Manuscripts may have a rigidly defined structure, but there’s still room to tell a compelling story — one that clearly communicates the science and is a pleasure to read. Scientist-authors and editors debate the importance and meaning of creativity and offer tips on how to write a top paper.

Keep your message clear

Think about the message you want to give to readers. If that is not clear, misinterpretations may arise later. And a clear message is even more important when there is a multidisciplinary group of authors, which is increasingly common. I encourage groups to sit together in person and seek consensus — not only in the main message, but also in the selection of data, the visual presentation and the information necessary to transmit a strong message.

The most important information should be in the main text. To avoid distraction, writers should put additional data in the supplementary material.

Countless manuscripts are rejected because the discussion section is so weak that it’s obvious the writer does not clearly understand the existing literature. Writers should put their results into a global context to demonstrate what makes those results significant or original.

There is a narrow line between speculation and evidence-based conclusions. A writer can speculate in the discussion — but not too much. When the discussion is all speculation, it’s no good because it is not rooted in the author’s experience. In the conclusion, include a one- or two-sentence statement on the research you plan to do in the future and on what else needs to be explored.

Create a logical framework

Structure is paramount. If you don’t get the structure right, you have no hope.

I co-wrote a paper ( B. Mensh and K. Kording PLoS Comput. Biol. http://doi.org/ckqp; 2017 ) that lays out structural details for using a context–content–conclusion scheme to build a core concept. It is one of the most highly tweeted papers so far. In each paragraph, the first sentence defines the context, the body contains the new idea and the final sentence offers a conclusion. For the whole paper, the introduction sets the context, the results present the content and the discussion brings home the conclusion.

It’s crucial to focus your paper on a single key message, which you communicate in the title. Everything in the paper should logically and structurally support that idea. It can be a delight to creatively bend the rules, but you need to know them first.

You have to guide the naive reader to the point at which they are ready to absorb what you did. As a writer, you need to detail the problem. I won’t know why I should care about your experiment until you tell me why I should.

State your case with confidence

Clarity is the sole obligation of the science writer, yet I find constantly that the ‘What’s new’ element is buried. Answering one central question — What did you do? — is the key to finding the structure of a piece. Every section of the manuscript needs to support that one fundamental idea.

There is a German concept known as the ‘red thread’ , which is the straight line that the audience follows from the introduction to the conclusion. In science, ‘What’s new and compelling?’ is the red thread. It’s the whole reason for writing the paper. Then, once that’s established, the paragraphs that follow become the units of logic that comprise the red thread.

Scientific authors are often scared to make confident statements with muscularity. The result is turgid or obfuscatory writing that sounds defensive, with too many caveats and long lists — as if the authors are writing to fend off criticism that hasn’t been made yet. When they write for a journal gatekeeper rather than for a human being, the result is muddy prose.

Examples such as this are not uncommon: “Though not inclusive, this paper provides a useful review of the well-known methods of physical oceanography using as examples various research that illustrates the methodological challenges that give rise to successful solutions to the difficulties inherent in oceanographic research.” Why not this instead: “We review methods of oceanographic research with examples that reveal specific challenges and solutions”?

And if the prose muddies the science, the writer has not only failed to convey their idea, but they’ve also made the reader work so hard that they have alienated him or her. The reader’s job is to pay attention and remember what they read. The writer’s job is to make those two things easy to do. I encourage scientists to read outside their field to better appreciate the craft and principles of writing.

Beware the curse of ‘zombie nouns’

Always think of your busy, tired reader when you write your paper — and try to deliver a paper that you would enjoy reading yourself.

Why does scientific writing have to be stodgy, dry and abstract? Humans are story-telling animals. If we don’t engage that aspect of ourselves, it’s hard to absorb the meaning of what we’re reading. Scientific writing should be factual, concise and evidence-based, but that doesn’t mean it can’t also be creative — told in a voice that is original — and engaging ( Z. A. Doubleday et al. Trends Ecol. Evol. 32, 803–805; 2017 ). If science isn’t read, it doesn’t exist.

One of the principal problems with writing a manuscript is that your individual voice is stamped out. Writers can be stigmatized by mentors, manuscript reviewers or journal editors if they use their own voice. Students tell me they are inspired to write, but worry that their adviser won’t be supportive of creativity. It is a concern. We need to take a fresh look at the ‘official style’ — the dry, technical language that hasn’t evolved in decades.

Author Helen Sword coined the phrase ‘zombie nouns’ to describe terms such as ‘implementation’ or ‘application’ that suck the lifeblood out of active verbs. We should engage readers’ emotions and avoid formal, impersonal language. Still, there’s a balance. Don’t sensationalize the science. Once the paper has a clear message, I suggest that writers try some vivid language to help to tell the story. For example, I got some pushback on the title of one of my recent papers: ‘ Eight habitats, 38 threats, and 55 experts: Assessing ecological risk in a multi-use marine region ’. But, ultimately, the editors let me keep it. There’s probably less resistance out there than people might think.

Recently, after hearing me speak on this topic, a colleague mentioned that she had just rejected a review paper because she felt the style was too non-scientific. She admitted that she felt she had made the wrong decision and would try to reverse it.

Prune that purple prose

Writers must be careful about ‘creativity’. It sounds good, but the purpose of a scientific paper is to convey information. That’s it. Flourishes can be distracting. Figurative language can also bamboozle a non-native English speaker. My advice is to make the writing only as complex as it needs to be.

That said, there are any number of ways of writing a paper that are far from effective. One of the most important is omitting crucial information from the methods section. It’s easy to do, especially in a complicated study, but missing information can make it difficult, if not impossible, to reproduce the study. That can mean the research is a dead end.

It’s also important that the paper’s claims are consistent with collected evidence. At the same time, authors should avoid being over-confident in their conclusions.

Editors and peer reviewers are looking for interesting results that are useful to the field. Without those, a paper might be rejected. Unfortunately, authors tend to struggle with the discussion section. They need to explain why the findings are interesting and how they affect a wider understanding of the topic. Authors should also reassess the existing literature and consider whether their findings open the door for future work. And, in making clear how robust their findings are, they must convince readers that they’ve considered alternative explanations.

Aim for a wide audience

There have been no in-depth studies linking the quality of writing to a paper’s impact, but a recent one ( N. Di Girolamo and R. M. Reynders J. Clin. Epidemiol. 85, 32–36; 2017 ) shows that articles with clear, succinct, declarative titles are more likely to get picked up by social media or the popular press.

Those findings tie in with my experience. My biggest piece of advice is to get to the point. Authors spend a lot of time setting up long-winded arguments to knock down possible objections before they actually state their case. Make your point clearly and concisely — if possible in non-specialist language, so that readers from other fields can quickly make sense of it.

If you write in a way that is accessible to non-specialists, you are not only opening yourself up to citations by experts in other fields, but you are also making your writing available to laypeople, which is especially important in the biomedical fields. My Altmetric colleague Amy Rees notes that she sees a trend towards academics being more deliberate and thoughtful in how they disseminate their work. For example, we see more scientists writing lay summaries in publications such as The Conversation , a media outlet through which academics share news and opinions.

A Guide to Scientific Communication

What is scientific writing ?

Scientific writing is a technical form of writing that is designed to communicate scientific information to other scientists. Depending on the specific scientific genre—a journal article, a scientific poster, or a research proposal, for example—some aspects of the writing may change, such as its  purpose , audience , or organization . Many aspects of scientific writing, however, vary little across these writing genres. Important hallmarks of all scientific writing are summarized below. Genre-specific information is located  here  and under the “By Genre” tab at the top of the page.

What are some important hallmarks of professional scientific writing?

1. Its primary audience is other scientists. Because of its intended audience, student-oriented or general-audience details, definitions, and explanations — which are often necessary in lab manuals or reports — are not terribly useful. Explaining general-knowledge concepts or how routine procedures were performed actually tends to obstruct clarity, make the writing wordy, and detract from its professional tone.

2. It is concise and precise . A goal of scientific writing is to communicate scientific information clearly and concisely. Flowery, ambiguous, wordy, and redundant language run counter to the purpose of the writing.

3. It must be set within the context of other published work. Because science builds on and corrects itself over time, scientific writing must be situated in and  reference the findings of previous work . This context serves variously as motivation for new work being proposed or the paper being written, as points of departure or congruence for new findings and interpretations, and as evidence of the authors’ knowledge and expertise in the field.

HOW TO WRITE A SCIENTIFIC ARTICLE

Successful production of a written product for submission to a peer‐reviewed scientific journal requires substantial effort. Such an effort can be maximized by following a few simple suggestions when composing/creating the product for submission. By following some suggested guidelines and avoiding common errors, the process can be streamlined and success realized for even beginning/novice authors as they negotiate the publication process. The purpose of this invited commentary is to offer practical suggestions for achieving success when writing and submitting manuscripts to The International Journal of Sports Physical Therapy and other professional journals.

INTRODUCTION

Conducting scientific and clinical research is only the beginning of the scholarship of discovery. In order for the results of research to be accessible to other professionals and have a potential effect on the greater scientific community, it must be written and published. Most clinical and scientific discovery is published in peer‐reviewed journals, which are those that utilize a process by which an author's peers, or experts in the content area, evaluate the manuscript. Following this review the manuscript is recommended for publication, revision or rejection. It is the rigor of this review process that makes scientific journals the primary source of new information that impacts clinical decision‐making and practice. 1 , 2

The task of writing a scientific paper and submitting it to a journal for publication is a time‐consuming and often daunting task. 3 , 4 Barriers to effective writing include lack of experience, poor writing habits, writing anxiety, unfamiliarity with the requirements of scholarly writing, lack of confidence in writing ability, fear of failure, and resistance to feedback. 5 However, the very process of writing can be a helpful tool for promoting the process of scientific thinking, 6 , 7 and effective writing skills allow professionals to participate in broader scientific conversations. Furthermore, peer review manuscript publication systems requiring these technical writing skills can be developed and improved with practice. 8 Having an understanding of the process and structure used to produce a peer‐reviewed publication will surely improve the likelihood that a submitted manuscript will result in a successful publication.

Clear communication of the findings of research is essential to the growth and development of science 3 and professional practice. The culmination of the publication process provides not only satisfaction for the researcher and protection of intellectual property, but also the important function of dissemination of research results, new ideas, and alternate thought; which ultimately facilitates scholarly discourse. In short, publication of scientific papers is one way to advance evidence‐based practice in many disciplines, including sports physical therapy. Failure to publish important findings significantly diminishes the potential impact that those findings may have on clinical practice. 9

BASICS OF MANUSCRIPT PREPARATION & GENERAL WRITING TIPS

To begin it might be interesting to learn why reviewers accept manuscripts! Reviewers consider the following five criteria to be the most important in decisions about whether to accept manuscripts for publication: 1) the importance, timeliness, relevance, and prevalence of the problem addressed; 2) the quality of the writing style (i.e., that it is well‐written, clear, straightforward, easy to follow, and logical); 3) the study design applied (i.e., that the design was appropriate, rigorous, and comprehensive); 4) the degree to which the literature review was thoughtful, focused, and up‐to‐date; and 5) the use of a sufficiently large sample. 10 For these statements to be true there are also reasons that reviewers reject manuscripts. The following are the top five reasons for rejecting papers: 1) inappropriate, incomplete, or insufficiently described statistics; 2) over‐interpretation of results; 3) use of inappropriate, suboptimal, or insufficiently described populations or instruments; 4) small or biased samples; and 5) text that is poorly written or difficult to follow. 10 , 11 With these reasons for acceptance or rejection in mind, it is time to review basics and general writing tips to be used when performing manuscript preparation.

“Begin with the end in mind” . When you begin writing about your research, begin with a specific target journal in mind. 12 Every scientific journal should have specific lists of manuscript categories that are preferred for their readership. The IJSPT seeks to provide readership with current information to enhance the practice of sports physical therapy. Therefore the manuscript categories accepted by IJSPT include: Original research; Systematic reviews of literature; Clinical commentary and Current concept reviews; Case reports; Clinical suggestions and unique practice techniques; and Technical notes. Once a decision has been made to write a manuscript, compose an outline that complies with the requirements of the target submission journal and has each of the suggested sections. This means carefully checking the submission criteria and preparing your paper in the exact format of the journal to which you intend to submit. Be thoughtful about the distinction between content (what you are reporting) and structure (where it goes in the manuscript). Poor placement of content confuses the reader (reviewer) and may cause misinterpretation of content. 3 , 5

It may be helpful to follow the IMRaD format for writing scientific manuscripts. This acronym stands for the sections contained within the article: Introduction, Methods, Results, and Discussion. Each of these areas of the manuscript will be addressed in this commentary.

Many accomplished authors write their results first, followed by an introduction and discussion, in an attempt to “stay true” to their results and not stray into additional areas. Typically the last two portions to be written are the conclusion and the abstract.

The ability to accurately describe ideas, protocols/procedures, and outcomes are the pillars of scientific writing . Accurate and clear expression of your thoughts and research information should be the primary goal of scientific writing. 12 Remember that accuracy and clarity are even more important when trying to get complicated ideas across. Contain your literature review, ideas, and discussions to your topic, theme, model, review, commentary, or case. Avoid vague terminology and too much prose. Use short rather than long sentences. If jargon has to be utilized keep it to a minimum and explain the terms you do use clearly. 13

Write with a measure of formality, using scientific language and avoiding conjunctions, slang, and discipline or regionally specific nomenclature or terms (e.g. exercise nicknames). For example, replace the term “Monster walks” with “closed‐chain hip abduction with elastic resistance around the thighs”. You may later refer to the exercise as “also known as Monster walks” if you desire.

Avoid first person language and instead write using third person language. Some journals do not ascribe to this requirement, and allow first person references, however, IJSPT prefers use of third person. For example, replace “We determined that…” with “The authors determined that….”.

For novice writers, it is really helpful to seek a reading mentor that will help you pre‐read your submission. Problems such as improper use of grammar, tense, and spelling are often a cause of rejection by reviewers. Despite the content of the study these easily fixed errors suggest that the authors created the manuscript with less thought leading reviewers to think that the manuscript may also potentially have erroneous findings as well. A review from a second set of trained eyes will often catch these errors missed by the original authors. If English is not your first language, the editorial staff at IJSPT suggests that you consult with someone with the relevant expertise to give you guidance on English writing conventions, verb tense, and grammar. Excellent writing in English is hard, even for those of us for whom it is our first language!

Use figures and graphics to your advantage . ‐ Consider the use of graphic/figure representation of data and important procedures or exercises. Tables should be able to stand alone and be completely understandable at a quick glance. Understanding a table should not require careful review of the manuscript! Figures dramatically enhance the graphic appeal of a scientific paper. Many formats for graphic presentation are acceptable, including graphs, charts, tables, and pictures or videos. Photographs should be clear, free of clutter or extraneous background distractions and be taken with models wearing simple clothing. Color photographs are preferred. Digital figures (Scans or existing files as well as new photographs) must be at least 300dpi. All photographs should be provided as separate files (jpeg or tif preferred) and not be embedded in the paper. Quality and clarity of figures are essential for reproduction purposes and should be considered before taking images for the manuscript.

A video of an exercise or procedure speaks a thousand words. Please consider using short video clips as descriptive additions to your paper. They will be placed on the IJSPT website and accompany your paper. The video clips must be submitted in MPEG‐1, MPEG‐2, Quicktime (.mov), or Audio/Video Interface (.avi) formats. Maximum cumulative length of videos is 5 minutes. Each video segment may not exceed 50 MB, and each video clip must be saved as a separate file and clearly identified. Formulate descriptive figure/video and Table/chart/graph titles and place them on a figure legend document. Carefully consider placement of, naming of, and location of figures. It makes the job of the editors much easier!

Avoid Plagiarism and inadvertent lack of citations. Finally, use citations to your benefit. Cite frequently in order to avoid any plagiarism. The bottom line: If it is not your original idea, give credit where credit is due . When using direct quotations, provide not only the number of the citation, but the page where the quote was found. All citations should appear in text as a superscripted number followed by punctuation. It is the authors' responsibility to fully ensure all references are cited in completed form, in an accurate location. Please carefully follow the instructions for citations and check that all references in your reference list are cited in the paper and that all citations in the paper appear correctly in the reference list. Sometimes written as an afterthought, the abstract is of extreme importance as in many instances this section is what is initially previewed by readership to determine if the remainder of the article is worth reading. This is the authors opportunity to draw the reader into the study and entice them to read the rest of the article. The abstract is a summary of the article or study written in 3 rd person allowing the readers to get a quick glance of what the contents of the article include. Writing an abstract is rather challenging as being brief, accurate and concise are requisite. The headings and structure for an abstract are usually provided in the instructions for authors. In some instances, the abstract may change slightly pending content revisions required during the peer review process. Therefore it often works well to complete this portion of the manuscript last. Remember the abstract should be able to stand alone and should be as succinct as possible. 14

Introduction and Review of Literature

The introduction is one of the more difficult portions of the manuscript to write. Past studies are used to set the stage or provide the reader with information regarding the necessity of the represented project. For an introduction to work properly, the reader must feel that the research question is clear, concise, and worthy of study.

A competent introduction should include at least four key concepts: 1) significance of the topic, 2) the information gap in the available literature associated with the topic, 3) a literature review in support of the key questions, 4) subsequently developed purposes/objectives and hypotheses. 9

When constructing a review of the literature, be attentive to “sticking” or “staying true” to your topic at hand. Don't reach or include too broad of a literature review. For example, do not include extraneous information about performance or prevention if your research does not actually address those things. The literature review of a scientific paper is not an exhaustive review of all available knowledge in a given field of study. That type of thorough review should be left to review articles or textbook chapters. Throughout the introduction (and later in the discussion!) remind yourself that a paper, existing evidence, or results of a paper cannot draw conclusions, demonstrate, describe, or make judgments, only PEOPLE (authors) can. “The evidence demonstrates that” should be stated, “Smith and Jones, demonstrated that….”

Conclude your introduction with a solid statement of your purpose(s) and your hypothesis(es), as appropriate. The purpose and objectives should clearly relate to the information gap associated with the given manuscript topic discussed earlier in the introduction section. This may seem repetitive, but it actually is helpful to ensure the reader clearly sees the evolution, importance, and critical aspects of the study at hand See Table 1 for examples of well‐stated purposes.

Clinical SuggestionThe purpose of this clinical commentary is to review types of integumentary wounds that may occur in sport, and their acute management.

The methods section should clearly describe the specific design of the study and provide clear and concise description of the procedures that were performed. The purpose of sufficient detail in the methods section is so that an appropriately trained person would be able to replicate your experiments. 15 There should be complete transparency when describing the study. To assist in writing and manuscript preparation there are several checklists or guidelines that are available on the IJSPT website. The CONSORT guidelines can be used when developing and reporting a randomized controlled trial. 16 The STARD checklist was developed for designing a diagnostic accuracy study. 17 The PRISMA checklist was developed for use when performing a meta‐analyses or systematic review. 18 A clear methods section should contain the following information: 1) the population and equipment used in the study, 2) how the population and equipment were prepared and what was done during the study, 3) the protocol used, 4) the outcomes and how they were measured, 5) the methods used for data analysis. Initially a brief paragraph should explain the overall procedures and study design. Within this first paragraph there is generally a description of inclusion and exclusion criteria which help the reader understand the population used. Paragraphs that follow should describe in more detail the procedures followed for the study. A clear description of how data was gathered is also helpful. For example were data gathered prospectively or retrospectively? Who if anyone was blinded, and where and when was the actual data collected?

Although it is a good idea for the authors to have justification and a rationale for their procedures, these should be saved for inclusion into the discussion section, not to be discussed in the methods section. However, occasionally studies supporting components of the methods section such as reliability of tests, or validation of outcome measures may be included in the methods section.

The final portion of the methods section will include the statistical methods used to analyze the data. 19 This does not mean that the actual results should be discussed in the methods section, as they have an entire section of their own!

Most scientific journals support the need for all projects involving humans or animals to have up‐to‐date documentation of ethical approval. 20 The methods section should include a clear statement that the researchers have obtained approval from an appropriate institutional review board.

Results, Discussion, and Conclusions

In most journals the results section is separate from the discussion section. It is important that you clearly distinguish your results from your discussion. The results section should describe the results only. The discussion section should put those results into a broader context. Report your results neutrally, as you “found them”. Again, be thoughtful about content and structure. Think carefully about where content is placed in the overall structure of your paper. It is not appropriate to bring up additional results, not discussed in the results section, in the discussion. All results must first be described/presented and then discussed. Thus, the discussion should not simply be a repeat of the results section. Carefully discuss where your information is similar or different from other published evidence and why this might be so. What was different in methods or analysis, what was similar?

As previously stated, stick to your topic at hand, and do not overstretch your discussion! One of the major pitfalls in writing the discussion section is overstating the significance of your findings 4 or making very strong statements. For example, it is better to say: “Findings of the current study support….” or “these findings suggest…” than, “Findings of the current study prove that…” or “this means that….”. Maintain a sense of humbleness, as nothing is without question in the outcomes of any type of research, in any discipline! Use words like “possibly”, “likely” or “suggests” to soften findings. 12

Do not discuss extraneous ideas, concepts, or information not covered by your topic/paper/commentary. Be sure to carefully address all relevant results, not just the statistically significant ones or the ones that support your hypotheses. When you must resort to speculation or opinion, be certain to state that up front using phrases such as “we therefore speculate” or “in the authors' opinion”.

Remember, just as in the introduction and literature review, evidence or results cannot draw conclusions, just as previously stated, only people, scientists, researchers, and authors can!

Finish with a concise, 3‐5 sentence conclusion paragraph. This is not just a restatement of your results, rather is comprised of some final, summative statements that reflect the flow and outcomes of the entire paper. Do not include speculative statements or additional material; however, based upon your findings a statement about potential changes in clinical practice or future research opportunities can be provided here.

CONCLUSIONS

Writing for publication can be a challenging yet satisfying endeavor. The ability to examine, relate, and interlink evidence, as well as to provide a peer‐reviewed, disseminated product of your research labors can be rewarding. A few suggestions have been offered in this commentary that may assist the novice or the developing writer to attempt, polish, and perfect their approach to scholarly writing.

A selection of tools for academic writing – from collaborating, time-tracking and project management to finding the perfect phrase or translation. We are continuously updating this list (latest update: April 2023).

I often get asked about my favourite academic writing tools. That’s why I compiled this scientific tools list for you with 19 great tools to support your academic writing. You can use all these scientific research tools for free and some of them have paid versions with additional features.

Just one word of caution: Exploring new academic writing tools can be a time-suck and distract you from getting your actual writing done. If you are one of those people who spend hours signing up for new software for academic writing and getting it set up, only to abandon the tool a few days or weeks later – then be careful reading this scientific tools list, and don’t get overenthusiastic. 😉

Here, we go, 19 tools for academic writing and scientific research I recommend in no particular order:

ACADEMIC Writing tools

1. writefull.

This proof-reading tool for scientific texts is powered by AI and big data. You can integrate the Writefull app into Word or Overleaf for free. A reader of the blog brought my attention to this tool (thank you so much!) and I’ve only recently started using it, so I can’t give you a full-blown review just yet but so far the results are promising. Writefull is owned by Digital Science, a company that has released several Open Science apps, such as figshare, Overleaf and Altmetric. 

2. Phrasebank

Created by Dr John Morley from “The University Language Center” of Manchester University, the Phrasebank is a database of common phrases used in papers, dissertations and grant proposals – a real goldmine!

The phrases are organised both by the common sections in a paper such as the Introduction, Methods, Results or Discussion section. For example, in the tab for the Introduction section, one can find entries for “establishing the importance of the topic for the world or society” or “identifying a knowledge gap in the field of study”. If you click on the latter, you can find among others the following suggested phrases: “It is still unclear whether…”, “However, the behaviour of X has not yet been investigated” and “Causal factors leading to X remain speculative”.

You can also look for phrases by choosing a general language function. Some of the choices are “being cautious”, “describing trends”, “signalling transition”.   

The Phrasebank is very useful to get inspiration for new wording but I do not endorse all entries. Sometimes you find language that is a bit clunky or overly complicated so do use your own judgement when you browse this academic writing tool. PS: You can also download the Academic Phrasebank as PDF or Kindle file.

3. Thesaurus.com

If you’re looking for synonyms, thesaurus.com is the best online thesaurus I’ve found so far. It divides the synonyms based on different meanings of the word and indicates the relevance of the synonym by using three shades of orange.

Just one word of caution: Don’t fall into the trap of using too many synonyms in your academic writing. Being precise is so much more important than varying the words you are using in your writing. In particular for field-specific terminology, I advise against using synonyms .

This is a hot tip for researchers who need to transcribe interviews (hello, social scientists!), who like to record research ideas or those who like to write by dictating text into their phone. Otter is an AI-based transcription tool that works for English language recordings. The quality of the transcriptions is comparable to other transcription services using AI, meaning they are often not accurate and can give nonsensical, even comical results — especially when the recorded voice has a strong or unusual accent. Still, the automated and quick transcriptions (real time transcriptions are available too!) can be a good starting point and are a huge time saver. What’s cool about Otter compared to its competitors is that they give you 300 minutes of transcriptions per month for free!

There are many online dictionaries but Linguee is my favourite for academic writing. It suggests a translation on the basis of previous translations published on the internet.  Therefore, this dictionary is especially great if you’re looking to not only translate a word but a certain turn of phrase or idiom. Linguee translates to and from English in over 20 languages. An essential academic writing tool for all non-native English speakers!

ACADEMIC WRITING TOOLS FOR Collaboration AND CO-WRITING

6. authorea.

The magazine “ TechCrunch ” describes Authorea as “a Google Docs for scientists”. On the academic writing platform, you can write, edit, and insert citations, figures and data. And it’s great for collaborative writing: Co-authors can access the same text at the same time, track the changes they made, insert comments and even live-chat during writing sessions. Documents can be imported from LaTeX and Word and exported as LaTeX, Word and PDF documents. You can also submit your article as a bioRxiv preprint straight from the Authorea platform. This software for academic writing is free for up to ten documents with limited sharing options.

7. Overleaf

Overleaf is to LaTeX users, what Authorea (see tool #6) is to Word users: an online editor that allows you to access and collaborate on your writing projects from anywhere. You can, for example, invite others to comment on your work. Overleaf offers some other neat collaborative writing features, such as a track-changes function, but – unfortunately – only on the paid plan. LaTeX may seem a bit intimidating at first but you actually get the hang of it quite fast (and feel like a coder 😎). Also, in my experience, you save a lot of time formatting your text (and feel smug about it when you talk to Word users 😁).

Slack is a chat tool that you can use in your lab or with your collaborators. Used in the right way, it allows you to save time by cutting down on emails and create a group atmosphere even if the members are not working in the same location. You can easily add files to the chats and create different channels for subgroups or certain topics. There also exist virtual communities on Slack you can join, such as the New PI Slack community for Assistant professors around the world. 

Loom is a great scientific research tool when you want to share a quick video with a colleague, student or collaborator. This could be a recorded presentation or lecture, your comments on the paper of a co-author, or a tutorial on using a piece of software. You can record your screen, camera and microphone. The neat thing is that after you’re done recording, Loom auto-generates a link you can share.

Academic writing tools for Productivity and project management

Toggl is a time-tracking app that you can install on your phone and computer. There’s only one way of knowing how long certain writing tasks typically take you, and that is by tracking the time they took you to complete . Time-tracking has another great advantage: You can identify time-sucks in your day. And these may be less obvious than you think.

I like to use Toggl for time-tracking because it’s quick to use and integrates with various other scientific research tools I am using. You just need to click the big red power button to start or stop a recording and assign tracked times to different projects. This scientific research tool has paid plans but for most people the free basic plan will be sufficient.

Are you easily tempted to check your phone when you really should be writing? This app called Forest may be just right for you then. Once installed on your phone, you can start planting a virtual tree whenever you want to focus. It grows from a little plant to a full-grown tree. When you pick up your phone and leave the app, the tree dies. This way, you can build your forest representing the time you have spent on focused work (or quality time with your family and friends…). I’m not using Forest myself, but I’ve heard that it works really as an academic writing tool well for some people. Give it a go!  

12. Focusmate

As Forest (see tool #11), Focusmate is an app to help you stay focused. Instead of  gamification, the concept of Focusmate is based on social accountability. Here is how it works: You schedule a 50-minute virtual co-writing session with another Focusmate member, turn on your webcam when your session starts, greet your temporary co-worker and then get to work silently.

Even though being filmed while working is a little strange in the beginning, co-writing sessions work really well for a lot of researchers. This is why we offer co-writing sessions as part of our academic writing program, the Researchers’ Writing Academy, as well.

13. Cold Turkey

If Forest (tool #11) or Focusmate (#12) don’t get you to focus on your writing, you may need to go Cold Turkey . This software for academic writing blocks any other application and turns your computer into a typewriter. You can choose whether you want Cold Turkey to prevent you from digital distractions for a certain amount of time or until you’ve hit a certain word count. With the paid version, you can even access integrated productivity soundtracks and text formatting.

Trello is an excellent project management tool for your academic writing, which you can use for managing each of your writing projects, for creating a publication pipeline and as a daily and weekly to-do list. Trello is a great introduction into project management because it’s a lot easier to learn and use than most other project management software. For each project called a “Board”, you can create different “lists”, which are vertical collection of “cards”, which you can move between lists. You can add due dates, checklist lists, links, files and text to each card. To work collaboratively, you can leave comments on cards and assign them to members on your team. You can also use Trello as a brainstorming tool, using the cards just as you would use post-it notes.

Members of my online course, the Researchers’ Writing Academy , get access to Trello templates I created to easily manage their publication pipeline, the writing process for each of their scientific papers and all of their other daily, weekly and monthly tasks and projects.

15. Todoist

Todoist is an alternative to Trello (see tool #16) or can be used in addition. It’s an online to-do list organiser and project management tool that comes as an app and browser version. You can organise your tasks in projects and schedule them for a certain day. This academic writing tool shows you today’s tasks as well as those for the next seven days. It also tracks your productivity, i.e. how many tasks you have completed.

Feedly is a neat RSS feed manager that helps you stay up to date with the scientific literature. Instead of getting email alerts from journals (because who wants to get more emails…) you can view and organise the literature you are interested in by following journals’ RSS feeds. You can not only use this for scientific literature but also subscribe to blogs, for example the one you’re reading right now, by simply putting the URL in the Feedly search: https://annaclemens.com/blog .

Are you a mindmapper? Then you need Xmind , a free mindmapping and brain-storming tool. It’s intuitive, looks good and does exactly what you want a mindmapping tool to do. The free version allows for embedding of hyperlinks, images, attachments, so you can really use it however you like! That’s all I can really say about it as I’m not using mindmapping myself. But I know scientists who swear by it!

18. Audemic

Audio formats have become so popular (I’m a big podcast lover myself!) so it shouldn’t really come as a surprise that there now is an audio tool available for the scientific literature too: Audemic . This tool — completely free to use for individual researchers — creates summaries for you (that go beyond the abstract), lets you skip sections, highlight text and take notes while listening.

There are a few reference managers for your academic writing to choose from, some of which cost money. Zotero is free, open-source and doesn’t lack in functionality. You can easily save references from your browser, organise them in folders and with tags and create bibliographies with the right style. You can also create a citation library with your co-authors or share your library with others.

That’s it: 19 academic writing apps and scientific research tools to support your writing for free! However, the best academic writing software won’t make you more productive if you don’t rely on a streamlined writing process and if you aren’t using your writing sessions effectively. How to Write a Research Paper | A Beginner's Guide

A research paper is a piece of academic writing that provides analysis, interpretation, and argument based on in-depth independent research.

Research papers are similar to academic essays , but they are usually longer and more detailed assignments, designed to assess not only your writing skills but also your skills in scholarly research. Writing a research paper requires you to demonstrate a strong knowledge of your topic, engage with a variety of sources, and make an original contribution to the debate.

This step-by-step guide takes you through the entire writing process, from understanding your assignment to proofreading your final draft.

Understand the assignment, choose a research paper topic, conduct preliminary research, develop a thesis statement, create a research paper outline, write a first draft of the research paper, write the introduction, write a compelling body of text, write the conclusion, the second draft, the revision process, research paper checklist, free lecture slides.

Completing a research paper successfully means accomplishing the specific tasks set out for you. Before you start, make sure you thoroughly understanding the assignment task sheet:

  • Read it carefully, looking for anything confusing you might need to clarify with your professor.
  • Identify the assignment goal, deadline, length specifications, formatting, and submission method.
  • Make a bulleted list of the key points, then go back and cross completed items off as you’re writing.

Carefully consider your timeframe and word limit: be realistic, and plan enough time to research, write, and edit.

There are many ways to generate an idea for a research paper, from brainstorming with pen and paper to talking it through with a fellow student or professor.

You can try free writing, which involves taking a broad topic and writing continuously for two or three minutes to identify absolutely anything relevant that could be interesting.

You can also gain inspiration from other research. The discussion or recommendations sections of research papers often include ideas for other specific topics that require further examination.

Once you have a broad subject area, narrow it down to choose a topic that interests you, m eets the criteria of your assignment, and i s possible to research. Aim for ideas that are both original and specific:

  • A paper following the chronology of World War II would not be original or specific enough.
  • A paper on the experience of Danish citizens living close to the German border during World War II would be specific and could be original enough.

Note any discussions that seem important to the topic, and try to find an issue that you can focus your paper around. Use a variety of sources , including journals, books, and reliable websites, to ensure you do not miss anything glaring.

Do not only verify the ideas you have in mind, but look for sources that contradict your point of view.

  • Is there anything people seem to overlook in the sources you research?
  • Are there any heated debates you can address?
  • Do you have a unique take on your topic?
  • Have there been some recent developments that build on the extant research?

In this stage, you might find it helpful to formulate some research questions to help guide you. To write research questions, try to finish the following sentence: “I want to know how/what/why…”

A thesis statement is a statement of your central argument — it establishes the purpose and position of your paper. If you started with a research question, the thesis statement should answer it. It should also show what evidence and reasoning you’ll use to support that answer.

The thesis statement should be concise, contentious, and coherent. That means it should briefly summarize your argument in a sentence or two, make a claim that requires further evidence or analysis, and make a coherent point that relates to every part of the paper.

You will probably revise and refine the thesis statement as you do more research, but it can serve as a guide throughout the writing process. Every paragraph should aim to support and develop this central claim.

A research paper outline is essentially a list of the key topics, arguments, and evidence you want to include, divided into sections with headings so that you know roughly what the paper will look like before you start writing.

A structure outline can help make the writing process much more efficient, so it’s worth dedicating some time to create one.

Your first draft won’t be perfect — you can polish later on. Your priorities at this stage are as follows:

  • Maintaining forward momentum — write now, perfect later.
  • Paying attention to clear organization and logical ordering of paragraphs and sentences, which will help when you come to the second draft.
  • Expressing your ideas as clearly as possible, so you know what you were trying to say when you come back to the text.

You do not need to start by writing the introduction. Begin where it feels most natural for you — some prefer to finish the most difficult sections first, while others choose to start with the easiest part. If you created an outline, use it as a map while you work.

Do not delete large sections of text. If you begin to dislike something you have written or find it doesn’t quite fit, move it to a different document, but don’t lose it completely — you never know if it might come in useful later.

Paragraph structure

Paragraphs are the basic building blocks of research papers. Each one should focus on a single claim or idea that helps to establish the overall argument or purpose of the paper.

George Orwell’s 1946 essay “Politics and the English Language” has had an enduring impact on thought about the relationship between politics and language. This impact is particularly obvious in light of the various critical review articles that have recently referenced the essay. For example, consider Mark Falcoff’s 2009 article in The National Review Online, “The Perversion of Language; or, Orwell Revisited,” in which he analyzes several common words (“activist,” “civil-rights leader,” “diversity,” and more). Falcoff’s close analysis of the ambiguity built into political language intentionally mirrors Orwell’s own point-by-point analysis of the political language of his day. Even 63 years after its publication, Orwell’s essay is emulated by contemporary thinkers.

Citing sources

It’s also important to keep track of citations at this stage to avoid accidental plagiarism . Each time you use a source, make sure to take note of where the information came from.

The research paper introduction should address three questions: What, why, and how? After finishing the introduction, the reader should know what the paper is about, why it is worth reading, and how you’ll build your arguments.

What? Be specific about the topic of the paper, introduce the background, and define key terms or concepts.

Why? This is the most important, but also the most difficult, part of the introduction. Try to provide brief answers to the following questions: What new material or insight are you offering? What important issues does your essay help define or answer?

How? To let the reader know what to expect from the rest of the paper, the introduction should include a “map” of what will be discussed, briefly presenting the key elements of the paper in chronological order.

The major struggle faced by most writers is how to organize the information presented in the paper, which is one reason an outline is so useful. However, remember that the outline is only a guide and, when writing, you can be flexible with the order in which the information and arguments are presented.

One way to stay on track is to use your thesis statement and topic sentences . Check:

  • topic sentences against the thesis statement;
  • topic sentences against each other, for similarities and logical ordering;
  • and each sentence against the topic sentence of that paragraph.

Be aware of paragraphs that seem to cover the same things. If two paragraphs discuss something similar, they must approach that topic in different ways. Aim to create smooth transitions between sentences, paragraphs, and sections.

The research paper conclusion is designed to help your reader out of the paper’s argument, giving them a sense of finality.

Trace the course of the paper, emphasizing how it all comes together to prove your thesis statement. Give the paper a sense of finality by making sure the reader understands how you’ve settled the issues raised in the introduction.

You might also discuss the more general consequences of the argument, outline what the paper offers to future students of the topic, and suggest any questions the paper’s argument raises but cannot or does not try to answer.

You should not :

  • Offer new arguments or essential information
  • Take up any more space than necessary
  • Begin with stock phrases that signal you are ending the paper (e.g. “In conclusion”)

There are four main considerations when it comes to the second draft.

  • Check how your vision of the paper lines up with the first draft and, more importantly, that your paper still answers the assignment.
  • Identify any assumptions that might require (more substantial) justification, keeping your reader’s perspective foremost in mind. Remove these points if you cannot substantiate them further.
  • Be open to rearranging your ideas. Check whether any sections feel out of place and whether your ideas could be better organized.
  • If you find that old ideas do not fit as well as you anticipated, you should cut them out or condense them. You might also find that new and well-suited ideas occurred to you during the writing of the first draft — now is the time to make them part of the paper.

The goal during the revision and proofreading process is to ensure you have completed all the necessary tasks and that the paper is as well-articulated as possible. You can speed up the proofreading process by using the AI proofreader .

  • Confirm that your paper completes every task specified in your assignment sheet.
  • Check for logical organization and flow of paragraphs.
  • Check paragraphs against the introduction and thesis statement.

Fine-grained details

Check the content of each paragraph, making sure that:

  • no unnecessary or irrelevant information is present.
  • all technical terms your audience might not know are identified.

Next, think about sentence structure , grammatical errors, and formatting . Check that you have correctly used transition words and phrases to show the connections between your ideas. Look for typos, cut unnecessary words, and check for consistency in aspects such as heading formatting and spellings .

Finally, you need to make sure your paper is correctly formatted according to the rules of the citation style you are using. For example, you might need to include an MLA heading  or create an APA title page .

One of the biggest secrets to writing a good essay is the Boy Scouts’ motto: ‘be prepared’. Preparing for an essay – by conducting effective research – lays the foundations for a brilliant piece of writing, and it’s every bit as important as the actual writing part. Many students skimp on this crucial stage, or sit in the library not really sure where to start; and it shows in the quality of their essays. This just makes it easier for you to get ahead of your peers, and we’re going to show you how. In this article, we take you through what you need to do in order to conduct effective research and use your research time to best effect.

Allow enough time

First and foremost, it’s vital to allow enough time for your research. For this reason, don’t leave your essay until the last minute . If you start writing without having done adequate research, it will almost certainly show in your essay’s lack of quality. The amount of research time needed will vary according to whether you’re at Sixth Form or university, and according to how well you know the topic and what teaching you’ve had on it, but make sure you factor in more time than you think you’ll need. You may come across a concept that takes you longer to understand than you’d expected, so it’s better to allow too much time than too little.

Read the essay question and thoroughly understand it

If you don’t have a thorough understanding of what the essay question is asking you to do, you put yourself at risk of going in the wrong direction with your research. So take the question, read it several times and pull out the key things it’s asking you to do. The instructions in the question are likely to have some bearing on the nature of your research. If the question says “Compare”, for example, this will set you up for a particular kind of research, during which you’ll be looking specifically for points of comparison; if the question asks you to “Discuss”, your research focus may be more on finding different points of view and formulating your own.

Begin with a brainstorm

Start your research time by brainstorming what you already know. Doing this means that you can be clear about exactly what you’re already aware of, and you can identify the gaps in your knowledge so that you don’t end up wasting time by reading books that will tell you what you already know. This gives your research more of a direction and allows you to be more specific in your efforts to find out certain things. It’s also a gentle way of introducing yourself to the task and putting yourself in the right frame of mind for learning about the topic at hand.

Achieve a basic understanding before delving deeper

If the topic is new to you and your brainstorm has yielded few ideas, you’ll need to acquire a basic understanding of the topic before you begin delving deeper into your research. If you don’t, and you start by your research by jumping straight in at the deep end, as it were, you’ll struggle to grasp the topic. This also means that you may end up being too swayed by a certain source, as you haven’t the knowledge to question it properly. You need sufficient background knowledge to be able to take a critical approach to each of the sources you read. So, start from the very beginning. It’s ok to use Wikipedia or other online resources to give you an introduction to a topic, though bear in mind that these can’t be wholly relied upon. If you’ve covered the topic in class already, re-read the notes you made so that you can refresh your mind before you start further investigation.

Working through your reading list

If you’ve been given a reading list to work from, be organised in how you work through each of the items on it. Try to get hold of as many of the books on it as you can before you start, so that you have them all easily to hand, and can refer back to things you’ve read and compare them with other perspectives. Plan the order in which you’re going to work through them and try to allocate a specific amount of time to each of them; this ensures that you allow enough time to do each of them justice and that focus yourself on making the most of your time with each one. It’s a good idea to go for the more general resources before honing in on the finer points mentioned in more specialised literature. Think of an upside-down pyramid and how it starts off wide at the top and becomes gradually narrower; this is the sort of framework you should apply to your research.

Ask a librarian

Library computer databases can be confusing things, and can add an extra layer of stress and complexity to your research if you’re not used to using them. The librarian is there for a reason, so don’t be afraid to go and ask if you’re not sure where to find a particular book on your reading list. If you’re in need of somewhere to start, they should be able to point you in the direction of the relevant section of the library so that you can also browse for books that may yield useful information.

Use the index

If you haven’t been given specific pages to read in the books on your reading list, make use of the index (and/or table of contents) of each book to help you find relevant material. It sounds obvious, but some students don’t think to do this and battle their way through heaps of irrelevant chapters before finding something that will be useful for their essay.

Taking notes

As you work through your reading, take notes as you go along rather than hoping you’ll remember everything you’ve read. Don’t indiscriminately write down everything – only the bits that will be useful in answering the essay question you’ve been set. If you write down too much, you risk writing an essay that’s full of irrelevant material and getting lower grades as a result. Be concise, and summarise arguments in your own words when you make notes (this helps you learn it better, too, because you actually have to think about how best to summarise it). You may want to make use of small index cards to force you to be brief with what you write about each point or topic. We’ve covered effective note-taking extensively in another article, which you can read here. Note-taking is a major part of the research process, so don’t neglect it. Your notes don’t just come in useful in the short-term, for completing your essay, but they should also be helpful when it comes to revision time, so try to keep them organised.

Research every side of the argument

Never rely too heavily on one resource without referring to other possible opinions; it’s bad academic practice. You need to be able to give a balanced argument in an essay, and that means researching a range of perspectives on whatever problem you’re tackling. Keep a note of the different arguments, along with the evidence in support of or against each one, ready to be deployed into an essay structure that works logically through each one. If you see a scholar’s name cropping up again and again in what you read, it’s worth investigating more about them even if you haven’t specifically been told to do so. Context is vital in academia at any level, so influential figures are always worth knowing about.

Keep a dictionary by your side

You could completely misunderstand a point you read if you don’t know what one important word in the sentence means. For that reason, it’s a good idea to keep a dictionary by your side at all times as you conduct your research. Not only does this help you fully understand what you’re reading, but you also learn new words that you might be able to use in your forthcoming essay or a future one . Growing your vocabulary is never a waste of time!

Start formulating your own opinion

As you work through reading these different points of view, think carefully about what you’ve read and note your own response to different opinions. Get into the habit of questioning sources and make sure you’re not just repeating someone else’s opinion without challenging it. Does an opinion make sense? Does it have plenty of evidence to back it up? What are the counter-arguments, and on balance, which sways you more? Demonstrating your own intelligent thinking will set your essay apart from those of your peers, so think about these things as you conduct your research.

Be careful with web-based research

Although, as we’ve said already, it’s fine to use Wikipedia and other online resources to give you a bit of an introduction to a topic you haven’t covered before, be very careful when using the internet for researching an essay. Don’t take Wikipedia as gospel; don’t forget, anybody can edit it! We wouldn’t advise using the internet as the basis of your essay research – it’s simply not academically rigorous enough, and you don’t know how out of date a particular resource might be. Even if your Sixth Form teachers may not question where you picked up an idea you’ve discussed in your essays, it’s still not a good habit to get into and you’re unlikely to get away with it at a good university. That said, there are still reliable academic resources available via the internet; these can be found in dedicated sites that are essentially online libraries, such as JSTOR. These are likely to be a little too advanced if you’re still in Sixth Form, but you’ll almost certainly come across them once you get to university.

Look out for footnotes

In an academic publication, whether that’s a book or a journal article, footnotes are a great place to look for further ideas for publications that might yield useful information. Plenty can be hidden away in footnotes, and if a writer is disparaging or supporting the ideas of another academic, you could look up the text in question so that you can include their opinion too, and whether or not you agree with them, for extra brownie points.

Don’t save doing all your own references until last

If you’re still in Sixth Form, you might not yet be required to include academic references in your essays, but for the sake of a thorough guide to essay research that will be useful to you in the future, we’re going to include this point anyway (it will definitely come in useful when you get to university, so you may as well start thinking about it now!). As you read through various books and find points you think you’re going to want to make in your essays, make sure you note down where you found these points as you go along (author’s first and last name, the publication title, publisher, publication date and page number). When you get to university you will be expected to identify your sources very precisely, so it’s a good habit to get into. Unfortunately, many students forget to do this and then have a difficult time of going back through their essay adding footnotes and trying to remember where they found a particular point. You’ll save yourself a great deal of time and effort if you simply note down your academic references as you go along. If you are including footnotes, don’t forget to add each publication to a main bibliography, to be included at the end of your essay, at the same time.

Putting in the background work required to write a good essay can seem an arduous task at times, but it’s a fundamental step that can’t simply be skipped. The more effort you put in at this stage, the better your essay will be and the easier it will be to write. Use the tips in this article and you’ll be well on your way to an essay that impresses!

Some commonly recommended tactics for managing anger, including hitting a punching bag, jogging and cycling, aren’t effective at helping people cool off. That’s the key takeaway of our new review of 154 studies that looked at how activities that increase versus decrease physiological arousal affect anger and aggression.

Arousal is how researchers like us describe how alert and energized someone is. When you’re in a state of high physiological arousal , you’ll have increased heart rate, blood pressure, breathing rate and skin conductance due to sweat gland activity. Anger is a negative emotion associated with high physiological arousal.

In our study, we found that activities that influence arousal levels had a profound impact on anger and aggression.

By engaging in activities that decrease arousal , such as deep breathing, muscle relaxation, yoga, meditation and mindfulness, you can control, or “turn down,” your angry feelings and aggressive impulses.

Crucially, our meta-analysis of participants from multiple studies found that activities that help decrease arousal worked across diverse settings, including in the laboratory and in real-world situations, both offline and online, and in both group and individual sessions.

In addition, activities that turn down arousal were effective for a wide variety of people – students and nonstudents, criminal offenders and nonoffenders, those with and without disabilities, and for participants of various genders, races, ages and countries.

In contrast, some activities people use to manage their anger amp up arousal and increase anger and aggression levels. Jogging, a popular stress-relief activity, actually increased anger in the studies we looked at. The repetitive nature of jogging may induce feelings of monotony and frustration, potentially exacerbating anger rather than alleviating it. Conversely, engaging in ball sports and physical education classes decreased anger, possibly because they are playful group activities that evoke positive emotions .

Likewise, venting anger increased anger and aggression. This research helps dispel the myth that it is good to blow off steam and “let it out” or “get it off your chest.” Skip screaming into your pillow or pounding on a punching bag . Save your money rather than going to a rage room to break stuff with baseball bats. Such activities are not therapeutic.

Why it matters

Anger is a common emotion with potentially destructive consequences. From physical confrontations to road rage incidents, anger is widely seen as a problem and an emotion that people should try to rein in.

Yet, most people do not have effective techniques for controlling their anger. There is a great need for identifying effective strategies for reducing and managing anger. Our study shows that activities that decrease arousal are highly effective. Many of these activities are also inexpensive or free.

In a world grappling with the dangers of unchecked anger, our research empowers people with evidence-based tools for effective anger management, fostering healthier outcomes and societal well-being.

How we do our work

Our study in the journal Clinical Psychology Review was a meta-analytic review . It combined data from 154 studies examining activities that either decrease or increase arousal and their impact on anger and aggression.

The conclusions from a meta-analysis are statistically stronger because of the large sample – in our case, 10,186 participants. A meta-analysis can also reveal patterns that are less obvious in any single study. By zooming out from a leaf, you get to see the full tree.

Companies are increasingly moving their data operations to the cloud, and many of the larger firms are relying on in-house talent to manage those efforts. Make sure that you demonstrate your cloud computing skills in your resume to convey your knowledge about cloud service platforms, data migration, cloud security, and distributed systems. 

Pro Tip: If you possess those critical skills, chances are that you have certification from Google, Amazon, or Microsoft, so list those credentials in your resume, too.

3.     Full-stack web development

Skills related to full-stack web development can also increase your value to prospective employers. IT experts who possess these skills are proficient in both back-end and front-end web development and have competencies in both frameworks and database languages. Employers who are looking for the best IT talent will appreciate knowing that your skills enable you to work on every aspect of their applications and websites.

4.     Data analysis

You'll also want to demonstrate that you're proficient in all types of data management. Whether it's data mining, analysis, modeling, or migration, IT professionals are on the front lines of any organization's efforts to maximize the organization, use, and security of the data it relies on for success. You can include proficiency in Apache Spark, SQL, and other data analysis systems in your resume to highlight those abilities.

5.     Project management

Project management is another vital IT skill for your resume. Whether you're setting up a new network system, engaging in major troubleshooting, or migrating data to the cloud, you need to possess the skills needed to manage that project. These skills can include abilities like task management, project forecasting, planning, execution, monitoring, and more. Leadership roles often require additional skills like delegation, scheduling, and budgeting.

6.     Coding languages

You can also include coding IT skills on your resume to ensure that employers understand your proficiency in software languages, program design, and execution. These skills can include specific programming languages, logical thinking, knowledge of data structures and algorithms, web development, debugging, and problem-solving abilities.

7.     AI integration

If you're familiar with artificial intelligence and machine learning, you can include those IT skills on your resume, too. As more companies turn to AI to remain competitive in today's marketplace, the need for skilled AI professionals is growing with each passing year. IT professionals who have knowledge of things like natural language processing, artificial intelligence integration, big data, neural networks, and deep learning will always have the skills they need to differentiate themselves from their competition.

8.     Network architecture

Even if your job doesn't involve designing a company's network architecture, your employer will still expect you to have some expertise in that area of concern. Network architecture abilities include proficiency in network infrastructure, design, and security. You should highlight important knowledge about everything from routers, firewalls, and switches to the use of dynamic and static routing protocols.

9.     Data migration

IT professionals are often responsible for managing data migration as companies look to take advantage of emerging technologies and new systems. There are many types of data migration, of course, encompassing everything from moving data from one storage system to another. Data can also be moved from database to database, between applications, or to a cloud-based framework. Expertise in data migration requires keen problem-solving abilities, as well as project management, data analysis, and other core technical skills.

10.  Troubleshooting

IT professionals spend a vast amount of time troubleshooting problems ranging from network-related concerns to computer issues. When something goes wrong with the company's technology, it's the IT expert's job to quickly diagnose the challenge, create a solution, and resolve the problem. To successfully troubleshoot these issues, you need to have a deep understanding of hardware components, software systems, and your network's operations.

11.  Systems analysis

Another notable set of IT resume skills involves those related to analyzing your organization's technology systems. You should use your resume to highlight core systems analysis skills that focus on your ability to assess and evaluate information, quickly identify patterns, and create solutions that resolve any challenges confronting the organization. These skills can identify you as a true agent of positive change.

How to include IT skills on your resume

Of course, it's unlikely that you'll want to include all your IT skills on your resume. Instead, you'll need to tailor your resume to align with the specific job that you're seeking. Fortunately, there's a straightforward process that you can use to achieve that goal. 

Below, we've outlined an uncomplicated three-step approach that you can use to determine which skills to include:

  • Begin by focusing on the role description in the job posting. Employers typically mention the required qualifications they expect you to possess. Make a list of all those requirements, as well as any others that you recognize as essential for the position.
  • Compare that list to your own list of IT skills to identify the most relevant skills you'll need to include in your resume. Note the terms the company uses to describe those abilities and make sure that you use those exact words when you describe those IT skills on your resume. There's a good chance that those terms are keywords that the company's applicant tracking system may be looking for as it scans your resume.   • Flesh out your IT skill list with other relevant skills so that you have a complete list of between twelve and fifteen IT abilities. Once you have that complete list, you can start adding them to your resume.

There are three places in your IT resume that you should focus on when you're highlighting skills:

Your resume summary

Your core competencies section

Your work experience section

Highlight IT skills on your resume summary

You only have several seconds to capture an employer's attention, so it's important to make an immediate impression. The best place to do that is in your resume summary, of course. This brief paragraph typically contains no more than three or four sentences and can be used as an elevator pitch to sell your qualifications. By including your most in-demand IT skills in this summary, you can more easily earn the reader's interest and inspire them to continue reading.

When writing your resume summary, focus on including sentences that contain the following information:

Your job title, years of experience, and any specialization

One or two of your most relevant IT skills

At least one quantifiable achievement

For example:

Solutions-driven IT specialist with six years of experience in network management, user support, and troubleshooting. Proficient in communication network installation, maintenance, and problem resolution. Dedicated team player focused on quality control, responsive solutions, and operational analysis. Managed six-person team of support personnel, with 99+% reported satisfaction.

Include IT skills in your core competencies section

As you've probably already guessed, you'll also need to include your IT skills in your resume's core competencies section – otherwise known as the skills section. You have two options here: 

  • You can either include all your relevant IT skills – including essential hard skills, soft skills, and computer-related – in one core competencies section
  • You can split those skills into two separate sections

If you choose the second option, simply list all your core hard and soft skills in a core competencies section and then create a second section titled “Software skills.” 

Whichever option you choose, make sure that you include soft skills to go along with the IT skills on your resume. While those hard skills are necessary qualifications for any IT position, your soft skills can be the deciding factor in many job search efforts.

It's also worth mentioning the importance of formatting the skills section for maximum impact. Always use bullet points to list these skills and format the entire section (or sections) into two or three columns. That will make it easier for hiring managers to skim this part of your resume and increase the likelihood of them taking note of your qualifications.

Demonstrate IT skills in your experience section

The third place you need to highlight IT skills on your resume is in your work experience section. Here, you will want to demonstrate how those skills helped you achieve value for past employers. That can be accomplished by creating measurable achievement statements for each of the jobs you list as experience. 

Add the company name, dates of employment, and job title for each previous position you've held, and then include four to six bullet-point achievement statements beneath each job listing.

ABC Technologies, Anytown, Anystate

IT Specialist, January 2018 to Present

Led network management for six departments, providing troubleshooting and related support to a 200-person team

Managed more than 20 client application projects, debugging and overseeing new code development with 100% project deadline success

Oversaw three-phased network installation project that replaced previous systems, resulting in 22% reduction in reported user issues

How to improve your IT skills

No matter how skilled you might be, you know that there's always room for improvement. Build your online network to ensure that you remain in communication with other IT professionals.

Use online resources

These days, there are also a host of online resources that you can use to sharpen your skills. That includes online videos, websites that provide tech updates and insights, and places like GitHub where you can share projects and get a closer look at what others in the industry are currently doing.

Find opportunities to use your skills

Of course, it's also important to use your skills in areas outside of your comfort zone. One of the best ways to improve your abilities is to take on challenges that you wouldn't ordinarily encounter. Make yourself available to friends and family who need network or other computer assistance. Check out some freelancer sites to see if you can pick up a gig assignment or two. If all else fails, start your own project at home. Create a new network. Develop an app. Start a website.

In addition, AI can be used to brainstorm ways to build your business or repurpose existing content to be used in other creative ways. Ultimately, the goal of using AI is to free up time to reach more clients or participants, build your business or take some time for yourself.

The power of artificial intelligence  (AI) and its ability to improve your effectiveness as a health coach or exercise professional should not be underestimated. Used well, these AI prompt writing tips can free you from some of the potentially mundane tasks that your job requires. Less time writing blogs or trying to figure out what to include in a business plan or on social media , for example, means more time for building your business or for doing things you love outside of work .  

The Power of AI Prompts  

Making the most of artificial intelligence, such as ChatGPT , Gemini or Copilot , requires that you master the art of writing prompts. The best way to learn is to dive in and see where the “conversation” takes you .   

Consider these strategies for writing effective prompts:  

Be specific. For example, saying you are a group fitness instructor will give you more personalized results than if you identify yourself as an exercise professional. Also, give your location to receive community-specific responses. Finally, a longer prompt with a lot of details will help the AI narrow its response.  

Provide a word count. This can be helpful even if you’re not trying to draft a blog or article. For example, you can ask for “ 300 words to describe the top 6 strategies for …” rather than simply asking your question. That way, you don’t get more information than you need and the AI has limits on what it will create.    

Dig deeper with follow-up questions. This is where AI becomes most powerful, as the conversational aspect gives you the opportunity to gain more insight into a particular area or branch off into an entirely new direction that you may not have anticipated . Evaluate each response the AI provides and then use follow-up questions to focus on what you need. AI will often provide long lists or outlines, so dig deeper by saying, “Tell me more about…”  

Experiment with tone and style. This might include something like “use a wittier voice” or “write tips for first-time personal training clients.” Telling the AI who your audience is and the style or tone you’re seeking will give you more usable results. For example, you might say , “I am a personal trainer writing a blog for older adult clients abou t balance training. I want to provide practical strategies they can use to add balance exercises to their daily routine , written in a friendly, upbeat style . ”

Other Uses of AI  

AI can be of great use even if you’re not a “writer.” Use it as a brainstorming partner to identify and then improve upon your areas for growth as a professional or to find ways to expand your business. For example, you might ask, “What do investors want to see in a business plan?” or “ What are some creative touches I can add to my social media presence to help me stand out from the competition?”  

AI can also take over smaller tasks that drain valuable time from your day. For example, you can use it to draft a welcome email or creative welcome packets for new clients or a list of tips to stay active while on vacation that you can send to clients who are going to miss a week of sessions or classes.  

Another fun use of AI involves rewrit ing existing text in a new style or for a new purpose . Maybe you’ve written a short blog and want to turn it into a series of social media posts. You can simply ask the AI to “create 3 social media posts based on the following content.” Or, perhaps you have written something that seems too formal or academic . You can paste it into your prompt and ask AI to rewrite it in a friendlier tone.  

Perhaps the most important thing to remember when using AI is that you are the expert and that content provided by AI should not be explicitly trusted. It’s up to you to ensure that what you’re using is credible and accurate . Never lose sight of the fact that it’s your name and credibility on the line. So, be sure that any AI-derived content that you create is evidence-based and actually expresses what you’re trying to express.
