational objectives.

Craig Fowler, president of the National Association of Physician Recruiters (NAPR), and vice president of recruiting and training for Pinnacle Health Group in Atlanta, urges residents to include at least an introductory cover letter or note with their CV, even when it’s not requested. In his experience, 8 out of 10 physicians who express initial interest in a position don’t take the effort to write a letter unless asked.

“The cover letter really is a differentiator, and even though a recruiter will always look at your CV first, the letter is nice to have. I often feel that it gives me a sense of the physician — a good letter can make the physician come to life,” Mr. Fowler said. He enjoys, for example, learning about the physician’s personal interests and family, in addition to what he seeks in a practice opportunity.

Peter Cebulka, director of recruiting development for the national firm Merritt Hawkins, agrees that the cover letter can provide information that isn’t appropriate in a CV but could be important to a hiring organization. “The letter gives you a chance to talk about your professional goals, or why you’re committed to a particular area or practice setting,” Mr. Cebulka said. It can also highlight something compelling about the physician’s residency program that the recipient might not know.

If there are gaps in the CV that are not sensitive in nature, and therefore don’t require a phone conversation, that information should be included in the letter. “It’s important to briefly explain gaps because your application might be passed over if you don’t,” Mr. Fowler said.

Jim Stone, co-founder and president of The Medicus Firm, a national physician search company, offers helpful guidance on incorporating a career objective in the cover letter. “You may want to include a career objective or job search goals, but be careful not to be too specific or you may rule yourself out of consideration,” he advised. “Therefore, if there is one goal that really sums up your search, or some objective that is a must-have for you under any circumstances, it would be okay to include that.”

On another note, Mr. Stone urges physicians to include brief examples of any soft skills, such as communication, teamwork, technological aptitude, leadership, or problem solving.

Format and structure: short and targeted works While there are no rules per se about a cover letter’s length or content, there are general guidelines for what works best and is likely to be well received. (See “Cover letters: What to do, what to avoid” section at the end of this article.) Dr. Tysinger, who counsels residents and practicing physicians on preparing CVs and cover letters, and frequently presents on the topic, recommends a single-page, three-paragraph format delivered in a professional, business letter layout, in simple language. Following is his basic guidance on the letter’s structure:

  • First paragraph: Introduce yourself and state why you are writing — whether that is to be considered for a specific position, to express general interest in joining the organization, or the recommendation of a colleague.
  • Second paragraph: Provide brief details about yourself and why you are interested in the opportunity and the location. Note any professional connections to the opportunity or organization, and any special skills or interests, such as management or teaching.
  • Third paragraph: Thank the recipient for the opportunity to apply and for reviewing your CV, and end the letter with a statement indicating that you look forward to hearing from the recipient soon.

Other sources agreed that cover letters should not exceed one page, unless special circumstances dictate an extra paragraph or two. In that case, a two-page letter is acceptable. Ms. Levison advised briefly summarizing education and training in the second paragraph, and if it’s the physician’s first opportunity search, stating briefly why he became a physician.

It’s best to avoid going into extensive detail about personal interests or extracurricular pursuits. That could give the recipient the impression that the physician is more concerned about lifestyle than medical practice.

Professional tone, error-free content are musts It should go without saying that the cover letter must be professionally written and free of spelling or grammatical errors, but unfortunately, that’s not always the case. All of the recruiters interviewed for this article have received cover letters that are poorly written or, in some cases, replete with misspellings; all agreed that an error-riddled letter could prevent its writer from being considered for an opportunity regardless of her or his qualifications.

Of course, word processing programs include spell-checkers and, usually, some grammar-checking functionality. That’s helpful, but it isn’t sufficient vetting to ensure the letter is in excellent shape. Because of the letter’s potential importance, physicians should have several trusted individuals — on the professional and personal side — review the document, including a professional editor, if warranted. “If writing isn’t your strong suit, or English isn’t your first language, do get professional advice before you finalize the letter,” Mr. Cebulka recommends.

Ms. Levinson offers pointed advice regarding double-checking for errors. “Are there any typos or mistakes that would make the new organization question your ability to keep accurate records?” she said. It’s worth noting that some recruiting firms offer assistance with cover letter writing, but it’s best not to count on that service.

Striking the right tone in the cover letter can be somewhat challenging when the resident doesn’t have a good sense of the organization offering the opportunity. Some hospitals or groups are very formal, and therefore expect to receive formal communication. Others might be somewhat casual, from the standpoint of their culture, and therefore less inclined to bring in a physician who comes across as stiff, even if she isn’t. For these reasons, it’s smart to research the hiring entity to the extent possible before finishing the letter. The group’s website or the health system’s physician portal are good starting places to gauge the culture, but a discussion with a physician who practices there, happily, also can be helpful.

Ideally, the letter’s tone should be professional but friendly, and should sound like its writer, and not like a cookie-cutter form letter. “The letter should be professional and warm, and the tone should also reflect how you would communicate with patients and staff,” Ms. Levison said.

“A little colloquialism is OK, if it shows your personality,” Mr. Fowler maintains, provided the overall tone remains professional.

The sources concurred that the cover letter is not the forum for including a laundry list of the physician’s position parameters, or for negotiating compensation or other potential contract terms. Physicians in a highly recruited specialty might mention required equipment or infrastructure, if the lack of those items would preclude further discussion. But for the most part, those specifics should be left for an on-site interview.

“If the parameter is a potential deal-breaker, you can mention it, but avoid sounding inflexible,” Mr. Cebulka advised. That means not setting limits on the amount of call, or number of night shifts or weekends, for example. Those details can be discussed and possibly negotiated later.

Very important parameters should, however, be provided to the recruiter outside the context of the cover letter if such detail is requested. That’s especially important if the recruiter will introduce the physician to multiple opportunities.

“If you’re in a highly recruited specialty, there will be plenty of opportunities. But it’s helpful for recruiters to know what you’re absolutely looking for, so that you don’t waste your time or theirs,” Mr. Cebulka said.

Cover letters: What to do, what to avoid The sources who contributed to this article offered these additional tips on what physicians should do, or not do, when they craft their cover letters.

  • Address the cover letter to an individual physician, practice administrator, recruiter, or other individual as the situation warrants, and not “to whom it may concern.”
  • Be upbeat and positive. Ensure that the letter’s tone reflects your excitement about medicine, and that it reflects the way you would speak in an in-person interview.
  • Include letters of reference with the cover letter if you’re looking for a fellowship or are formally applying for a specific position.
  • Close the letter with a call to action if it’s an ideal opportunity (and likely a popular one). Let the recipient know that you will call in a few days to follow up, and indicate when you would be available to meet in person. It doesn’t hurt to state the best ways to reach you.
  • Don’t sound desperate or beg for the job, even if it’s the perfect opportunity or you are worried about securing a position.
  • Steer clear of “selling” yourself or making claims about why you would be the absolute best candidate. Instead, let your credentials and references make the case for you.
  • Avoid sarcasm in any context, and generally steer clear of humor, unless you know the person to whom the letter is addressed very well.
  • Don’t disparage individuals, programs, or institutions if you have had a negative experience somewhere — regardless of the reason.

So, what is a cover letter?

The purpose of a cover letter is to provide specific and unique details about what you have to offer the employer for the role that they are advertising. While the goal of a resume can be to provide a quick snapshot of your experiences, the pre med cover letter allows you to emphasize your most relevant ones and provide more in-depth information on how you will transfer your skills to fill the employer’s needs.

To address why a cover letter is important, we must remember that employers are usually reviewing many applications for limited spots. As a result, they must find ways to decide which applicants merit further interest and which ones are not well-suited for the position. Therefore, a strong pre med cover letter can pique an employer’s interest while a weak cover letter may mean the end of your candidacy. Coupled with a comprehensive pre med resume, a focused and specific cover letter can catapult your application to the top of the pile.

Breaking down the cover letter sections.

Before we get into specific sections, make sure to note that the header for a cover letter is formatted slightly differently from a resume. That is to make it look like – well, a letter!

On the top left of the letter, include the name and address of the hiring manager/employer so that it is clear who you are addressing the letter to. This should include the reader’s name, professional title, company, address, email, and phone number.

In the first paragraph of the cover letter, briefly introduce yourself, mention the specific role you are applying for, and describe how you heard about the position (college job board, personal connection, or online). You should also include a brief overview of three reasons why you believe you are the strongest candidate for the role and highlight key skills that you will describe further in the body of the letter. In the body paragraphs of the letter, you must emphasize your interest and qualifications for the position with 2-3 specific and relevant examples from your past experiences. You can discuss your academic background, relevant volunteer opportunities, and relevant  extracurricular experiences.

While you may briefly describe your roles and responsibilities in these experiences, make sure to focus on tangible takeaways and skills that you have acquired from these roles will also link their previous experiences with the job responsibilities they are applying for.

This is also a good place to mention or reference any research you have done on the employer and why you admire their work. Finally, make sure to thank the employer for their consideration and express your enthusiasm for the role.

5 Tips to Create a Winning Pre Med Cover Letter

Now that we have seen how to structure and organize a cover letter, we want to provide specific advice on how to build a strong pre med cover letter.

Tip #1: Use the job description

A great way to ensure that your letter is specific and focused on the position is to use the employer’s job description. If you are struggling to find relevant experiences, try writing down some of the competencies that are in the job description and seeing if you have gained these competencies in any of your previous roles.

Helpful questions to consider include:

  • When have you done something similar to what they list in the job responsibilities?
  • What are the ways that you meet their qualifications?

The more that you are able to parallel the language used by the job description, the more a reader will believe that you possess the requisite skills for the role. For laboratory positions, for example, reference any previous work that you may have done and highlight general skillsets in the job description that overlap with your experience.

Tip #2: Do your research and reference it

Another way to demonstrate your interest in the employer and their work is to research the role and some of the recent work of the company. Referencing specific details about a recent project and your corresponding interest in a similar area is a great way to show compatibility and your knowledge of the employer’s output. This could be a recent publication by a research lab that you find fascinating or project published by a volunteer organization that you admire. Demonstrating your interest in their work before you have been hired is a great way to signal your dedication to goals of the employer.

Tip #3: Mention connections and conversations with representatives of the role

Oftentimes, anyone who is reviewing resumes has to sift through countless applications and will try to find any factors which allow them to quickly place you in the “further consideration” or “rejection” piles. One way to increase the chances that your application finds itself in the “further consideration” pile is to mention any work you have done to get to know the employer better. While this could take the form of referencing their work, as discussed above, this can also come from specific people and conversations that you have had with them. At small organizations, the hiring manager or employer may reach out to these representatives to gain their assessment of you or see the effort that you have undergone as reflective of your interest. Nonetheless, the employer can always reference these conversations in an interview so make sure that they are accurate!

Tip #4: Emphasize what the company will gain from you

Remember that although you are applying for the job, employers are also looking for the best person to fits their needs. In order to demonstrate not just how you will gain from this opportunity, but also how the employer will benefit, make sure to identify what qualities you will bring to the employer. In our example sample cover letter for medical internships, it is clear that the applicant already has extensive knowledge and recognized contributions in the lab’s focus area due to his past laboratory experience. This specialized experience would make him a more attractive candidate than someone who has done a different kind of research or has not done research before.

Tip #5: Address Concerns

The pre med cover letter also is a place to preemptively explain anything that might give a hiring manager pause, such as a gap in employment or your motivations for leaving a previous role. If you were out of work, briefly explain what you’ve done in the meantime to keep your skills up to date. Your residency is a critical step on the road to becoming a board-certified physician. Unsurprisingly, the  residency matching process  is incredibly competitive. Program directors look for candidates who have demonstrated excellent academic performance, boast a strong academic record as well as great USMLE scores, and are supported by impressive letters of recommendation.

Before you have a medical residency interview , you can write an impactful personal statement. It is the perfect opportunity to catch a residency program director’s eye. We share some tips from an St. George’s University School of Medicine Alumni and their tips for how to craft a strong residency personal statement.

Physician-approved tips for writing a great residency personal statement

The National Resident Matching Program’s (NRMP)  2024 Program Director Survey  indicates that a candidate’s personal statement for medical residency is among the most important criteria program directors consider when reviewing applications.

Many programs begin filtering candidates by USLME scores, which essentially leaves everyone on a level playing field at that point. You’ll want to craft an eye-catching personal statement to help you stand out in the crowd. Follow these tips for doing just that:

1. Express your individuality

You can demonstrate your academic excellence by offering evidence of a strong medical school performance and a solid USMLE score. However, your residency personal statement offers the opportunity to give program directors a more complete picture of who you are as an individual.

This essay is a chance to highlight what sets you apart from other applicants, so it’s important to go beyond simply listing your achievements. These items will already be included in your curriculum vitae (CV) , so it won’t help admissions committees learn anything new about you.

It’s also smart to ensure that any of the experiences or extracurricular activities you do write about in your personal statement are true interests of yours. Dr. Natasha Sriraman, pediatrician and St. George’s University (SGU) graduate, notes that review committees can tell when you’re not being genuine.

“Don’t do things because you think it’s going to look good,” she advises. “Do things that you’re passionate about.”

2. Demonstrate your interest in the specialty

By the time you reach medical residency, you should have a solid idea of the medical specialty you’re want pursue. With that in mind, it’s a good idea to focus on why you are drawn to that specialty in your residency personal statement.

Be sure to do this in a way that is true to your personal passions rather than providing generic, surface-level motivations. For example, Dr. Sriraman says she’s come across too many candidates applying to pediatrics programs who say they love of working with children. “We all like kids,” she jokes. “That’s not a reason to go into this field of medicine.”

Instead, she suggests sharing an anecdote from an experience you had that influenced your decision to pursue that area of practice. This example could be a recent encounter during clinical rotations, a string of interactions with a particular instructor, or even something that happened prior to your time in medical school. By making a logical connection with you education and practical experience, review committees will have a better understanding of how your experiences will contribute to your success as a physician.

3.Address any potential concerns head-on

It can be uncomfortable to feel like you have any sort of blemish on your CV. But rather than shying away from a bad semester or a mysterious gap in your education, you can use your personal statement as an opportunity to elaborate on what was going on in your life at that time.

Putting academic issues or delays into context can make a big difference. It demonstrates that you possess levels of self-awareness and personal responsibility that can be pretty crucial when practicing medicine.

Furthermore, omitting issues in your personal statement doesn’t mean you can avoid addressing them—if you make it to the next phase of the application process, you can expect these topics to come up in your medical residency interview s. “While it is important to address this gap within your personal statement, I also advise medical students to practice what they’re going to verbally say when asked about the gap during the interview,” Dr. Sriraman says.

4. Be thoughtful about the structure

The Electronic Residency Application Service (ERAS) helps streamline the process of  applying to residency programs . They do provide ERAS application information and webinars, but the user guide can be pretty vague about the content when it comes to the personal statement for residency. As long as you structure your essay with an introduction, a middle section, and a conclusion, how you choose to arrange your personal statement is really up to you. What’s most important is that you’re able to keep your readers interested.

If you’re unsure of where to begin, apply the same approach you would with a paper in high school or college. Create an outline to help organize your thoughts, building a logical progression of ideas and experiences. While the parameters around the structure of your residency personal statement are loose, it is a common best practice to limit it to one page in length.

5. Don’t forget to edit and proofread

It’s often helpful to employ an iterative process when drafting this essay. Start by getting everything out on paper. Then go back and begin whittling your story down to include only the most important pieces.

Once you’re happy with how you’ve articulated your experiences and aspirations, it’s smart to enlist some outside opinions. Having a trusted mentor, instructor, or classmate read through your personal statement can be helpful, as they’re familiar with the inner workings of the medical field.

In addition, feedback from people from more casual acquaintances can help you collect objective opinions based solely on your writing. And be sure to have any strong writers or editors you know proofread your essay because even the smallest errors could make a big statement about your focus or attention to detail. As stated in Article 32(3) of the Visa Code of the Schengen Agreement those who have been refused a visa have the right to appeal the decision. This can be done through a Schengen visa appeal letter.

An appeal letter for Schengen visa refusal is a formal written document that an applicant submits to the relevant embassy or consulate of a Schengen country to request a review and reconsideration of a previously denied Schengen visa application.

The appeal letter must be well-structured, address refusal reasons thoroughly, and present your case persuasively, ensuring you have the best chance of success.

What Should an Appeal Letter Contain?

An appeal letter for refusal of a visa should contain the following information:

  • Your personal details . The letter must contain details about the person writing it, such as their name and surname, date and place of birth, passport number, as well as their current address. You are strongly advised to put your email address and phone number in the letter as well.
  • The date when your application was rejected. T ake care to mention at the very beginning when you received the rejection letter on your application.
  • The reason behind your visa refusal as stated in the rejection letter you received.
  • Why you believe the rejection was incorrect . Explain why you think your application was wrongly rejected, and why they should approve it. List the reasons, if more than one, why you believe the decision on the denial of your application must be overturned. This is the most important part of the letter so pay attention to it!

Address the appeal letter to the competent authority.

Paragraph 1: 

In the first paragraph, you should introduce yourself, your name, home address, date and place of birth, and passport number. Tell the reason why you are writing this letter. Indicate when you applied for a Schengen visa, and where, as well as under what purpose you wish to visit the Schengen zone.

Paragraph 2:

State when you received the rejection letter for your visa application and the reasons on which the denial was based, if any. Assert the reason(s) why you believe that your application was denied incorrectly.

Paragraph 3:

Elaborate these reasons. Try to argue with them in a convincing way. You can use references, so you prove your assertion is not wrong. Write why they should approve your Schengen visa focusing on the reasons given behind the rejection. Remember that your application depends on how strong the grounds you base your appeal are on and how convincing you sound.

End the appeal with the date of your planned trip to create a sense of urgency especially if you really do not have much time left to wait.

Once inspected and completed by the treating physicians, these letters are provided to a patient's general practitioner or next physician upon discharge, and typically include a summary of the patient's stay based on their medical records.   Large Language Models like GPT hold significant promise for the healthcare sector, for example in reducing the administrative burden experienced by physicians. However, to harness this potential for clinical applications, the quality of the generated clinical notes must be meticulously evaluated. The initial step in this process is to validate the generated text, which involves systematically assessing the quality of the model's output.   In collaboration with the Data Science Plan of the Julius Center, the application underwent rigorous validation for use in the neonatal and intensive care unit departments at the UMC Utrecht. The initial validation process revealed that GPT omitted facts at least once in approximately 40% of the draft discharge letters and hallucinated facts at least once in less than 30% of the drafts. The levels of omissions and hallucinations in the draft letters were deemed acceptable to continue to the next evaluation stage by the physicians involved in the study. Usability scores revealed that GPT’s draft letters were comparable in usability to physician’s letters.
