When I was in my third year of graduate school I did an unthinkable thing: I had a baby.

I will admit it, I was already one of those organized people, but becoming a parent -- especially as an international student without nearby help -- meant I had to step up my game when it came to time-management skills. Indeed, I graduated in five years, with a solid publications list and my second successful DNA replication experiment in utero.

In a culture where the answer to the question “How are you doing?” contains the word “busy!” 95 percent of the time (nonscientific observation), knowing how to manage your time efficiently is key to your progress, your career success and, most important, your overall well-being.

In fact, a recent career-outcomes survey of past trainees conducted by Melanie Sinche, a senior research associate at the Labor and Worklife Program at Harvard Law School, showed that time-management skills were No. 1 on the list of “skills I wish I were better at.” Thus, I believe some advice could be helpful, whether you need assistance with your academic progress, a job search while still working on your thesis or the transition to your first job (one in which you feel somewhat overwhelmed).

Luckily, you don’t need to have a baby to sharpen your time-management skills to be more productive and have a better work-life balance. But you do need to be able to understand what promotes that constant feeling of busyness that causes us to feel like we don’t have time for anything.

Let’s start with the basics of time-management mastery. They lie in what is known as the Eisenhower method (a.k.a. priority matrix), named after President Dwight D. Eisenhower, who said, “What is important is seldom urgent, and what is urgent is seldom important.” According to that method, you need to triage your to-do list into four categories:

  • Urgent and important. This category involves crises, such as a medical emergency or when your lab freezer breaks down. It is the things that you need to take care of now! If most of the things you do fall into this category, it suggests you are just putting our fires and not doing enough planning, i.e., spending time on the nonurgent and important category of tasks.
  • Nonurgent and important. In a perfect world, that’s where most of your activity should be. It requires planning ahead, which can be more of a challenge for those of us who like to wing it, but it is still worth trying to plan some aspects of your daily life. This category also applies to activities such as your career development or exercise. If you want to make sure you have time to attend a networking event or go for a run, you don’t want to start an experiment 30 minutes before.
  • Urgent and not important. These include all the distractions we get from our environment that may be urgent but are really not important, like some meetings, email and other interruptions. Wherever possible, these are the things you need to delegate to others, which I know is probably not an option for most of us. Evading some of these tasks sometimes takes being able to say no or moving the activity to the next category of nonurgent and not important.
  • Nonurgent and not important. These are the typical time suckers such as Facebook, Candy Crush, cute cat videos and, most recently, Pokémon Go.

As Homo sapiens, we tend to focus only on what is urgent. I am no neuroscientist, but I assume it was probably evolutionarily necessary for our survival to wire our brain that way. Unfortunately, in today’s world, that beep on our phone that we will drop everything we are currently doing to check is often not as urgent as, let’s say, becoming a lion’s lunch. Therefore, ignoring it requires some serious willpower. Since the average person has only so much willpower, here are a few things you can do to make sure you spend most of your time on the nonurgent and important category.

Make a list and schedule tasks. Prepare for what’s coming. Start your day (or even the evening before) prioritizing your to-do list using the priority matrix and writing it down. There is plenty of research that shows that when we write things down, we are more likely to achieve them. I still love a good piece of paper and a pen, and checking off things on my to do-list gives me great joy. (Weird, I know.) But I also find tools like Trello very useful for tracking to-do lists for multiple projects as well as for collaborations. If you make a list but have the tendency to avoid it, try Dayboard , which will show you your to-do list every time you open a new tab.

Also, actively putting things that are important to us on the calendar (e.g., meeting with a good friend or hitting the gym) makes us happier. We all have a gazillion things we can be doing every day. And the key is to focus on the top one to three things that are most important and do them one task at a time. Yes, you read it correctly. One task at a time.

Understand that multitasking is from the devil. In our society, when we say that we are good at multitasking, it is like a badge of honor. But let’s admit it, multitasking is a scam. Our poor brains can’t focus on more than one thing at a time, so when you try to reply to email when listening on a conference call, you aren’t really doing any of those effectively -- you are just switching between tasks. A study from the University of London a couple of years ago showed that your IQ goes down by up to 15 points for men and 10 points for women when multitasking, which from a cognitive perspective is the equivalent of smoking marijuana or losing a night of sleep. So, yes, you get dumber when you multitask.

Moreover, other research has shown that constant multitasking can cause permanent damage to the brain. So instead of a skill we want to be proud of, it is in fact a bad habit that we should all try to quit. It can be as easy as turning off notifications or putting tools on your computer such as FocusMe or SelfControl . Such tools will allow you to focus on one task at a time by blocking distractions such as certain websites, email and the like. This brings us to the next topic of why and how you should avoid time suckers.

Recognize and avoid time suckers. Distractions are all around us: email, meetings, talkative colleagues and our very own wandering minds. The digital distractions such as email, Facebook, texting and app notifications are excellent attention grabbers. We all have a typical Pavlovian response when we hear that beep on our phone or computer -- we have to check it out and respond, and that usually leads to some mindless browsing … then we forget what we were supposed to be doing. Indeed, research shows that it takes on average 25 minutes to refocus our attention after an interruption as simple as a text message. Moreover, research also shows that those digital interruptions also make us dumber, even though when we learn to expect them, our brains can adapt. When you think about the number of distractions we are all exposed to during the day, this accumulates to many hours of lost productive time.

Social science has shown that our environment controls us, whether it is eating, making a decision on what house to buy or trying to focus on a task. Clearly, we can’t control everything in our environment, but at least we can control our digital space. It is hard to fight that Pavlovian response and not check who just commented on your Facebook post or pinged you on WhatsApp.

But while technology robs our focus, it also gave us tools to fight it. Even something as simple as turning off email notification can minimize the distraction. If you don’t think you are wasting time or just like a good scientist want to collect data about yourself, try RescueTime . Additionally, there are some great tools to help us stay distraction-free, such as StayFocused , which is a browser extension that blocks you from spending more than X amount of time on social media sites, and Freedom , which blocks distracting websites and apps across devices.

Take a break. Being more productive is great, but don’t expect to be able to focus on the same thing for long periods of time. Take short breaks to recharge. You should not feel guilty for doing so because you are too busy. The science backs up the importance of taking a break, as it helps you re-evaluate what you are doing, retain information, make new connections and more.

For those of you who love having a structure, a number of systematic methods allow you to take breaks and stay productive. One such method is the Pomodoro technique. You decide the task you are going to complete, set a timer for 25 minutes and, when time is up, take a five-minute break. Another favorite method is to work in 90-minute time blocks, which follows our natural body rhythm. What you do on your break can matter, too. Productivity-boosting activities go beyond getting a cup of coffee: you can stretch, take a short walk, read something that’s not work related, daydream or look at adorable animal videos.

Full disclosure, while writing this post I had to resist endless distractions, some of which I couldn’t resist and gave in to; I am not perfect by any means. Yet, you don’t have to become a time-management Jedi to be more productive in your life and work. Just be aware of how you spend your time and allocate as much as you can to the important and nonurgent category of tasks. Finally, try to avoid the urge of multitasking. Then you can have the time to work productively on your goals and still have enough left over for the things that you enjoy and that make you happy.

Students who manage their time well are more likely to cope with the stress associated with the increased academic and co-curricular demands of school life. As students scale the academic ladder, they will inevitably encounter increased workloads in line with their higher academic status.

With this increased workload comes a degree of stress that if not handled and dealt with, can seriously affect the overall health of a student. At the heart of the stress, managing strategy is effective time management. Through planning of events to avoid last minute rashes and clashes in activities, a student can reduce his or her chances of being stressed.

One of the causes of stress among high school students and college students is the difficulty in interacting with a completely new set of students and an even larger social group within the body of the learning institution (Shaffer 925).

Whether a student is moving from junior high school to high school or from high school to college, he/she has to deal with a completely new set of people. Shaffer et al. state that, the pressure to conform to real or imagined new standards can be overwhelming for some students.

This need to belong affects nearly all students and may lead some to be withdrawn and develop stress due to a perceived lack of belonging. As students try to establish a sort of balance between making friends and exploring the different social groups available at a new learning institution, the student’s academic performance may suffer and this will likely lead to conflicts with parents and teachers.

Coping with a larger group of students and teachers, coupled with having to learn more complex academic materials can be especially difficult for students who move to a new state or immigrant students who may have difficulties in communicating with other students.

Another source of stress for students in high schools and even colleges is the increased expectations from parents or guardians. Diaz identifies the pressure to pass exams as the most significant source of stress for high school students (29). Many high school students are especially easily angered and are generally unsocial during the week preceding major exams.

One major cause of stress related to exams is the high expectation placed on students to do well in examinations. This expectation is mostly from parents. The pressure and subsequent stress can be particularly intense in students enrolled in academic programs designed for gifted students like the International Baccalaureate (IB) program.

Students in these programs are expected to maintain high academic standards throughout a school term or semester, and this can be very stressful for them, especially since the expectation comes from both teachers and parents. Students who are sponsored by organizations and even well-wishers also experience more stress during exam periods since most of the time their sponsorship is pegged on maintaining a certain academic performance standard.

The increased workload associated with a higher academic level is also a major source of stress for students. According to Shannon, Niebling, and Heckert, many studies indicate an increase in stress levels for students as they move from one level of education to a higher one (312).

This can mostly be attributed to the increased workload that the students have to cope with (Ranjita and McKean 42). Further, students may be engaged in many different activities in high school and this may contribute to a workload increase that may prove hard to handle for the students. Many high school students actively engaged in a sport will have to work harder just to be at par with other students in his or her class who are not engaged in any sport or other time-demanding co-curricular activity.

Reduced physical activity has been a major factor in increased levels of stress amongst high school and college students. Spruijt-Metz states that there is a direct connection between the stress levels of high school students and their level of physical activity (180). The students who are less physically active are more likely to have higher stress levels, and vice versa.

Effective time management is the best way of reducing or eliminating stress associated with general lack of planning among high school students. Hechuan and Yang state that, one of the reasons that high school students experience academic related stress is due to inadequate or inconsistent sleep patterns (464).

Due to various engagements, students may find themselves sleeping irregularly, or getting fewer sleep hours, which eventually harms their academic performance by affecting concentration in class. They recommend that students should plan their day effectively to ensure they get adequate (about seven hours) sleep every night.

Hechuan and Yang also state that to avoid the stress associated with impending exams, students should prepare for the exams adequately by ensuring that they set aside study time every day, and this early preparation will ensure students are relaxed and confident as exams approach (465).

Students should also plan by setting aside adequate time for doing and concluding homework every day. This ensures that the workload for each particular day is effectively dealt with and no work is carried forward to another day.

The importance of ensuring that assignments for each particular day are completed is that it helps the students keep up with the class work and this reduces the pressure of having to read substantial amounts of information (a source of stress) during exam periods due to failure to do set assignments.

Another important stress reducing activity that should be factored in a student’s daily plans should be physical activity. Workload increase is inevitable and intense reading and studying as one climbs the academic ladder is a norm rather than an exception. Therefore, to effectively deal with stress, students should be encouraged to relieve stress through engaging in physical activities, which have the added benefit of re-invigorating the body, and this makes the student feel fresh enough for further academic activities.

As shown in the foregoing discussion, time management – planning activities to fit into a specific schedule is the best way of reducing stress levels amongst students. Through time management, students will be more likely to cope with stresses associated with the increased academic and co-curricular demands of high school and college.

Students who are keen on maintaining a certain high level of academic performance will strive to manage their time effectively to ensure that they engage in any institutional activity they desire without compromising their performance standards. Stress sets in only when the involved party fails to manage the available time effectively.

These 10 time management tips for high school students will help you organize your life while making high school feel like a breeze!

Time. The finite resource. The phenomenon that we all share in common.

It’s what motivates humans to do what they can on this Earth while they’re still here, and knowing how to manage your time as a student is the only way to maximize your efficiency.

I bet you didn’t think about it this way, but Bill Gates shares the same 24 hours as a 3 year-old girl.

What you choose to do with that amount of time everyday will ultimately define who you are as a person.

While we’re in school, time is not always in our control. We have to work around classes, deadlines, and be able to fit that in with all of our daily hobbies.

Not to mention learning how to juggle school and work!

First, let’s talk about why you need to manage your time in the first place…

Why Do I Need to Manage My Time as a Student?

Time management allows you to complete everything that you need to get done within a certain period. It will help you organize your life which can be quite difficult during school.

Once you start managing your time, you will notice better grades, higher productivity, and ultimately a better mood !

For all my lazy students out there who finally want to get out of bed and not watch Netflix all day, you need these tips! The change will feel amazing once you get used to it and you won’t want to go back to it ever again.

Things get busy during high school, I get it. Which is why I want you to implement these time management strategies and give yourself more time to do the things you love.

Let’s start one of the most important time management tips for high school students…

Have a Schedule

I’m sure you saw this one coming, but it’s essential!

Having a schedule where you can input your to-do list into specific time slots will be the easiest way to keep track of everything.

Planners with monthly, weekly, and daily pages are extremely useful for tracking priorities (which will be discussed soon).

If you need a good planner , I highly recommend this one for all of your time management needs.

Following your schedule religiously is the most important aspect of balancing school and your personal life.

Get in the habit of writing notes, random thoughts, and ideas that you have as you go about your day into the planner as well.

You should treat it as your second brain, so that way you don’t have to clutter everything in your real one!

Prioritize Your To-Do List

Having your to-do list written down is a great start, but prioritizing it is even more valuable. Here’s how to do it:

  • Go through what you have to do for the day
  • Group similar tasks together (time it takes to complete, similar subject, etc.)
  • Number the tasks in the order that you want to complete them
  • Start with an easier task for the beginning of every day (this helps reduce feeling overwhelmed and jump start your productivity)

I used to get a feeling of discouragement when I knew there was a lot to complete the next day, even when I had my to-do list written down. However, now that I prioritize the list, I don’t get that feeling anymore.

If you get that same feeling, then you might just be missing out on prioritizing your time. Give it a try!

Have Long Term and Short Term Goals

Having long term and short term goals will help you complete tasks faster and more efficiently.

Long term goals should be anywhere from 1 week to 1 semester. Short term goals should be within the time frame of 1 week, but usually 1-2 days.

When you manage your time this way, things start to become more clear. You’ll know exactly what you have to get done and the amount of time that you have to do it.

Once you have your long term goals, all you have to do is divide them up into weekly, daily, or even hourly tasks.

Those tasks are now your short term goals. If you finish tasks early, take on a little task here and there to finish everything before you’re supposed to.

Reward Yourself

Giving yourself some sort of incentive is a great motivator to keep at your goals.

Humans are naturally wired to do better at tasks that incentivize reward. Which is why we study hard for A’s, train hard for gold medals, and work hard to increase salary.

When it comes to time management tips for students, these rewards can be simple things like giving yourself a piece of candy when you’ve completed your tasks for the day.

Get in the Habit of Using Reminders

Although I don’t advise using technology to plan out your day, reminders on your phone can be a stress-free way to manage your time.

You should still have your goals written out in a planner , but reminders can help you remember when it’s time to complete them.

For example, if you don’t have your planner with you and you just got out of class, your phone can remind you to write down the homework you were assigned or to get studying for a test.

Reminders are essentially your back up planner for things that you may forget at times.

Avoid Distractions When Studying

This is probably one of the hardest time management tips for high school students to get down.

We love distractions. We love procrastination when we don’t want to do the hard work.

Here’s what I recommend you start doing now…

  • Turn your phone off for tasks that take longer than 30 minutes
  • Put your computer on full screen to avoid opening other tabs
  • Only listen to music that is designed for focus (songs without lyrics)
  • Study on a full stomach and have water next to you

Write the 4 bullet points above on a piece of paper and stick it on your wall in front of your desk so you never forget!

We get distracted by every little thing that we can, so cut them out for good when you’re studying.

How to Make Your Studying Time More Effective

There is a special formula that was created for the most efficient studying technique. I only use this method now and boy does it work well!

It’s called the Pomodoro Technique and here’s how it works:

  • Work for 25 minutes
  • Take a 5 minute break
  • Repeat 4 times
  • After the 4th cycle, take a longer 30 minute break

The amount of memory retention you get from this method is insane and will ultimately save you time in the long run!

I recommend setting a timer for the 25 minute cycles just so you stay on track. Avoid using your phone during the breaks and instead, go grab water or a snack.

Combining this technique with tip #4 can help you stay motivated and continue to study hard.

Multitasking Will Ruin Results

I can’t speak for everyone on this, because some people can make it work. However, if you are thinking about multitasking, I would advise against it.

Getting multiple things done during the same period of time statistically doesn’t make sense if you want to be 100% efficient.

If you work on 2 things at once, it’s almost impossible to put your full effort into both.

Plus, all the other time management tips for high school students are enough to avoid having to multitask in the first place. Take advantage of the other tips to make high school easier on you.

Minimize Deadlines

There is a theory about minimizing deadlines which summarizes that we give ourselves too much time to complete tasks , and in turn it ruins our efficiency.

For Example: If you have an essay to write that is due in 3 week, minimize that deadline to 1 week. On top of that, when you actually start the essay, give yourself 3 hours instead of the whole day to write it.

For some reason, we are able to complete tasks faster than we think! This can be a useful asset to keep in mind when you feel like your schedule is extra busy.

The 2-Minute Rule

Similar to minimizing deadlines, we tend to leave the easiest tasks for last.

These tasks can include washing a bowl after eating from it, doing laundry, writing something down, sending a teacher an email, etc.

Here’s what the 2-minute rule suggests…

If it takes 2 minutes or less to do something, do it right away.

This may be difficult for you at first, but from someone who always does this now, I can say that I feel so much more organized. Following this rule has changed my time management tremendously (and for the better)!

How to Organize Time Spent on Each Class

The best way to organize your time is by following these steps:

  • Make a syllabus outline with all of the dates of major deadlines for the semester
  • Color code the outline (use a different color for every class)
  • Use the above time management tips on prioritization to order the importance of the tasks
  • Split your time according to when tasks are due and how long it takes to do them

Everybody will have a different way to do this. This method is simply what has worked for my friends and I.

The most important thing to keep in mind for this is your syllabus due dates. That’s your main focus for splitting up the time properly.

How to Start Managing Your Time Today

It will be hard for you to start implementing these tips if you say you’ll do it later.

Now is not the time (no pun intended) to wait for your schedule to magically appear in front of you. Here’s what you can do right this second:

  • Make a list of your deadlines for the semester
  • Get yourself a planner on amazon
  • Write out your personal goals (long and short term)
  • Make your schedule for tomorrow
  • Set reminders to start working on those tasks
  • Keep up with it!

Hopefully these time management tips will help you become a better high school student.

Remember that a lot of these methods are simply about organizing your brain onto paper so that you don’t have to cram everything into your head.

Our bodies are not designed for remembering every little thing we have to do.

Sometimes we just need a little helping hand to keep track of things. And that’s okay!

We have always considered time to be one of the most essential and precious things of our life. Our parents and grandparents always told us that time once gone will never come back. So it is better not to think about the time that has already passed but it is important to focus on the present, considering this time to be good and blissful. 

In the modern era, when everyone is leading a very busy life, and everyone has different kinds of things to put together, instead of finding out the fastest and easiest way to solve our problems to get the maximum benefits, we should always try to plan to work hard towards completing whatever we have in hand today, that is the most important or urgent task of the day and execute them, keeping our goals in view. We know there is no comparison to hard work. 

However, Urgent work may not always be very important, but they seem to be very critical. By doing and finishing the most critical task of the day, we feel energetic and our brain continuously feels very active.  

However, setting our priorities before working is a conventional method of time management. In this modern era, we should implement Covey’s Time Management Matrix 

According to Covey, each task can be broken down according to its urgency and importance. All in all, we have 4 categories of tasks.

Quadrant 1: Important and Urgent - Necessity 

To avoid serious consequences in future, in this quadrant we have to deal with the unforeseen events and pressing problems, immediately. Most of the time, some issues are unexpected and hence proper planning may not happen. Therefore, sometimes, it’s just enough to work on them proactively— before they have become urgent. 

Quadrant 2: Important but Not Urgent - Extraordinary Productivity

Tasks in this quadrant are not that urgent. We can keep them aside for some time, but this is a mistake.  Ideally, this is the quadrant where one should spend most of one’s time- working on strategic and high-impact tasks. They will bring more value to your studies, work or business. This is one way to help grow professionally and personally. 

Quadrant 3: Not Important but Urgent - Distraction

Since we have to constantly keep ourselves busy, in this quadrant we have to deal with the less urgent tasks. They might distract an individual from the main goals, but as Dwight Eisenhower puts it, ‘What is urgent is seldom important.

There are times when we can avoid these petty issues entirely, but the burden automatically reduces if this task gets delegated to someone else in the team or in class. If the delegation of this assignment is not possible then the same task can be completed by including small batches. The better the job, the more hours can be allocated for particular tasks thereby making the work easy. 

Quadrant 4: Not Important and Not Urgent - Waste 

These tasks are neither important nor urgent. Small amounts of trivial activities help us relax. Yet we tend to waste a lot of time in this quadrant, so it is always advised to be careful because we may be losing the present moment. 

Therefore, time management skills and following these quadrants during studies or at the workplace becomes essential to handle every project with diligence in future. In other words, as Lord Chesterfield had mentioned, “Take care of the minutes and the hours will take care of themselves.”

How to Make the Most of Your Time

You must examine a few factors that will assist us throughout our life in order to make the most of our time. Setting objectives, establishing to-do lists, prioritizing work, getting adequate sleep, and so on are all examples of this.

Set long-term and short-term goals to help you stay productive while striving to maximize your time. Furthermore, they will act as a motivator to keep you going. This will also motivate you to accomplish something in your life.
