How do you start an APA paper? Your paper should begin with an introduction that includes a thesis statement that presents your main ideas, points, or arguments. Your introduction should start on the third page of your paper (after the title page and abstract). The title of your paper should be centered, bolded, and typed in title case at the top of the page.

Review and Revise

After you have prepared a rough draft of your essay, it's time to revise, review, and prepare your final draft. In addition to making sure that your writing is cohesive and supported by your sources, you should also check carefully for typos, grammar errors, and possible formatting mistakes.

When citing information or quotations taken from an interview, APA format requires that you cite the source, how the information was collected, and the date of the interview. They should not be included in the reference section, however, because they are not something that can be located by a reader in any published source or searchable database.

Instead, the information should be cited parenthetically in the main body of the text. For example: “There was an increase in the number of college students who screened positive for depression/anxiety” (R. Heathfield, personal communication, May 9, 2021).

If the essay is in a chapter of a book, edited collection, or anthology, APA format states that you should cite the last name, first name, title of essay, title of collection, publisher, year, and page range. According to APA format, a two-part essay is formatted the same as an essay, however, you'll need to create two title pages.

If you're including a short direct quote in your APA-format essay, you will need to cite the author, year of publication, and page number (p.) or page number span (pp.). Quotations longer than 40 words should omit the quotation marks and be put in the text using block quotation formatting, on its own line and indented 1/2 inch from the left margin.

The cover page or "title page" in APA essay format should always include the title of your paper, your name, and school affiliation as well as the course title, instructor name, and date, if requested by your teacher.

The start of the semester is the perfect time to learn how to create and format APA Style student papers. This article walks through the formatting steps needed to create an APA Style student paper, starting with a basic setup that applies to the entire paper (margins, font, line spacing, paragraph alignment and indentation, and page headers). It then covers formatting for the major sections of a student paper: the title page, the text, tables and figures, and the reference list. Basic setup

The guidelines for basic setup apply to the entire paper. Perform these steps when you first open your document, and then you do not have to worry about them again while writing your paper. Because these are general aspects of paper formatting, they apply to all APA Style papers, student or professional. Students should always check with their assigning instructor or institution for specific guidelines for their papers, which may be different than or in addition to APA Style guidelines.

Seventh edition APA Style was designed with modern word-processing programs in mind. Most default settings in programs such as Academic Writer, Microsoft Word, and Google Docs already comply with APA Style. This means that, for most paper elements, you do not have to make any changes to the default settings of your word-processing program. However, you may need to make a few adjustments before you begin writing.

Use 1-in. margins on all sides of the page (top, bottom, left, and right). This is usually how papers are automatically set.

Use a legible font. The default font of your word-processing program is acceptable. Many sans serif and serif fonts can be used in APA Style, including 11-point Calibri, 11-point Arial, 12-point Times New Roman, and 11-point Georgia. You can also use other fonts described on the font page of the website.

Line spacing

Double-space the entire paper including the title page, block quotations, and the reference list. This is something you usually must set using the paragraph function of your word-processing program. But once you do, you will not have to change the spacing for the entirety of your paper–just double-space everything. Do not add blank lines before or after headings. Paragraph alignment and indentation

Align all paragraphs of text in the body of your paper to the left margin. Leave the right margin ragged. Do not use full justification. Indent the first line of every paragraph of text 0.5-in. using the tab key or the paragraph-formatting function of your word-processing program. For paper sections with different alignment and indentation, see the paragraph alignment and indentation page.

Page numbers

Put a page number in the top right of every page header , including the title page, starting with page number 1. Use the automatic page-numbering function of your word-processing program to insert the page number in the top right corner; do not type the page numbers manually. The page number is the same font and font size as the text of your paper. Student papers do not require a running head on any page, unless specifically requested by the instructor.

APA Style has two title page formats: student and professional (for details, see title page setup ). Unless instructed otherwise, students should use the student title page format and include the following elements, in the order listed, on the title page:

  • Paper title.
  • Name of each author (also known as the byline).
  • Affiliation for each author.
  • Course number and name.
  • Instructor name.
  • Assignment due date.
  • Page number 1 in the top right corner of the page header.

The format for the byline depends on whether the paper has one author, two authors, or three or more authors.

  • When the paper has one author, write the name on its own line (e.g., Jasmine C. Hernandez).
  • When the paper has two authors, write the names on the same line and separate them with the word “and” (e.g., Upton J. Wang and Natalia Dominguez).
  • When the paper has three or more authors, separate the names with commas and include “and” before the final author’s name (e.g., Malia Mohamed, Jaylen T. Brown, and Nia L. Ball).

Students have an academic affiliation, which identities where they studied when the paper was written. Because students working together on a paper are usually in the same class, they will have one shared affiliation. The affiliation consists of the name of the department and the name of the college or university, separated by a comma (e.g., Department of Psychology, George Mason University). The department is that of the course to which the paper is being submitted, which may be different than the department of the student’s major. Do not include the location unless it is part of the institution’s name.

Write the course number and name and the instructor name as shown on institutional materials (e.g., the syllabus). The course number and name are often separated by a colon (e.g., PST-4510: History and Systems Psychology). Write the assignment due date in the month, date, and year format used in your country (e.g., Sept. 10, 2020).

Title page line spacing

Double-space the whole title page. Place the paper title three or four lines down from the top of the page. Add an extra double-spaced blank like between the paper title and the byline. Then, list the other title page elements on separate lines, without extra lines in between.

Center all title page elements (except the right-aligned page number in the header).

Title page font

Write the title page using the same font and font size as the rest of your paper. Bold the paper title. Use standard font (i.e., no bold, no italics) for all other title page elements.

Text elements

Repeat the paper title at the top of the first page of text. Begin the paper with an introduction to provide background on the topic, cite related studies, and contextualize the paper. Use descriptive headings to identify other sections as needed (e.g., Method, Results, Discussion for quantitative research papers). Sections and headings vary depending on the paper type and its complexity. Text can include tables and figures, block quotations, headings, and footnotes.

Text line spacing

Double-space all text, including headings and section labels, paragraphs of text, and block quotations.

Text alignment

Center the paper title on the first line of the text. Indent the first line of all paragraphs 0.5-in.

Left-align the text. Leave the right margin ragged.

Block quotation alignment

Indent the whole block quotation 0.5-in. from the left margin. Double-space the block quotation, the same as other body text. Find more information on the quotations page.

Use the same font throughout the entire paper. Write body text in standard (nonbold, nonitalic) font. Bold only headings and section labels. Use italics sparingly, for instance, to highlight a key term on first use (for more information, see the italics page).

Headings format

  • Alignment: Center Level 1 headings. Left-align Level 2 and Level 3 headings. Indent Level 4 and Level 5 headings like a regular paragraph.
  • Font: Boldface all headings. Also italicize Level 3 and Level 5 headings. Create heading styles using your word-processing program (built into AcademicWriter, available for Word via the sample papers on the APA Style website).

Tables and figures setup

Tables and figures are only included in student papers if needed for the assignment. Tables and figures share the same elements and layout. See the website for sample tables and sample figures .

Tables include the following four elements: 

  • Body (rows and columns)
  • Note (optional if needed to explain elements in the table)

Figure elements

Figures include the following four elements: 

  • Image (chart, graph, etc.)
  • Note (optional if needed to explain elements in the figure)

Table line spacing

Double-space the table number and title. Single-, 1.5-, or double-space the table body (adjust as needed for readability). Double-space the table note.

Figure line spacing

Double-space the figure number and title. The default settings for spacing in figure images is usually acceptable (but adjust the spacing as needed for readability). Double-space the figure note.

Table alignment

Left-align the table number and title. Center column headings. Left-align the table itself and left-align the leftmost (stub) column. Center data in the table body if it is short or left-align the data if it is long. Left-align the table note.

Figure alignment

Left-align the figure number and title. Left-align the whole figure image. The default alignment of the program in which you created your figure is usually acceptable for axis titles and data labels. Left-align the figure note.

Bold the table number. Italicize the table title. Use the same font and font size in the table body as the text of your paper. Italicize the word “Note” at the start of the table note. Write the note in the same font and font size as the text of your paper.

Figure font

Bold the figure number. Italicize the figure title. Use a sans serif font (e.g., Calibri, Arial) in the figure image in a size between 8 to 14 points. Italicize the word “Note” at the start of the figure note. Write the note in the same font and font size as the text of your paper.

Placement of tables and figures

There are two options for the placement of tables and figures in an APA Style paper. The first option is to place all tables and figures on separate pages after the reference list. The second option is to embed each table and figure within the text after its first callout. This guide describes options for the placement of tables and figures embedded in the text. If your instructor requires tables and figures to be placed at the end of the paper, see the table and figure guidelines and the sample professional paper .

Call out (mention) the table or figure in the text before embedding it (e.g., write “see Figure 1” or “Table 1 presents”). You can place the table or figure after the callout either at the bottom of the page, at the top of the next page, or by itself on the next page. Avoid placing tables and figures in the middle of the page.

Embedding at the bottom of the page

Include a callout to the table or figure in the text before that table or figure. Add a blank double-spaced line between the text and the table or figure at the bottom of the page.

Embedding at the top of the page

Include a callout to the table in the text on the previous page before that table or figure. The table or figure then appears at the top of the next page. Add a blank double-spaced line between the end of the table or figure and the text that follows.

Embedding on its own page

Embed long tables or large figures on their own page if needed. The text continues on the next page.

The reference list consists of the “References” section label and the alphabetical list of references. View reference examples on the APA Style website. Consult Chapter 10 in both the Concise Guide and Publication Manual for even more examples.

Reference list line spacing

Start the reference list at the top of a new page after the text. Double-space the entire reference list (both within and between entries).

Reference list alignment

Center the “References” label. Apply a hanging indent of 0.5-in. to all reference list entries. Create the hanging indent using your word-processing program; do not manually hit the enter and tab keys.

Reference list font

Bold the “References” label at the top of the first page of references. Use italics within reference list entries on either the title (e.g., webpages, books, reports) or on the source (e.g., journal articles, edited book chapters).

Final checks

Check page order.

  • Start each section on a new page.
  • Arrange pages in the following order:
  • Title page (page 1).
  • Text (starts on page 2).
  • Reference list (starts on a new page after the text).

Check headings

  • Check that headings accurately reflect the content in each section.
  • Start each main section with a Level 1 heading.
  • Use Level 2 headings for subsections of the introduction.
  • Use the same level of heading for sections of equal importance.
  • Avoid having only one subsection within a section (have two or more, or none).

Check assignment instructions

  • Remember that instructors’ guidelines supersede APA Style.
  • Students should check their assignment guidelines or rubric for specific content to include in their papers and to make sure they are meeting assignment requirements.

A Person - The goal of writing about a person is to make the reader understand something about that person. This includes physical descriptions of what they look like, what kind of clothing they wear, a sense of the physical presence along with their profession,  as well as how they behave.

  • Transition sentence - If you just want to relax, the beach is perfect for that too!
Body Paragraph 3
  • Topic Sentence - The beach is ideal just to relax, destress, and take it easy. 
  • Sensory information - To relax as you are massaged by either human hands or the sun is a pleasure. Lazing around might be frowned upon, but the beach is the ideal place to spend some time taking care of yourself and letting the stresses of the world melt away.
  • Physical description - Whether it’s reading a book, or enjoying a refreshing beverage with umbrellas in it, you can get taken care of on the beach. Building sandcastles, painting, and meditating are other activities easily and freely enjoyed. 
  • Transition sentence - The beach has so much to offer.
  • Summary of the main points - Whether it’s nature, physical exercise, or simple relaxation, the beach can offer all of that and more. 
  • Restate the thesis - That’s the main reason that a beach is the ideal vacation spot, it allows for diverse ways of having fun. 
  • Closing statement/Clincher - Think about the last time you went to the beach, don’t you want to go again?

  • Use 1-inch margins.
  • Double-space the entire document
  • 12-point Times New Roman

  • The title of the paper should be the first line of the page after the title page. The title should be centered and bolded, with major words capitalized.

Paper Sections

An abstract is a brief summary (typically 150-250 words) that appears at the beginning of an academic journal article. Sometimes, an abstract is required in more complex graduate-level writing, like research papers. Abstracts are intended to provide a quick overview of a text so that a reader can skim the abstract and determine right away if the source/text is relevant to their research. If you need to include an abstract in your assignment, write the abstract after you finish writing your essay because it’s easier to summarize your ideas once you’ve already written them.

To format the abstract:

  • The abstract should appear on its own page, after the title page and before the beginning of your essay.
  • The word “Abstract” should be centered at the top of the page, without any additional formatting.
  • Make sure that your abstract is double-spaced and in the same font and font size as the rest of the paper.
  • Do not indent the first line of your abstract; it should be aligned with the left margin.

  • List your references in alphabetical order.
  • Each reference should be double-spaced.
  • The first line of each reference should be aligned with the left margin. Each subsequent line of the reference should have a hanging indent.

An appendix or appendices should only be included in your essay if it is required in the assignment guidelines or by your instructor. An appendix is information that is not essential to your paper but is included for your reader to reference if desired. As such, the appendix goes at the end of your essay after the references page.

Depending on how many items you want to include, you might need more than one appendix. Each appendix will go on its own page. For example, if you have 3 charts, each chart would go on its own page: the first would be Appendix A, the second would be Appendix B, etc.

To format the appendix:

  • Appendices should come after the references page.
  • Each item you want to include as an appendix should be on its own page:
  • The appendix should be on its own page after the references. The word “Appendix” will be bolded and centered at the top of the page.
  • On the line after the appendix label, include a descriptive title for the appendix (ex: Quarterly Profits for ABC Company). The title should be bolded and centered.
  • The image, chart, text, etc. should be below the title for the appendix.

Any outside source material included in your appendix should have a corresponding reference on your references page. All appendices must be mentioned in the body of your essay. When referring to the appendix in the body of your essay, write the phrase “see Appendix A” in parentheses. For example: To better understand the financial situation of ABC Company, it is worth examining the increase in profits between 2016 and 2019 (see Appendix A).

How to Write a Descriptive Essay

A descriptive essay is one of several forms of writing you may be required to use in college, with the other forms being the argumentative, narrative and expository forms. When you write your essay you should create a written account of a particular experience or describe a person, emotion, and situation or place so vividly that your readers feel like they can almost reach out and touch it. As such, the descriptive form allows for a great deal of artistic freedom and focuses less on facts and statistics than many other forms of writing you will do while in college.

What is the purpose of your essay?

Think about a topic that has many interesting features you can present in a descriptive way. Combine that with a strong understanding of what are you trying to convey to your readers and why. For example, what details can you include to ensure that your readers will gain a vivid impression that is infused with your emotion or perspective? What sights, sounds, smells, tastes, and textures are important for developing your description? What feelings will you convey and why? The ΓÇ£whyΓÇ¥ will focus the other details you will include and how you will write about them.

Include as many detailed images as possible and use all your senses.

To get the clearest picture in their mind, your readers want to know all about the event or object you are describing, so be sure to provide everything that the reader would use to understand your subject if they were to experience it for themselves. For example, if your essay is about cars, make a list of details, like the horn, upholstery, bumpers, lights etc. Once you have written them down, you can compile a descriptive list for each of them. When you are writing your essay, think in terms of ΓÇ£showingΓÇ¥ and not just ΓÇ£tellingΓÇ¥. You are painting a picture with words so it is important to describe it fully.

Narrow and refine your descriptions.

It is important to keep in mind that every object, person or event can be experienced form many different perspectives. Start from some general characteristics of the subject and then proceed to specific and striking ones. Define the unique qualities of the subject that cannot be found in other persons, places or things.

A descriptive essay can be the most liberating and pleasurable essay to write. You are writing something as you see it and you can elaborate in your own language. However, make sure that you keep to the point — your ΓÇ£whyΓÇ¥ — and donΓÇÖt get lost in unnecessary details that can diminish the impact of your writing and distract your readers from the purpose. Keep your original intentions in mind when you review what you have written. DonΓÇÖt be afraid to edit until your words convey exactly what you want to your readers.

What format should I use?

When writing a descriptive essay, you will often use the MLA format. However, depending on your assignment and your professor, you may need to format in a different style. APA In-Text Citations and Sample Essay 7th Edition

This handout focuses on how to format in-text citations in APA.

Proper citation of sources is a two-part process . You must first cite each source in the body of your essay; these citations within the essay are called in-text citations . You MUST cite all quoted, paraphrased, or summarized words, ideas, and facts from sources. Without in-text citations, you are technically in danger of plagiarism, even if you have listed your sources at the end of the essay.

In-text citations point the reader to the sources’ information on the references page. The in-text citation typically includes the author's last name and the year of publication. If you use a direct quote, the page number is also provided.

All types of visual displays other than tables are considered figures in APA Style. Common types of figures include line graphs, bar graphs, charts (e.g., flowcharts, pie charts), drawings, maps, plots (e.g., scatterplots), photographs, infographics, and other illustrations.

Figure components

APA Style figures have these basic components:

  • number: The figure number (e.g., Figure 1) appears above the figure title and image in bold font. Number figures in the order in which they are mentioned in your paper.
  • title: The figure title appears one double-spaced line below the figure number. Give each figure a brief but descriptive title, and capitalize the figure title in italic title case .
  • image: The image portion of the figure is the graph, chart, photograph, drawing, or other illustration itself. If text appears in the image of the figure (e.g., axis labels), use a sans serif font between 8 and 14 points .
  • legend: A figure legend, or key, if present, should be positioned within the borders of the figure and explains any symbols used in the figure image. Capitalize words in the figure legend in title case .
  • note: Three types of notes (general, specific, and probability) can appear below the figure to describe contents of the figure that cannot be understood from the figure title, image, and/or legend alone (e.g., definitions of abbreviations, copyright attribution, explanations of asterisks use to indicate p values). Include figure notes only as needed.

Principles of figure creation

The most important principle to follow when creating a figure is to present information in a way that is easy for readers to understand. Provide sufficient information in the figure itself so that readers do not need to read the text to understand it.

When creating a figure, ensure you meet the following standards:

  • images are clear
  • lines are smooth and sharp
  • font is legible and simple
  • units of measurement are provided
  • axes are clearly labeled
  • elements within the figure are clearly labeled or explained

Use graphics software to create figures in APA Style papers. For example, use the built-in graphics features of your word-processing program (e.g., Microsoft Word or Excel) or dedicated programs such as Photoshop or Inkscape.

Placement of figures in a paper

There are two options for the placement of figures (and tables) in a paper. The first is to embed figures in the text after each is first mentioned (or “called out”); the second is to place each figure on a separate page after the reference list.

An embedded figure may take up an entire page; if the figure is short, however, text may appear on the same page as the figure. In that case, place the figure at either the top or bottom of the page rather than in the middle. Also add one blank double-spaced line between the figure and any text to improve the visual presentation.

Follow these five steps to format your abstract in APA Style:

Guide: writing an abstract

At the end of the abstract, you may include a few keywords that will be used for indexing if your paper is published on a database. Listing your keywords will help other researchers find your work.

Choosing relevant keywords is essential. Try to identify keywords that address your topic, method, or population. APA recommends including three to five keywords.

An abstract is a concise summary of an academic text (such as a journal article or dissertation ). It serves two main purposes:

  • To help potential readers determine the relevance of your paper for their own research.
  • To communicate your key findings to those who don’t have time to read the whole paper.

Abstracts are often indexed along with keywords on academic databases, so they make your work more easily findable. Since the abstract is the first thing any reader sees, it’s important that it clearly and accurately summarizes the contents of your paper.

An APA abstract is around 150–250 words long. However, always check your target journal’s guidelines and don’t exceed the specified word count.

In an APA Style paper , the abstract is placed on a separate page after the title page (page 2).

Avoid citing sources in your abstract . There are two reasons for this:

  • The abstract should focus on your original research, not on the work of others.
  • The abstract should be self-contained and fully understandable without reference to other sources.

There are some circumstances where you might need to mention other sources in an abstract: for example, if your research responds directly to another study or focuses on the work of a single theorist. In general, though, don’t include citations unless absolutely necessary.
