Smart work vs. hard work: what’s the difference?

How to develop smart work skills, a smart worker uses smart goals, hard work never goes out of style.

“I’ll choose a lazy person to do a hard job because a lazy person will find an easy way to do it.” We aren’t sure exactly who said this , but we absolutely believe it. This quote challenges you to evaluate your workflows and whether your output justifies the amount of energy you put into it.

That’s not to say you should try to cut corners — quite the opposite. It’s about maximizing efficiency and producing the best work with less effort.

This is especially important in a fast-paced environment. Turning projects around quickly will put you ahead of the pack and help your organization stay on top of its mission.

But, efficiency isn’t always easy. While your habits might stop you because you’re used to doing it your way, sometimes it’ll be organizational processes or the bureaucratic red tape getting in the way of project approvals and deadlines.

Thankfully, working quickly is a skill like any other. Let’s look at the difference between hard work vs. smart work to supercharge your productivity.

You’re probably already familiar with hard work. This is where you spend a lot of time and put in a lot of effort completing a task. Smart work, in contrast, is about churning out the same quantity of work with increased efficiency and reduced input, be that time, effort, or both.

Both smart and hard work require a strong work ethic and a commitment to quality. But smart work allows you to complete more daily tasks, so you can either go home early or move to a new task quicker.

Here’s a breakdown of the key differences between smart and hard work:

  • Time: Hard work means spending long hours on a task or series of tasks. Smart work involves completing the same amount of work (with the same quality) in less time.
  • Quality vs. quantity: Hard work often focuses on quantity rather than quality. Smart work treats them both equally.
  • Processes: Hard work is usually the default mode of working: getting things done without much thought about how. Smart work means you care about the work process as much as the task. This means prioritizing, delegating , and improving your time management to achieve the desired results.
  • Deadlines: Hard work isn’t always the best way to achieve a goal within a deadline. Smart work is about getting things done quickly, making it a better option for finishing things on schedule.

Let’s take a look at some examples.

Task: You must coordinate a meeting between CEOs from six tech start-ups. The meeting needs to happen next week.

Hard method: You complete the task by yourself by creating an invite list, drafting emails and meeting agenda, inviting all required attendees, reserving a time slot that suits everyone, booking a convenient meeting venue, and organizing food while accommodating people’s dietary restrictions.

The whole job should take you about eight hours, but you also have other minor responsibilities to take care of. All in, it takes you about two days to lock everything down.

Smart method: Use a previous event invitation as a template (or find one online), change the date, and update the guest list and agenda. In your invitation, request that they advise you of any dietary restrictions by the end of the day. As you await their responses, you can book the venue and update the meeting invitation after confirming the location. 

Task: Coordinate a fundraising campaign for your organization’s new sports program for at-risk youth.

Hard method: You buy the ad space on TV, shoot the commercial, plan a letter-writing campaign, and organize an event celebrating the volunteers and donors. This task is a full-time job in itself, as it requires rigorous project management and content production.

Smart method: You hire a freelance videographer to shoot the TV ad, which requires time and technical skills. This will free you up to focus on the fundraising letters and event planning. It will also give you a healthier work-life balance for the campaign's duration, helping offset any potential risk of burnout or mental exhaustion.

Learning to work smart is, well, hard work. Here are some tips to work smarter, not harder .

  • Stop multitasking. You might think you’re multitasking, but you’re actually rapidly shifting your focus from one item to another, which just consumes valuable energy. It can take up to 15 minutes for your brain to reorient after switching, so you’re better off focusing on one.
  • Take breaks. When you have too much on your plate, you’re tempted to plow through the day without eating lunch, impacting your health in the long run. You risk wearing yourself out, which can lead to mistakes in your work. And, if you never get sufficient rest, you risk burning out . Try using the Pomodoro technique to block your time and schedule regular breaks. You won’t do your best work at the end of a really long day, so save it for tomorrow when you’re fresh. It’ll probably take less time and be better quality with a fresh slate.
  • Do the hardest (and most pressing) tasks first. As you plan your week, ensure all time-sensitive tasks are at the top of your to-do list, enabling you to complete all your tasks within deadlines. For bigger projects, it’ll provide a buffer when something inevitably gets delayed.
  • Complete small tasks all at once. Bunching small tasks together will help you knock multiple items out in a short time. This includes answering emails, replying to WhatsApp messages, or making phone calls. These tasks often require less mental focus, so you can tackle them between larger items. Then you can work through the afternoon without worrying about missing something important. 
  • Follow your energy levels. Organizing your day around your energy levels will increase efficiency. If you’re most productive in the morning, schedule your most difficult tasks at that time. But if you still need a dose of caffeine at noon to reach your peak, use your morning to tackle less demanding work.
  • Automate what you can. Keyboard shortcuts, database scripts, and email filters are efficient ways to automate everyday tasks. If you put in some time to set things up, you’ll have ample energy to focus on other tasks.
  • Put yourself first. You’re unlikely to help anyone if you burn yourself out. Make sure you’re taking time for self-care in between working hard and avoid overworking . 
  • Adopt a growth mindset. Every project is an opportunity to learn, grow, and hone your skills. With a growth mindset , you’ll constantly refine your methods to maximize efficiency.

Before starting a big project, make sure you and your colleagues are clear on the “why” of the work. When everyone is on the same page and you have a clear work plan in place, you’ll waste less time debating the vision of the project midway through. 

Use the SMART goal-setting method to make sure you have a clear vision. This means setting goals that are:

  • Specific: What exactly are you trying to accomplish? State your vision clearly. 
  • Measurable: How will you know you've finished? You should have a clear way of measuring success. For example, if your goal is to streamline hiring new employees, indicate what speed you're aiming for.
  • Achievable: Is this goal realistic with your current available time and resources? If not, you may need to plan extra steps to achieve your goal.
  • Relevant: Does the goal correspond to your organization’s mission? Only work on long, arduous, expensive projects if they add value. 
  • Time-bound: Do you have a clear deadline in mind? Setting an end date is vital to avoid meandering aimlessly for an indefinite time.

The idea that you should work smarter and not harder isn’t anything new. 

At that, it’s pretty simple to explain what working hard means. If you want to be successful in the long run, you have to put long hours into work. You have to start early, before everyone else, and you have to stay up late when everyone else is already enjoying their afternoons and evenings.

On the other hand, it’s hard to find a very clear guideline on what working smart really means and how it’s different from hard work. Many people work hard, but only a few become really successful. That’s because smart work is what makes the difference.

Smart workers take really good care of their competences. They read, develop street smarts and make sure they become extremely resourceful. They invest massively into developing useful and practical knowledge and abilities. It can be through formal or informal education.

You can never be overpaid, overdressed, or overeducated.

If you want to be a smart worker:

  • Acquire really good domain knowledge through formal (if it makes sense) or informal education.
  • Constantly train your creative mind by writing down ideas and engaging with art, music, etc.
  • Train your analytical mind by doing mind-maps, analyzing different subjects, etc.
  • Read different things and try to connect them in new ways.
  • Become really good with technology.
  • Learn how to think for yourself and question everything.

How to create a productive & organized working place, where people love to perform

Being a smart worker means exposing yourself to as many opportunities as possible. Options and opportunities mean faster promotion or more clients and, consequently, more added value and more money. 

The best way to do that is to own competences that are in great demand but very short supply. People who combine the right markets with the right competences are the winners. Here’s the magical combination that smart workers understand very well:

  • Addressing niche markets that have potential for exponential growth and are rapidly expanding.
  • Developing competences that are in big demand but short supply on those markets.

There are a few options as to how to do that. One is to acquire domain expertise which require a lot of effort to master, like for example becoming a top programmer or engineer. There are many low-level skills programmers on the market, but really good programmers are a very precious resource. A good engineer in biotech, alternative energy, fintech and other perspective industries will always find numerous options for work.

The second option is developing really valuable business skills. There’s a flood of economists and MBAs on the market, but there’s always a job or a business opportunity for people who excel in sales, internet marketing, leadership etc. But as was already mentioned, you have to be very skilled. 

The third option is to develop any special talents you possess that are really valuable on the market, like pop music, digital design, entrepreneurship and innovating, being a top-tier doctor, lawyer or pharmacist etc. 

People who combine the right markets with the right competences are the winners.

Whatever you do, remember that you have to become exceptional at it. In capitalism, a few people reap most of the rewards. Based on the Pareto principle , 20 % of the best get 80 % of the rewards. So smart workers make sure they become the best in whatever field they’ve chosen as their career.

Do you want to work smarter? If so:

  • List all the talents that you could develop and that there is a big demand and scarce supply of on the market. If you have a hard time doing that, list all the talents you have and then rate supply and demand for all of them on a scale from one to ten.
  • Think about which of the talents, competences, and skills you’re currently developing are low-level skills and can be provided by others for a very cheap price. Build a strategy for how you can stop doing these low-level activities and focus on the work that brings a much greater added value.
  • Test your value on the market from time to time. Try to get a new job offer or a better client that will pay more. You’re always on the market and you always have to know where you stand.

Smart people work on their strengths and develop their talents to the level where they really excel. It helps them to stand out from the crowd. But on the other hand, they also very carefully take their weaknesses into consideration.

A smart worker splits their weaknesses into two categories:

The first category are all the weaknesses that don’t matter and can simply be forgotten about. These are the weaknesses that have zero contribution to maximizing value creation and quality of life. Who cares if you don’t know how to dance ballet?

The second type of weaknesses are the ones that you have to abolish; some of them only to a certain extent, others completely. Getting rid of one of your weaknesses can make a big difference for your success.

Many times, working smarter means focusing yourself on building up a few of your strengths and doing away with a few weaknesses  that really drags you down. An alternative approach is to find a team of people who substitute the weaknesses the smart worker has.

Hard workers don’t build on their strengths. They’re usually afraid to shine and excel and stand up for something, except for hard work, of course. They only hope very deeply that their hard work will speak for them. Sometimes it does, sometimes it doesn’t. 

Many times, hard workers only compensate with hard work to hide their weaknesses. Smart workers, on the other hand, think of how to get rid of the weaknesses or substitute them with other people, while shining with their strengths.

In order to work smarter, consider the following:

  • Focus on developing your strengths to the point where you will really shine and stand out.
  • List all the weaknesses you can forget about and then actually do it.
  • Decide which of your weaknesses you’ll substitute with teammates and coworkers.
  • Decide which of your weaknesses you’ll develop to the minimally acceptable level.
  • Decide which of your weaknesses you’ll develop into strengths by investing an insane amount of resources into leveling up your game.

The cruel fact of capitalism is that markets always win. Markets are the one thing that can put your career on the fast track or destroy it in the blink of an eye. Market trends and industry outlooks have a big influence on your success rate. 

People operating in the right markets (industries) are exposed to more business opportunities, can earn a lot more money more quickly, and have a positive sentiment regarding their work.

A rising tide lifts all boats.

The right markets are stable markets with high growth and good long-term perspectives. On the other hand, if you find yourself on the wrong market; a market that’s in decline, has stiff competition and a negative future outlook; there are fewer and fewer opportunities, the probability of losing your job or business clients is much higher, and depressed markets carry their depression over to you sooner or later.

Smart work means choosing the right industry. This means not choosing the industry and markets you will operate in based only on your interests, talents, hobbies, family traditions and the field you’d like to study in, but analytically choosing the industry that has the most potential and where you can still create and deliver value. 

It’s probably much better to be an average worker in a good industry than a top performer on a lousy market.

The problem with this approach is that changing an industry is a pain and quite hard. When you want to change an industry, you don’t have enough domain knowledge, you don’t have a social network in that area, and you have many incorrect assumptions, which leads to different disappointments you have to cope with when you enter a new industry. 

You can choose the industry you’ll operate in only a few times in your lifetime, and if you want to work smart, you should choose it very carefully.

  • Choose your industry and the markets you operate in very carefully.
  • Read all the predictions and trends for your industry, and understand where it’s headed.
  • Find micro niches in your chosen industry that have the potential to grow fast and get big in the future, and strategically focus on those.
  • Wait for the right opportunity with low risk and a massive potential reward.
  • Have a system for red-flags that indicate markets becoming depressed, and react quickly.

When you are open and exposed to new opportunities, there’s another problem. You have to be very careful which opportunities to choose. Smart workers very carefully select the opportunities they engage with and have no problem saying no. 

They’re patient and wait for the one right thing with low risk and massive potential return. It’s called value investing and, as mentioned, your time is the most precious resource you can invest.

Your energy and resources are very limited, thus as a smart worker you have to choose your battles very carefully . If you say yes to everything, you’ll burn out sooner or later. A burnt-out worker is not a smart worker. Smart workers learn to say no very early in life.

Want to be a smarter worker?

  • You should carefully think about what could go right if you engage in the opportunity, what could go wrong, how much of your resources you have to invest, what other risks there are and what the maximum reward or potential return on your investment is. In other words, you have to think like an investor about every opportunity you follow in life.
  • Smart workers think like investors for every single dollar they own and for every single second they have in life.

Going for the right opportunities is closely connected with having a clear picture of what you really want in life. There’s one big difference between really successful and unsuccessful or mildly successful individuals. 

Really successful people know what they want. They have a very clear picture of their desired final outcome or endgame from the very beginning. That also goes for smart workers. 

Because they know what they want, they can build their strategy much more easily and make better choices in the process. You can’t work smart if you don’t know what you want.

Smart workers know what they want and they fight for it with much more than just hard work. They have a strategy. Hard workers have a vague idea of what they want and consequently don’t take the best decisions or simply hope that hard work will pay off.

There are two types of people. One who works hard and another who works smart. There are no defined grounds which can differentiate between hard work and smart work. Although hard work is required to achieve success, smart work helps you save time, effort and resources.

Hard work consists of interest, determination, discipline and consistency while smart work consists of planning, prioritization, management and analysis etc. Hence, hard work is all about action while smart work is all about planning.

Action without planning is not smart work. Similarly, planning without action is also not smart work. So, for the highest benefit, one needs to do smart work which includes hard work.

Everyone has their own way of working but some simple practices can help all of us to do smart work. These practices include but are not limited to:

Fundamentally, work without planning is hard work and work with planning is smart work . To be clear, hard work consists of interest, determination, discipline and consistency while smart work consists of planning, prioritization, management and analysis etc.

Hence, hard work is all about action while smart work is all about planning. Action without planning is not smart work. Similarly, planning without action is also not smart work. So, for the highest benefit, one needs to do smart work which includes hard work.

The next question is; can smart work be learnt? Yes, anyone can learn how to work smartly but it is important to understand that everyone has a different ability to learn. What helped one might not serve another. So everyone needs to figure out their way of smart work.

But there are some tips which can fit everyone. Some of them are:

1. Make A Proper Planning

Planning is the chief factor of smart work. Planning gives you clarity and clarity gives you confidence and confidence helps you do things more efficiently.

2. Manage Your Time

Time management is the second factor of smart work. It consists of prioritizing your tasks and gauging your progress.

3. Conduct Research And Analysis

Research and analysis is a way of tracking if the strategy you adopt is working well. If there feels a need to replan your strategy, you get to know it earlier.

Apart from this, one can practice some basic hacks given below.

To sum it up, each one of us has 24 hours a day. To use this limited time one needs to work smartly. Thank you!

These days, you hear a lot of talk about working smart. People often tell you, “You don’t get anywhere by sheer hard work. Look at the people working at construction sites. They are working very hard, but are they getting anywhere in life? If you want to achieve success, you need to work ‘smart’.” Such comments leave most of us in confusion. What happened to sayings like, “The harder you work, the luckier you get”, or to the earlier prescription for success, “Work hard and success will be yours.” Is it important to work hard or not? I believe it is. Of course, you have to be ‘smart’ about working hard, but hard work always pays. Just being smart or working smart is only half of the real story. The fact remains that hard work and smart work must go hand in hand for you to be successful. Smart work is about making the right strategy, about following a disciplined work culture. Hard works translates your vision and ideas into results. Working hard and working smart are not exclusive of each other. Smart work teaches you to be more productive with your time. If you are happy with your current level of success, then smart work will surely allow you the luxury of not having to work as hard as you otherwise would. But if you want to reach the pinnacle of success in your chosen field, than smart work alone won’t really help. Many people think that hard work goes largely unnoticed. They believe that unless you are ‘smart’ about letting others know that you are working hard, you remain a drudge. They call hard work a kind of drudgery. They are more interested in letting the ‘boss’ know that they are working hard. Their focus is in the wrong direction. I believe that hard work always gets noticed — perhaps not in the short run, but eventually people can’t help but notice hard work. And the rewards follow without you having to push for them. You need to stop worrying about doing ‘hard work’ or ‘smart work’; you should just concentrate on doing your best every day.

Thinking about rewards and results saps your energy, creating a ‘neediness’ in you. Rewards come to you when you are not looking for them continuously. When you step out to work with a passion to do your best, you will bring out the best in others as well! That itself is a great reward.
