The Blackboard course site PowerPoint 2016 has useful resources. You can self-enrol on this course.

  • Go to Blackboard.
  • Login using your University IT account username and password.
  • Click on the Courses tab at the top right.
  • Under Course Search type 'PowerPoint 2016'.
  • Locate the course called PowerPoint 2016.
  • Hover your mouse over the Course ID ITSX120.
  • Click the arrow to the right of the Course ID ITSX120.
  • Click Enrol.
  • Click either of the Submit buttons

New presentation To start a new presentation

  • Click the File tab and choose New Either  Select Blank Presentation to create a presentation from scratch Or  Select a suitable template Staff and Postgraduate Researchers: The University provides PowerPoint presentation templates. They have slide themes that fit the University’s visual identity and include the University of Leicester logo.

Slide design If your audience has to read big paragraphs of text they will be unable to concentrate on what you are saying. It is therefore preferable to limit the number of words on a slide. Ideally you should use:  Bullet points to identify key ideas.  Font size of at least 20pt.  A colour contrast between the text and the background to ensure the words can be read from a distance. Font Text size and colour can be set in the Font group on the Home ribbon. Background To change the background colour of your slides.

  • On the Design ribbon click the Format Background button. A Format Background window will open on the right of your screen.
  • Open the Color list box and choose the required colour.

If you want the new background on all the slides in your presentation.  Click Apply to All Slide Themes A Theme is a set of pre-set colours and fonts that can be quickly applied to all your slides. PowerPoint has many themes you can use. To apply a Theme to a blank slide or to change the slide Theme

  • On the Design ribbon, click the arrow in the bottom right corner of the Themes group.
  • Move your mouse over the different Themes to see a preview.
  • When you click on a suitable Theme it will be applied to all your slides.

Charts Charts can be used to visually illustrate your data and results. To add a chart to your slide

  • Click the Chart button in the placeholder or on the Insert ribbon.
  • Select the type of chart you require from the Insert Chart window.
  • Change the data in the Excel spreadsheet.  X-axis labels should be typed in column A  Legend labels should be typed in row 1
  • When you have finished inputting data close the Excel spreadsheet Note: If your data is already in an Excel spreadsheet you can copy and paste directly into your PowerPoint presentation.

SmartArt SmartArt provides a more graphical way of displaying your text, and can be used to liven up your slide. The SmartArt option gives you access to a range of objects including graphical lists, process diagrams, hierarchy charts (organisation charts) and cycle diagrams Insert a SmartArt graphic

  • Click the SmartArt button in the placeholder or on the Insert ribbon.
  • Choose a diagram type from the list.
  • Click OK. To add text to a SmartArt graphic  Select a shape in the SmartArt graphic and type to enter text. To remove unwanted shapes  Select a shape in the SmartArt graphic and press the Delete key. You can easily convert a bulleted list to SmartArt
  • Select the text, text box or shape.
  • On the Home ribbon click Convert to SmartArt.
  • Click OK. SmartArt Tools After inserting SmartArt you can use the SmartArt Tools, Design and Layout tabs to add or reorder shapes and edit the colour, style and layout of a graphic. When you select a SmartArt graphic the SmartArt Tools ribbon will be available.

Position and alignment To complete the design of your slide you may need to position or align the objects (images, shapes, text boxes etc). Order Sometimes you will want objects to overlap other objects. In PowerPoint the order of these ‘layers’ is determined by the order the objects are inserted; so the most recently created object will always be on top. However, you may want to change the order of the layering. You can do this by sending objects forwards and backwards in the layering using the Selection Pane.

  • On the Home ribbon click the Arrange button.
  • From the menu select Selection Pane. The Selection Pane will appear on the right. All the objects added to your slide will be listed.

To bring an object forward in the layering

  • Select the object on the Selection Pane.
  • Click the up arrow. To send an object back in the layering
  • Click the down arrow. To hide an object  Click the eye symbol to the right of the object name.

Group objects Once you have positioned objects you may want to group them into one object so they stay together if moved or resized.

  • Hold down the Shift key and click on the objects you would like to group together.
  • From the menu choose Group.

Images Finding suitable images Someone will own the copyright to any photograph or other image that you find on the Web. Finding out who owns the copyright and getting their permission to reproduce the image may not be easy. However, there are some sources of images which you can use without needing to seek additional permission. Visit the library website for copyright information and help sourcing suitable images. The University Image Library The University image library is a good source of photographs for your presentations. You need to register to access all the images.  Go to the University Image Library When you have found an image

  • Click on the image to see a larger preview.
  • Click the Download button.
  • Under Select your intended usage for this asset: Choose PowerPoint.
  • Select I have read and accept the Terms and Conditions.
  • Under Size select the size that best matches the placeholder on your slide e. 10 x 12 cm.
  • Click Download Now.
  • If prompted click the arrow next to Save and choose Save as.

Resize images If the image does not fill the space you’ll need to enlarge it. When resizing an image take care not to distort the image. You can ensure this by clicking on the image and resizing it from its corners whilst holding down the Shift key rather than from the sides, top or bottom Alternatively, for a more accurate size

  • Right click on the image.
  • Choose Size and Position...

The Format Picture window will open on the right. 3. Make sure that Lock aspect ratio is selected. 4. Change the Width, the Height will be automatically adjusted.
