Harvard style - quotation

The Harvard Style dictates that when using another's exact words, known as direct quotation, then those words must be placed in inverted commas/quotation marks ('' or "") followed by an in-text citation that includes the Author Last name, Year and page numbers. Inverted commas/quotation marks can be single or double, simply be consistent or check with your lecturer/school. 

For materials without page numbers, such as eBook, it is acceptable to use other indications of location such as chapters, paragraph numbers or section headings etc.. See s hort and long quotations see example below.

Short quotations

Short quotations are generally held to be two or three lines in length. They are kept within the structure of the sentence in which they appear. An example of a short direct quotation would be

It was reported that 'findings show children have a high level of enjoyment, while exercising with the system as indicated by the positive responses to all three questions ' (Fitzgerald et al ., 2008, p. 66).

Moran (2012) describes how "mental simulation processes such as motor imagery are crucial to success in sports," particularly in high performance athletes (para. 4).

Downes (2012, p. 6) studied the development of "selective attention skills" in pre-school children with sickle cell disease.

Long quotations

Long quotations are generally held to be longer than three lines. These are laid out in a separate paragraph of text and indented. No inverted commas/quotation marks are included. An example of a long quotation would be

In their research on rehabilitation using Wobbleballs, Fitzgerald and her team conclude that:

The fourth question collected some feedback from children and while most provided positive comments a small number of children (n=13) mentioned that the wobble board was “difficult to control” or “hard to use”. We must therefore investigate some easier methods to control the game as an option for some children. Future research is needed to investigate the benefits of the system as an exercise intervention for children and to examine how training using Wobbleball could be integrated into the existing physical education curriculum in schools. (Fitzgerald et al ., 2008, p. 66)

Quoting ideas

If you are including the ideas of another person from a specific page range or page in a source, rather than direct quotation, Harvard also requires you to include a page number. Your quote would look something like this

In the review it was noted that research shows open plan office spaces damage workers' attention span, creativity and satisfaction (Davis et al ., 2011, p. 22).

If you are unclear as to when to include a page number when quoting ideas, discuss this with your lecturer or tutor. Bring along examples to show them.

Quotation - over use and plagiarism

Too much direct quotation from original sources, with less critical analysis from the writer can lead to accusations of plagiarism, even if full citations and references are provided. 

It is important that quotations are used only when absolutely necessary to the content. Otherwise, it is preferable to paraphrase and interpret the information you are discussing and use your critical analysis skills.

Harvard style quotation and first year (undergraduate or postgraduate)

Finally, because the Harvard Style does not have a manual of style with exact rules, always discuss with your lecturer or module coordinator what their expectations are around quotation, citing and referencing. Show them the advice on this guide, and clarify if they expect any alternative writing practices. This is especially important for first year students or those beginning a course/module.

The following resource shares some best practice guidance for dissertation formatting. Please note that some of the elements outlined below are required and will be reviewed by the FAS Registrar's Office as part of Harvard Griffin GSAS policies on formatting . 

Language of the Dissertation

The language of the dissertation is ordinarily English, although some departments whose subject matter involves foreign languages may accept a dissertation written in a language other than English.

Most dissertations are 100 to 300 pages in length. All dissertations should be divided into appropriate sections, and long dissertations may need chapters, main divisions, and subdivisions.

Page and Text Requirements

  • 8½ x 11 inches, unless a musical score is included
  • At least 1 inch for all margins
  • Body of text: double spacing
  • Block quotations, footnotes, and bibliographies: single spacing within each entry but double spacing between each entry
  • Table of contents, list of tables, list of figures or illustrations, and lengthy tables: single spacing may be used

Fonts and Point Size

Use 10-12 point size. Fonts must be embedded in the PDF file to ensure all characters display correctly. 

Recommended Fonts

If you are unsure whether your chosen font will display correctly, use one of the following fonts: 

Arial10 pt
Century11 pt
Courier New10 pt
Garamond12 pt
Georgia11 pt
Lucida Bright10 pt
Microsoft Sans Serif10 pt
Tahoma10 pt
Times New Roman12 pt
Trebuchet MS10 pt
Verdana10 pt

If fonts are not embedded, non-English characters may not appear as intended. Fonts embedded improperly will be published to DASH as is. It is the student’s responsibility to make sure that fonts are embedded properly prior to submission. 

Instructions for Embedding Fonts

To embed your fonts in recent versions of Word, follow these instructions from Microsoft:

  • Click the File tab and then click Options .
  • In the left column, select the Save tab.
  • Clear the Do not embed common system fonts check box.

For reference, below are some instructions from ProQuest UMI for embedding fonts in older file formats:

To embed your fonts in Microsoft Word 2010:

  • In the File pull-down menu, click on Options .
  • Choose Save on the left sidebar.
  • Check the box next to Embed fonts in the file.
  • Click the OK button.
  • Save the document.

Note that when saving as a PDF, make sure to go to “more options” and save as “PDF/A compliant”

To embed your fonts in Microsoft Word 2007:

  • Click the circular Office button in the upper left corner of Microsoft Word.
  • A new window will display. In the bottom right corner select Word Options . 
  • Choose Save from the left sidebar.

Using Microsoft Word on a Mac:

Microsoft Word 2008 on a Mac OS X computer will automatically embed your fonts while converting your document to a PDF file.

If you are converting to PDF using Acrobat Professional (instructions courtesy of the Graduate Thesis Office at Iowa State University):  

  • Open your document in Microsoft Word. 
  • Click on the Adobe PDF tab at the top. Select "Change Conversion Settings." 
  • Click on Advanced Settings. 
  • Click on the Fonts folder on the left side of the new window. In the lower box on the right, delete any fonts that appear in the "Never Embed" box. Then click "OK." 
  • If prompted to save these new settings, save them as "Embed all fonts." 
  • Now the Change Conversion Settings window should show "embed all fonts" in the Conversion Settings drop-down list and it should be selected. Click "OK" again. 
  • Click on the Adobe PDF link at the top again. This time select Convert to Adobe PDF. Depending on the size of your document and the speed of your computer, this process can take 1-15 minutes. 
  • After your document is converted, select the "File" tab at the top of the page. Then select "Document Properties." 
  • Click on the "Fonts" tab. Carefully check all of your fonts. They should all show "(Embedded Subset)" after the font name. 
  •  If you see "(Embedded Subset)" after all fonts, you have succeeded.

Body of Text, Tables, Figures, and Captions

The font used in the body of the text must also be used in headers, page numbers, and footnotes. Exceptions are made only for tables and figures created with different software and inserted into the document.

Tables and figures must be placed as close as possible to their first mention in the text. They may be placed on a page with no text above or below, or they may be placed directly into the text. If a table or a figure is alone on a page (with no narrative), it should be centered within the margins on the page. Tables may take up more than one page as long as they obey all rules about margins. Tables and figures referred to in the text may not be placed at the end of the chapter or at the end of the dissertation.

  • Given the standards of the discipline, dissertations in the Department of History of Art and Architecture and the Department of Architecture, Landscape Architecture, and Urban Planning often place illustrations at the end of the dissertation.

Figure and table numbering must be continuous throughout the dissertation or by chapter (e.g., 1.1, 1.2, 2.1, 2.2, etc.). Two figures or tables cannot be designated with the same number. If you have repeating images that you need to cite more than once, label them with their number and A, B, etc. 

Headings should be placed at the top of tables. While no specific rules for the format of table headings and figure captions are required, a consistent format must be used throughout the dissertation (contact your department for style manuals appropriate to the field).

Captions should appear at the bottom of any figures. If the figure takes up the entire page, the caption should be placed alone on the preceding page, centered vertically and horizontally within the margins.

Each page receives a separate page number. When a figure or table title is on a preceding page, the second and subsequent pages of the figure or table should say, for example, “Figure 5 (Continued).” In such an instance, the list of figures or tables will list the page number containing the title. The word “figure” should be written in full (not abbreviated), and the “F” should be capitalized (e.g., Figure 5). In instances where the caption continues on a second page, the “(Continued)” notation should appear on the second and any subsequent page. The figure/table and the caption are viewed as one entity and the numbering should show correlation between all pages. Each page must include a header.

Landscape orientation figures and tables must be positioned correctly and bound at the top so that the top of the figure or table will be at the left margin. Figure and table headings/captions are placed with the same orientation as the figure or table when on the same page. When on a separate page, headings/captions are always placed in portrait orientation, regardless of the orientation of the figure or table. Page numbers are always placed as if the figure were vertical on the page.

If a graphic artist does the figures, Harvard Griffin GSAS will accept lettering done by the artist only within the figure. Figures done with software are acceptable if the figures are clear and legible. Legends and titles done by the same process as the figures will be accepted if they too are clear, legible, and run at least 10 or 12 characters per inch. Otherwise, legends and captions should be printed with the same font used in the text.

Original illustrations, photographs, and fine arts prints may be scanned and included, centered between the margins on a page with no text above or below.

Pages should be assigned a number except for the Thesis Acceptance Certificate. Preliminary pages (abstract, table of contents, list of tables, graphs, illustrations, and preface) should use small Roman numerals (i, ii, iii, iv, v, etc.). All pages must contain text or images.  

Count the title page as page i and the copyright page as page ii, but do not print page numbers on either page .

For the body of text, use Arabic numbers (1, 2, 3, 4, 5, etc.) starting with page 1 on the first page of text. Page numbers must be centered throughout the manuscript at the top or bottom. Every numbered page must be consecutively ordered, including tables, graphs, illustrations, and bibliography/index (if included); letter suffixes (such as 10a, 10b, etc.) are not allowed. It is customary not to have a page number on the page containing a chapter heading.

Check pagination carefully. Account for all pages.

Thesis Acceptance Certificate

A copy of the Thesis Acceptance Certificate should appear as the first page. This page should not be counted or numbered. The DAC will appear in the online version of the published dissertation. The author name and date on the DAC and title page should be the same. 

The dissertation begins with the title page; the title should be as concise as possible and should provide an accurate description of the dissertation. The author name and date on the DAC and title page should be the same. 

Do not print a page number on the title page. It is understood to be page  i  for counting purposes only.

Copyright Statement

A copyright notice should appear on a separate page immediately following the title page and include the copyright symbol ©, the year of first publication of the work, and the name of the author:

© [ year ] [ Author’s Name ] All rights reserved.

Alternatively, students may choose to license their work openly under a  Creative Commons  license. The author remains the copyright holder while at the same time granting up-front permission to others to read, share, and (depending on the license) adapt the work, so long as proper attribution is given. (By default, under copyright law, the author reserves all rights; under a Creative Commons license, the author reserves some rights.)

Do  not  print a page number on the copyright page. It is understood to be page  ii  for counting purposes only.

An abstract, numbered as page  iii , should immediately follow the copyright page and should state the problem, describe the methods and procedures used, and give the main results or conclusions of the research. The abstract will appear in the online and bound versions of the dissertation and will be published by ProQuest. There is no maximum word count for the abstract. 

  • double-spaced
  • left-justified
  • indented on the first line of each paragraph
  • The author’s name, right justified
  • The words “Dissertation Advisor:” followed by the advisor’s name, left-justified (a maximum of two advisors is allowed)
  • Title of the dissertation, centered, several lines below author and advisor
  • Table of Contents

Dissertations divided into sections must contain a table of contents that lists, at minimum, the major headings in the following order:

  • Front Matter
  • Body of Text
  • Back Matter

Front and Back Matter

Front matter includes (if applicable):

  • acknowledgements of help or encouragement from individuals or institutions
  • a dedication
  • a list of illustrations or tables
  • a glossary of terms
  • one or more epigraphs.

Back matter includes (if applicable):

  • bibliography
  • supplemental materials, including figures and tables
  • an index (in rare instances).

Supplemental Material

Supplemental figures and tables must be placed at the end of the dissertation in an appendix, not within or at the end of a chapter. If additional digital information (including audio, video, image, or datasets) will accompany the main body of the dissertation, it should be uploaded as a supplemental file through ProQuest ETD . Supplemental material will be available in DASH and ProQuest and preserved digitally in the Harvard University Archives.

Referencing direct quotes in Harvard style

If you include a direct quote in your paper, you’ll need to know how to create Harvard in-text citations . The Harvard style of referencing follows an author-date format for in-text citations; this means that the surname of the author and the date of publication are used to cite a quotation or idea borrowed from another author. If you include a direct quote in your paper and that source has page numbers, you’ll also need to know how to format page numbers in Harvard style .

Follow these rules when directly quoting from a source in Harvard style:

Short direct quotations

A short direct quote is one to two lines long. When you are using a short direct quotation from a source, it should be enclosed in quotation marks. The following format is used:

“Quotation” (Surname of the author, year of publication of the source, page number if applicable).

Example :  

“He put up his book of notes in a very deliberate manner” (Gaskell, 1855, p. 290).  

Note that if you mention the name of the author in the sentence containing the direct quotation, you do not have to put the author’s name in the parenthetical in-text citation.

Gaskell (1855, p. 292) writes, “She had sunk under her burden.”

While referencing this quotation in the reference list, you will follow the following format:

Surname of the author, initial(s). (Year of publication) Title of the source . Place of publication: Publisher.

Gaskell, E. (1855) North and south . London: Vintage Publishing.

Longer direct quotations

Quotations that run for more than two lines should be separated from the paragraph. A free line should be left above and below the quotation.

A colon is placed before the quotation. Unlike short quotations, longer quotations are not enclosed in quotation marks. The author’s name, date of publication, and page number are included.

The font size of the quotation should be at least 2 points smaller than the font size of the rest of the text.

The full citation in the reference list should be formatted the same way as for shorter direct quotations.

The narrator describes why Radley house was different from the otherwise amiable neighborhood of Maycomb county. As stated by Lee (1960, p. 9):

The Radleys, welcome anywhere in town, kept to themselves, a predilection unforgivable in Maycomb. They did not go to church, Maycomb’s principal recreation, but worshiped at home; Mrs. Radley seldom if ever crossed the street for a mid-morning coffee break with her neighbors, and certainly never joined a missionary circle.

This clearly shows why the Radleys were different.

Using Long Quotations – Harvard Style

When writing an essay, we quote sources to support a point we’re making or to attribute particular ideas to a particular thinker. Using quotations judiciously is thus a vital study skill for every university student.

However, many people format longer quotations incorrectly in their work. Herein, we focus on Harvard style conventions for using quotations, in particular longer passages of text.

Quoting Sources – The Basics

Ideally, when quoting shorter passages, you should integrate them into the main body of your text. This is done by simply enclosing the quoted material inside ‘quotation marks’ and providing the relevant page numbers in your citation:

J. R. Irons (1948, p.1) says of bread that ‘there really is no other food to take its place’.

It’s worth noting that ‘single inverted commas’ are traditionally favoured in Australian English, but this has become more fluid lately, so you might want to check your university style guide on this matter.

Longer Quotations

Sometimes, however, you’ll need to quote a source more extensively. To do this, you can use a ‘block quote’. This is where the quoted text is separated from the main body of your work.

Harvard conventions suggest doing this when quoting passages of 40-50 words (approximately four lines). To block quote, the quoted text must begin on a separate line after a colon and be inset from the rest of your essay, somewhat like this:

We must realise that bread is made to eat, and that the palate and not the eye must always be the deciding factor in how much is consumed. Bread will always have a place in the diet, but… there are signs that the bread of today is lacking – often dry, mostly under-fermented – and such is not likely to maintain sales. (Irons, 1948, p.4)

You’ll notice that indenting the text already distinguishes it from your own work, so quotations marks are not required in block quotations.

Depending on your style guide, you may also need to adjust the formatting of block quotes (e.g. changing the line spacing for quoted text). Whichever style you use, though, the important thing is that block quotes are:

a) Distinct from the main body of your work b) Clearly cited with the author name, year of publication and relevant page number(s) c) Presented consistently throughout your document

How to Cite a Dissertation in Harvard Style

What is a Dissertation?

In the UK, countries of Western Europe, as well as New Zealand and Australia, the term ‘ dissertation ’ is used instead of a ‘thesis.’ The majority of the remaining countries in the world prefer to use ‘thesis’ instead of ‘dissertation.’

Both represent the same thing, though: a full-length, academic piece of writing that students must submit after their undergraduate, post-graduate (Master), or PhD studies.

More specifically, a dissertation can refer to:

  • Large-scale research as part of a degree.
  • An article based on a small-scale study as part of a degree.
  • A review of another study, research or an accumulation of both.
  • Other full-length body texts are a requirement of the student’s degree program, no matter which level it is.

1.    Basic Format

In Harvard, the following in-text citation format is used for the dissertation:

(Author Surname, Year Published)

For example, ‘Occasionally the talent for drawing passes beyond mere picture-copying and shows the presence of a real artistic capacity of no mean order. (Darius, 2014)’

In Harvard, the following reference list entry format is used for the dissertation:

Author Surname, Author Initials. (Year Published). Title of the dissertation in italics. Level. Institution Name.

However, a slightly different format is also used in some institutions. According to that, in-text citations are done in the following way:

Author surname Year, p.#

For instance, Exelby (1997, p. 3) described the process … OR … processing gold (Exelby 1997, p. 3).

But in the case of reference list entries, these ‘other’ institutions recommend naming the dissertation title not in italics but in single quotation marks. The format would then be:

Author Surname, Initials Year of Publication, ‘Title of thesis in single quotation marks’, Award, Institution issuing degree, Location of the institution.

So, according to this format, the above example’s reference list entry would be:

Exelby, HRA 1997, ‘Aspects of Gold and Mineral Liberation’, PhD thesis, University of Queensland, Brisbane, Qld.

Whichever format is followed largely depends on one’s institutional guidelines. The format specified by the university is the one that should be followed. Furthermore, it should be followed consistently throughout a manuscript.

2.    Citing a Dissertation Published Online

The format for both in-text and reference list entries is the same for online and print dissertations. For example:

  • In-text citation: (Ram 2012) OR (Ram 2011, p. 130)
  • Reference list entry: Ram, R 2012, ‘Development of the International Financial Reporting Standard for Small and Medium-sized Entities’, PhD thesis, The University of Sydney, viewed 23 May 2014, <http://hdl.handle.net/2123/8208>.

An important point to note: While referencing dissertations published online, the URL may or may not be enclosed within < > symbols. Whichever format is chosen, it should be used consistently throughout the text.

An in-text citation should appear wherever you quote or paraphrase a source in your writing, pointing your reader to the full reference .

In Harvard style , citations appear in brackets in the text. An in-text citation consists of the last name of the author,  the year of publication, and a page number if relevant.

Up to three authors are included in Harvard in-text citations. If there are four or more authors, the citation is shortened with et al .

Use ‘p.’ for a single page and ‘pp.’ for a page range:

When incorporating citations into your text, you can either name the author directly in the text or only include the author’s name in brackets.

Naming the author in the text

When you name the author in the sentence itself, the year and (if relevant) page number are typically given in brackets straight after the name:

When you  you haven’t mentioned the author’s name in your sentence, include it inside the brackets. The citation is generally placed after the relevant quote or paraphrase, or at the end of the sentence, before the full stop:

This type of citation is useful when you want to support a claim or summarise the overall findings of sources.

Common mistakes with in-text citations

In-text citations in brackets should not appear as the subject of your sentences. Anything that’s essential to the meaning of a sentence should be written outside the brackets:

  • (Smith, 2019) argues that…
  • Smith (2019) argues that…

Similarly, don’t repeat the author’s name in the bracketed citation and in the sentence itself:

  • As Caulfield (Caulfield, 2020) writes…
  • As Caulfield (2020) writes…

Sometimes you won’t have access to all the source information you need for an in-text citation. Here’s what to do if you’re missing the publication date, author’s name, or page numbers for a source.

If a source doesn’t list a clear publication date, as is sometimes the case with online sources or historical documents, replace the date with the words ‘no date’:

When it’s not clear who the author of a source is, you’ll sometimes be able to substitute a corporate author – the group or organisation responsible for the publication:

When there’s no corporate author to cite, you can use the title of the source in place of the author’s name:

If you quote from a source without page numbers, such as a website, you can just omit this information if it’s a short text – it should be easy enough to find the quote without it.

If you quote from a longer source without page numbers, it’s best to find an alternate location marker, such as a paragraph number or subheading, and include that:

The citation can appear immediately after the quotation or paraphrase, or at the end of the sentence. If you’re quoting, place the citation outside of the quotation marks but before any other punctuation like a comma or full stop.

In Harvard referencing, up to three author names are included in an in-text citation or reference list entry. When there are four or more authors, include only the first, followed by ‘ et al. ’

In Harvard style , when you quote directly from a source that includes page numbers, your in-text citation must include a page number. For example: (Smith, 2014, p. 33).

You can also include page numbers to point the reader towards a passage that you paraphrased . If you refer to the general ideas or findings of the source as a whole, you don’t need to include a page number.

When you want to use a quote but can’t access the original source, you can cite it indirectly. In the in-text citation , first mention the source you want to refer to, and then the source in which you found it. For example:

It’s advisable to avoid indirect citations wherever possible, because they suggest you don’t have full knowledge of the sources you’re citing. Only use an indirect citation if you can’t reasonably gain access to the original source.

In Harvard style referencing , to distinguish between two sources by the same author that were published in the same year, you add a different letter after the year for each source:

  • (Smith, 2019a)
  • (Smith, 2019b)

Add ‘a’ to the first one you cite, ‘b’ to the second, and so on. Do the same in your bibliography or reference list .

In APA style, you use parenthetical citations within the text of your paper to credit your sources, to show how recently your sources were published, and to refer your reader to a more detailed citation of the source in the reference list at the end of your paper. You should use parenthetical citations when you paraphrase, quote, or make any reference to another author's work. A parenthetical citation in APA style includes the author's last name as well as the year in which the work was published, with a comma between them. If you are referring directly to a specific page in the source, you should also include the page number in your parenthetical citation. APA requires you to cite page numbers when you are quoting directly from the source. If you are paraphrasing, which is more common in the social sciences, you generally do not need to include a page number. If you have questions about whether you should include page numbers when citing in APA, you should consult your instructor.

If you mention the author's name and/or the year of publication in the sentence preceding the citation, you do not need to include them in the parenthetical citation. When you name the author in the sentence, you should include the publication year in parentheses right after the author’s name—do not wait until the end of the sentence to provide that information.

When you include a parenthetical citation at the end of a sentence, the punctuation for your sentence appears after the citation.

Citing author and date in a parenthetical citation

When you don’t mention either the author or the date of publication in your sentence, you should include both the author and the year, separated by a comma, in the parenthetical citation. 

Colleges and universities need to create policies that foster inclusion for low-income students (Jack, 2019).

Citing page numbers

When you cite a direct quote from the source or paraphrase a specific point from the source, you should include the page number in the parenthetical citation at the end of the sentence. When you refer to a specific page or pages of the text, first list the year of publication and then list "p." followed by the page number or "pp." followed by the range of pages. If you refer to a specific chapter, indicate that chapter after the year.              

The author contends that “higher education in America is highly unequal and disturbingly stratified” (Jack, 2019, p. 4).

Citing sources with more than one author

When you cite a source that has two authors, you should separate their names with an ampersand in the parenthetical citation.

The authors designed a study to determine if social belonging can be encouraged among college students (Walton & Cohen, 2011). 

If a work has three or more authors , you should only include the first author's name followed by et al. ( Et al. is the shortened form of the Latin et alia , which means “and others.”)

The implementation of postpartum contraceptive programs is both costly and time consuming (Ling et al., 2020).

Attributing a point to more than one source  

To attribute a point or idea to multiple sources, list them in one parenthetical citation, ordered alphabetically by author and separated by semicolons. Works by the same author should be ordered chronologically, from oldest to most recent, with the publication dates separated by commas.

Students who possess cultural capital, measured by proxies like involvement in literature, art, and classical music, tend to perform better in school (Bourdieu & Passeron, 1977; Dumais, 2002; Orr, 2003).

Citing multiple works by the same author 

If your reference list includes multiple works by the same author in the same year, identify them in your parenthetical citations and in your reference list by a lowercase letter after the year, assigning each letter in alphabetical order by the title of the work. When establishing the alphabetical order of works in your reference list, do not count the words "A" or "The" when they appear as the first word in a title.

One union-endorsed candidate publicly disagreed with the teachers' union on a number of issues (Borsuk, 1999a).

Citing multiple authors with the same last name        

If your reference list includes sources by multiple authors with the same last name, list each author's initials before their last name, even when the works were published in different years.

The question of whether a computer can be considered an author has been asked for longer than we might expect (B. Sobel, 2017).

Citing when no author is listed           

To refer to a work that is listed in your reference list by title rather than by author, cite the title or the first few words of the title.

The New York Times painted a bleak picture of the climate crisis (“Climate Change Is Not Negotiable,” 2022).

Citing when no date is listed

If the work you are citing has no date listed, you should put “n.d.” for “no date” in the parenthetical citation.

Citing a specific part of a source that is not a page number

To refer to a specific part of a source other than page number, add that after the author-date part of your citation. If it is not clear whether you are referring to a chapter, a paragraph, a time stamp, or a slide number, or other labeled part of a source, you should indicate the part you are referring to (chapter, para., etc.).

Citing quotations using leeds harvard, what is quoting.

Quoting is where you copy an author's text word for word, place double quotation marks around the words and add a citation at the end of the quote. Quotes should be used sparingly. Using too many quotes can suggest you don't fully understand the text you are referring to.

In most academic writing, you should generally paraphrase from sources, rather than quote directly. Quoting more extended sections of text tends to be more common in arts and humanities subjects where it may be appropriate to quote frequently from sources that are being analysed or translated, like novels, plays or historical texts.

As you take notes, ensure you clearly mark where you have quoted directly from the source.

Direct quotations

If you use a direct quotation from an author, you should:

  • enclose it in quotation marks
  • give the author, date and page number(s) that the quotation was taken from, in brackets.

If you are quoting from a website or webpage that does not have page numbers, you do not need to include anything to indicate this in the citation.

Example: "Language is subject to change, and is not caused by unnecessary sloppiness, laziness or ignorance" (Aitchison, 1981, p.67).

Quotations more than two lines long

If the quotation is more than two lines:

  • separate it from the rest of the paragraph by one free line above and below
  • indent at left and right margins
  • it may be in a smaller point size
  • it is preceded by a colon
  • it does not use quotation marks
  • the citation includes author, date and page number(s) that the quotation was taken from.

Example: One answer to this is that language has always been subject to change, just as everything else in the world is, and we should not feel that this is a bad thing. As Aitchison (1981, p.16) puts it:

Language, then, like everything else, gradually transforms itself over the centuries. There is nothing surprising in this. In a world where humans grow old, tadpoles change into frogs, and milk turns into cheese, it would be strange if language alone remained unaltered. In spite of this, large numbers of intelligent people condemn and resent language change, regarding alterations as due to unnecessary sloppiness, laziness or ignorance.

Aitchison clearly sees every change in language as neither good nor bad, but inevitable...

Editing a quote

You may want to make minor changes to a direct quotation. This is possible (as long as you don't change the meaning), but you must follow the rules.

  • If you omit parts of the quotation, use an ellipsis. An ellipsis consists of three dots (...). Do not begin or end a direct quotation with ellipsis points. The reader already assumes that the quote has been excerpted from a larger work.
  • If you want to insert your own words, or different words, into a quotation, put them in square brackets [ ].
  • If you want to draw attention to an error in a quotation, for example a spelling mistake or wrong date, do not correct it; write [sic] in square brackets.
  • If you want to emphasise something in a quotation that is particularly relevant to your essay, put the emphasised words in italics, and state that the emphasis is your own.
  • If the original has italics, state that the italics are in the original.

Example 1: Language changes are natural and inevitable. It has been argued that language:

gradually transforms itself over the centuries. In a world where [everything changes], it would be strange if language alone remained unaltered. In spite of this, large numbers of intelligent people condemn and resent language change (Aitchison, 1981, p.16, my italics).

Example 2: According to Smith (1992, p.45), "Aitcheson [sic] appears to believe that everything changes ; but this is questionable" (italics in original).

How do I cite my own PhD dissertation in a journal article?

I recently finished my PhD, and now I'm in the process of submitting a journal article on the work I did in the final few months of my degree. This work is an extension to some conference papers that I'd published earlier, and so I've cited them in my journal article stating how the submitted work differs from the published material. When I submitted the article to the journal, I mentioned in a cover letter that the same results/algorithms exist in my PhD dissertation.

After submission, I received a note from the journal to also cite my own PhD dissertation in the article, as there is a fair bit of similarity. The note said:

You can resubmit after you have referenced the original article, and explained in your new article how this new work builds on your previous publication(s).

Considering the work presented in the journal article is not really an extension, and is pretty much the same as in the dissertation, how do I properly reference it? In my experience, I have not seen papers where the authors cited their own dissertation in the text.

In my experience (Theoretical Computer Science/Mathematical Logic) this issue is typically handled by having the sentence "This article is based on Chapter X of the author's PhD thesis \cite{myThesis}." as a stand-alone paragraph at the end of the introduction section.

Having just the plain sentence is consistent with the article having been edited only minimally to turn a chapter into a stand-alone article. If there are substantial differences, these can be pointed out in addition. Eg "We refer the reader to \cite{myThesis} for a much more detailed exposition of the proof."

If the dissertation is "published" then cite it like any other work. Otherwise cite it by name and authors and mark the citation as (doctoral dissertation, U of the Universe, unpublished).

It might only take a note or a short paragraph somewhere to explain how the present paper is related to the dissertation. "Builds" was just boilerplate. In fact, the note you sent to the editors might be enough if it is incorporated in a "prior work" paragraph or two.

"Published" is a nebulous term for dissertations. It can mean other than "by a recognized publisher". For example, some dissertations are "published" by the university and available via the Library or by ProQuest/University Microfilms.

But, failure to cite the ideas is self plagiarism. When in doubt, cite, even if you think it is over-citation.

Some dissertations are nothing more than a collection of previously published work along with a description of how it fits together as a whole. In such a case, just cite the individual papers as you would those of any researcher. Such dissertations are common in some fields and are also sometimes known as "stapled" distributions.

  • I disagree with the part about citing the dissertation as a published work. My dissertation was three working papers. I certainly was not expected to cite it when I published that work. I simply had a note in the acknowledgment. –  Dawn Commented Feb 9, 2021 at 21:24
  • For a "cumulative" dissertation as you describe, @Dawn, it is enough to cite the individual papers as you suggest. The dissertation isn't really a new thing, taken in itself. The OP here didn't describe it as such. And I assume you mean three "published" working papers. Edited to clarify –  Buffy Commented Feb 9, 2021 at 21:50
  • No, I am suggesting the reverse. The dissertation was working papers. When publishing, the convention is to write something in the acknowledgment like: “The present research was originally conducted as part of the author’s dissertation work at The University of Research.” –  Dawn Commented Feb 9, 2021 at 23:44
  • @Buffy Out of curiosity, is it common in the US that PhD theses are not published? At least in Germany (and I think in many parts of Europe), in general they must be published. Of course, traditionally this just meant handing in 30 or so copies to be deposited at some main libraries, and nowadays it means publishing it at the university library's website + 5 or so copies handed in. –  user151413 Commented Feb 10, 2021 at 20:51

When I submitted the article to the journal, I mentioned in a cover letter that the same results/algorithms exist in my PhD dissertation.

The editor made a mistake. Very probably an automated plagiarism check was performed without viewing the cover letter or examining the type of document the plagiarism check located. The editor thought your dissertation was an article, which it obviously is not.

Are you sure this is a good quality journal? How do I identify predatory and low quality journals? With Beall's List gone, how can I tell if a journal is spam?

It is perfectly normal to cite your own dissertation the same way you would cite someone else's.

Once you have cited your dissertation and determined this is a good journal, you can write in your response letter that the submission is a portion of your dissertation and it is not previously published in any journal (assuming that's true.)

Traditionally, PhD theses constitute a public proof of your abilities and therefore need to be published. (This is certainly true in the places in Europe I know, but a quick search revealed e.g. the same for Harvard , and I assume it is true for more US places as well).

The traditional way of this publication process would be to print a certain number of copies and hand them in at your library, which would then distribute it to some central libraries (national library etc.) which hold a copy of anything published in a country/region. There is no need to be able to order the thesis with a publisher, for it to have an ISBN number, etc.. (Semi-fun fact: When people started chasing German politician who plagiarized their PhD thesis, in some cases all copies were borrowed from those libraries and were never returned.)

These days, the publication process (at least in natural sciences) often consists in submitted an electronic version which is made available on the website of the university library. (It might be that a reduced number of printed copies still needs to be handed in.)

In either case, this constitutes a publication which can be cited. It should be cited like any other book, i.e.,

High Voltage, "On current and resistance", PhD thesis, Tesla University, Berlin, 2021,

or corresponding to the journal style. If it is published on the library website, it makes a lot of sense to add the URL or (if existent) DOI.

Of course, if the PhD thesis is not published, this is different, and it need not be cited. (In fact, one might argue it cannot be cited, as it is not a publication.) In any case, if you are unsure you should check with your university, most likely either the library or the graduation office.

  • @Buffy There are no universal rules e.g. in Germany either, in the sense of centrally imposed rules. Typically, each university makes their own rules for awarding PhD, and possibly departments can modify the rules. But I'm rather sure that all of those rules say that a PhD thesis must be published. I think this is simply the traditional perspective on a PhD thesis, see also the Harvard quote - that it is a publication, publicly demonstrating your qualification. –  user151413 Commented Feb 10, 2021 at 21:46

You could try pre-printing it and citing the preprint. Benefits are short time to `publication' (a couple of days, maximum, and only on a weekend) so very short delay to resubmission, moreover, the citation still counts for h-indices etc. I am sure that arXiv does theses as I have definitely read some there.

A proper citation could simply be a sentence like ``[type of result] [number or name if applicable] was developed in [citation], and is [restated/extended/some other word] here."

[citation] Your Name, Year, Your Dissertation Title, Dissertation from [your univ.]

This citation may be adapted if you do indeed arxiv it.

One economist says the state of grocery prices is leaving him in "shock" despite knowing a thing or two about inflation.  Kenneth Rogoff, Harvard University economics professor and former IMF chief economist, admitted to being shocked at the cost of groceries while discussing the Federal Reserve's next steps in their inflation fight during an appearance on "Mornings with Maria" on Wednesday.    

"I mean, I’m a professional. I understand the difference between the level of prices and inflation. It’s just something we haven’t seen in a long time," he stressed. 

Rogoff went on to mention that "prices aren’t going to go down" and that, even though inflation is falling, prices are continuing to go up. "I think that’s very hard to digest," he said.

Despite inflation falling to the lowest level in more than three years in July, consumers are still falling victim to a rise in food and energy prices , according to the CPI report released on Wednesday. 

Rogoff responded to the CPI news, arguing that it wasn’t a big surprise. "It [CPI report] doesn’t move the needle. You know, as far as the Fed, I think it’s very clear they wish they’d cut in July," the economist said.  

"I don’t think there’s any question about where they’re going in September, but I also think there’s a lot of disagreement within the Fed about where they’re going," he continued.

Rogoff joins other Wall Street economists in their predictions about the Fed cutting interest rates in September as recession fears resurface following the global market selloff and weak July jobs report.

Joe Brusuelas, chief economist at RSM, said that "while we do not think conditions are ripe for the Fed to make an emergency rate cut, the case for a supersized 50 basis point reduction at its next meeting has been bolstered by the recent market turmoil."

Rogoff suggested that the Fed has to "accept" that they’re not getting inflation down to 2% any time soon without a recession.

"Clearly the balance of risk is the chances of a recession , that you really care about, are a lot higher than the chances of inflation going to 4%," he told host Maria Bartiromo.

  • Year of submission: Give the year in round brackets.
  • Title of the PhD thesis: Give the title as presented in the source. Only the first letter of the first word and proper nouns are capitalized.
  • Degree description: Type of degree.
  • Degree-awarding institution: Give the name of the institution.

Breaking made its debut as an Olympic sport Friday, and among the competitors was Dr. Rachael Gunn, also known as B-girl Raygun, a 36-year-old professor from Sydney, Australia, who stood out in just about every way.

By day, her research interests include “dance, gender politics, and the dynamics between theoretical and practical methodologies.” But on the world’s stage in Paris, wearing green track pants and a green polo shirt instead of the street-style outfits of her much younger fellow breakers, she competed against the 21-year-old Logan Edra of the United States, known as Logistx.

During the round robin, as Raygun and Logistx faced off, Raygun laid on her side, reached for her toes, spun around, and threw in a kangaroo hop — a nod to her homeland. She performed a move that looked something like swimming and another that could best be described as duckwalking. The high-speed back and head spins that other breakers would demonstrate were mostly absent.

The crowd cheered Raygun politely. The judges weren’t as kind. All nine voted for Logistx in both rounds of the competition; Logistx won, 18-0.

Online, Raygun’s performance quickly became a sensation, not necessarily in a flattering way.

“The more I watch the videos of Raygun, the Aussie breaker, the more I get annoyed,” one viewer posted on X, formerly known as Twitter. “There’s 27.7 million Australians in the world and that’s who they send to the Olympics for this inaugural event??? C’mon now!”
